MEMBERSHIP DIRECTOR
(Salaried Position)
JOB DESCRIPTION
Reports to Executive Director. Responsibilities include membership records, publications, marketing,
meeting management, exhibitor manager and student liaison.
Membership













Processing of membership applications, relocations, upgrades and terminations
Membership drive/solicitation, at least annually
Packets/Letters to new members
Update records monthly from AAFP via email and paperwork
Re-elections (correspondence, documentation, notices to membership)
Process membership changes – classification change, address change, etc.
Delinquent dues letters
Keep membership applications on hand
Liaison between MAFP and AFFP regarding membership and re-election
Membership label requests
Tracking system for students and residents
Mantain membership files and software – CHAPLINK
Work with membership committee on projects
Publications/Public Relations/Public Information
 Manage publications including membership directory, newsletter and electronic bulletins
 Fiscal management and tracking of all printed publications
 Administrator for web site
 Manage/Track methods of communicating with members: email, fax and snail mail
 Assist in preparing MAFP booth at all meetings and events
 Update and maintain archives: photographs, history of MAFP, etc.
Marketing of Conferences/Conventions
 Target past attendees, member & non-member FP’s in MS & surrounding states
 Order labels for all meetings (utilize AAFP member & non-member lists)
 Develop & mail pre-meeting post cards
 Mail brochures
Registration
 Create database for each meeting
 Assemble packets for meetings
 Gather and pack up all supplies for each meeting
 Manage registration desk at meetings
 Maintain adequate inventory of supplies for all meetings
Syllabus
 Assist in preparing letters to speakers re: request for handout, AV needs, disclosure statements

Create syllabus, arrange for printing, etc.

Apply for AAFP CME

Serve as an information source for applicants for CME opportunities
Evaluation/Follow-up
 Tabulate registrants’ evaluation information from meetings
 Prepare and mail thank you letters to speakers with “score” from evaluation forms
 Prepare final report of comments and evaluations for management purposes
Exhibits
 Develop and mail contracts to exhibitor list for each meeting
 Assign booths and track payments – invoices & refunds as necessary
 Tabulate evaluations from Exhibitors – utilize results of report in planning next meeting

Student Programs
 Serve as liaison between MAFP and the Family Medicine Interest Groups (FMIG)
 Promote MAFP programs and activities to FMIG
 Provide information to FMIG about American Academy of Family Physicians (AAFP) programs and
projects
General Duties

Provide general support as may be requested by the Executive Director.
