INTRODUCTION
This Tenant Handbook has been designed to supply you with building
information, procedures and policies that will help to create a safe and
pleasant work environment. For your convenience, you can find an
electronic copy of this manual on the Charles Park One & Two website at
http://charlesparkcambridge.com/ along with other helpful information
regarding the building and its surrounding area.
1 Charles Park is owned by Charles Park One LLC and as the owner's
agent, Jones Lang LaSalle, is responsible for the management, marketing
and leasing efforts of the project. Jones Lang LaSalle is the world's
leading real estate services and money management firm, committed to
delivering exceptional strategic, fully-integrated services for property
owners, investors and occupiers.
This Tenant Manual should be made available to all individuals within
your company responsible for coordination of activities within the
building. Although the procedures that follow have been developed using
Jones Lang LaSalle’s experience in building management, changes may
occur; therefore, we will be providing updates and revisions as
necessary. Should you have any questions or need additional
information, please feel free to contact the Property Management Office,
which is located on the First Floor of One Rogers Street or via phone at
(617) 225-0477.

HOURS OF OPERATION
The building is open to the public 8:00 a.m. – 6:00 p.m. Monday through
Friday.
BUILDING ACCESS PROCEDURES
Tenants may access the building after hours by using their building
access card. No person will be allowed to enter the building and gain
access to the floors after business hours, weekends and holidays without
the use of a building access card.
** All tenant vendors must have an updated Certificate of Insurance and
all tenants must have all work done on premises first cleared with
Property Management before their vendors can provide any services.
For the purpose of building operations and building services holidays
are as follows:









There will be no HVAC or cleaning services scheduled on the above
holidays. If you require either service, please notify the Property
Management Office, in writing at least 24 hours in advance so the
appropriate arrangements may be made.
Please refer to your lease for company specific holiday schedules. The
above holidays represent most union holidays that are acknowledged by
our vendors, such as building maintenance, cleaning and security. Please
note that there are additional charges to be paid by the tenant for any
holiday or after-hours services, unless otherwise stipulated in your lease.
HEATING VENTILATION & AIRCONDITIONING
The operating schedule for the building HVAC system is 7 a.m.- 6 p.m.,
Monday through Friday, and 8 a.m. – 1 p.m. on Saturday.
There is no HVAC operation provided on Sunday or during holidays. If
you require additional HVAC service, please notify the Property
Management Office at least 24 hours in advance so the appropriate
arrangements may be made.
Tenant Service Request (TSR) form is provided in this manual and may
be faxed to the Property Management Office at (617) 225-2017. After
hours HVAC is $65.00/hr* and billed monthly.
In order to minimize temperature needs throughout the offices, we may
ask tenants close blinds on exterior windows throughout their offices to
reduce solar loads on excessively hot days.

CONSTRUCTION SERVICES
Jones Lang LaSalle Construction is able to provide a diverse array of
construction services, including performing design reviews for clients;
construction management services, design-build construction and tenant
build out.
Typically we provide these services through a negotiated agreement
format. This approach has allowed us to work in partnership with our
clients rather than a contract transaction-oriented vendor. The benefits
we provide to our clients include:

The local Jones Lang LaSalle construction group (formerly Spaulding &
Slye Construction) was founded 30 years ago to both manage the
development projects of Spaulding and Slye and provide service to
outside clients.
Today, our local construction group has completed over 20 million square
feet of tenant fit-up/renovation, currently manages over $40 million of
construction annually, and is ranked among the top regional construction
firms in the Boston area.
CLEANING SERVICES
The cleaning staff at 1 Charles Park is comprised of two on-site day
porters, one night supervisor, and a full cleaning staff at night.
The day porters are responsible for the continuous cleaning of the
building common areas, exterior maintenance, requested locked office
space and special work requests throughout the business day from 7:00
a.m. to 3:00 p.m. The day porters will respond promptly to work
requests reported through 360 Facilities to the Property Management
Office.
The night supervisor and cleaning staff are responsible for the cleaning of
tenant spaces, which are unlocked and accessible along with cleaning of
all common areas. They are on site from 6:00 p.m. until 9:30 p.m.,
Monday through Friday.
If you require additional cleaning services for a scheduled holiday, please
notify the Property Management Office at least 24 hours in advance so
the appropriate arrangements may be made. TSR may be faxed to the
Property Management Office at (617) 225-2017.
The cleaning company also provides special services such as shampooing
carpets, waxing vinyl floors, spot removal, upholstered furniture cleaning
and many more. Please call the Property Management Office should you
have a special cleaning requirement. The Property Management Office
will then send you a proposal for the work, which will require
authorization prior to scheduling.
There is an additional charge for cleaning services performed on holidays
or in addition to the services normally scheduled. This charge is
dependent upon the work requested and the size of the space.
Window Cleaning
The interior and exterior window washing is done on a periodic basis. A
memorandum to notify all tenants is sent out in advance. Tenants are
responsible for removing all items from the windowsills before the
cleaners begin their work.
Parking
Rules and Regulations
- Access to the garage is permitted only to personnel carrying
valid access badges. Access badges are non transferable.
Only individuals issued the badge will be allowed access to
the garage. Entrances and exits to the garage are
monitored by surveillance equipment.

Visitors to 1 Rogers Street and 1 Charles Park will not be
permitted access to the Rogers Street garage. Parking on a
day-to-day basis is available at the Galleria Garage.

Admittance into the parking garage does not guarantee a
specific parking space and parking privileges may be modified
or preempted as required by your employer.
-
Rules and Regulations in the Rogers Street Garage are in
effect at all times, even when gate arms are in the “up”
position or gates are being repaired.

Headlights will be required to be turned on 24 hours a day
while traveling within the Rogers Street Garage. The
maximum permissible speed limit in the parking garage shall
be 5 miles per hour.

Use of the entrances and exits of Rogers Street Garage is
only permitted to automobiles, motorcycles, and individuals
walking bicycles. Pedestrian traffic through entrances
and exits is strictly prohibited.

Tailgating through the entrance and exit is strictly prohibited
and will be enforced. Failure to comply could result in the
loss of parking privileges.

The Rogers Street Garage may not be used for long-term
storage or overnight parking without approval of Property
Management.

All lost or stolen access cards should be reported to Property
Management immediately. A replacement card is $15.00. All
access cards without activity for sixty (60) days will be
deactivated.

Property Management reserves the right to close any parking
area or roadway for reasons of repair, safety, etc. Vehicles
parked within designated closed areas may be towed at
owner’s expense.

Anyone involved in a motor vehicle accident, break-in, or
theft inside the parking garage should report the incident
immediately to Building Security located at 1 Rogers Street,
Room #116. 617-225-0607/0608.
 Identification of Valid Parking Spaces
- Parking will be permitted only in areas identified as valid
parking areas or spaces.

Parking is prohibited in areas with lines or markings
indicating fire lanes and no parking areas.
-
Vehicles must park in a valid parking space, facing inward,
between the yellow lines.
-
Only vehicles with a properly displayed handicap-parking
permit will be allowed to park in the reserved handicap
spaces.
-
Vehicles are strictly prohibited from parking in two spaces.
Violators will be towed at owner’s expense.
 Driver Responsibility
- Drivers are responsible for finding an authorized parking
space.
- Vehicles and personal belongings are the sole responsibility
of the car owner. Management assumes no liability for loss,
theft, or damage to any vehicle.

Citations issued to illegally parked vehicles are also the sole
responsibility of the car owner.

Property Management reserves the right to tow vehicles that
remain in the Rogers Street Garage in an inoperative,
derelict, or abandoned condition and/or vehicles that are not
in compliance with state regulations.
 Bicycles
-
Bicycle riding is not permitted within the garage. Bicycle
riders who use the bicycle storage facility will be required to
walk bicycles from the sidewalk located on First Street,
through the garage, to the designated area. When exiting,
riders will be required to walk bicycles until they reach the
sidewalk.

Bicycles should be secured in the designated bicycle cage.
-
Bicycle riders will not be required to swipe their access card
upon entering the garage. Bicyclists will only be required to
swipe their access card to access the bike cage.
-
The Rogers Street Garage may not be used for
overnight or long-term storage of bicycles.
-
Property Management assumes no liability for loss, theft, or
damage to any bicycle.
Vehicle/Bike Owners not adhering to the Rogers Street Garage Rules and
Regulations will be ticketed with a warning. Only one warning will be
issued. A second violation of the same nature will result in the vehicle
being towed and impounded at the owner’s expense.
Property Management reserves the right to change the Rogers Street
Garage Rules and Regulations from time to time. The most current
Garage Rules and Regulations will be posted outside the Building Security
office at all times.
WASTE REMOVAL
Waste is removed from tenant spaces each night, Monday through
Friday. Items for disposal, which will not fit in a waste receptacle, should
be clearly marked "TRASH" for the cleaners to recognize.
Special pick-ups may be arranged with the Property Management
Office for non-standard waste. This would include computers, paints,
and solvents, developing agents, batteries. Non-standard waste will
be removed as a TSR charge.
No household trash should be disposed on the property.
RECYCLING:
1 Charles Park is making a concerted effort to recycle. In an effort to
recycle more material, E.L. Harvey & Sons, Inc. has instituted our Mixed
Waste Recycling Program. This program allows us to bring compacted
loads of waste, primarily from office and retail environments, back to our
facility when we collect recyclable material from the load.
The waste load is delivered to our Mixed Waste facility from the place of
origin and deposited on the tipping floor, separated, and pushed on to
the conveyer belt. The conveyer belt brings the waste to the sorting
area.
As the material enters the sorting area, our sorters go through the waste
load and pull out the following: white paper, mixed paper, corrugated
cardboard, metals, plastics, and glass. Depending on the load and the
markets, the plastics will be just beverage containers or may include film,
shrink wrap and other plastics. Metals range from tin and soda cans to
various metal items to non-ferrous metals like brass and coppers.
At the end of the sorting area, the conveyer sends the waste load to a
compacted transfer trailer for transportation to a waster energy plant.
Our job is to reduce the waste load as much as possible. In most cases,
a suitable load will be reduced from 40 to 60 percent, with the balance
sent for recycling.
At E.L. Harvey & Sons we are proud of our efforts to reduce the amount
of waste going to disposal and, as a result, we will be pleased to offer
tours of our facility in Westborough to our clients at any time.

Rent payments are due on the first of each month. Rent checks can be
mailed to the following address:

SMOKING POLICY
1 Charles Park is a smoke-free building.
Smoking is not permitted in any of the common areas of the buildings
(i.e., the multi-tenanted floor bathrooms, the lobbies, corridors or
emergency stairwells) or any entranceway into the building.
Smoking in the emergency stairwells is expressly forbidden. Not only
does this violate the smoke-free policy, it also is a safety hazard to all of
the tenants in the buildings and violates fire regulations.
Please be courteous and smoke outside at the side entrance to the
building, rather than at the front entrance. Thank you.
FREIGHT ELEVATORS
Tenants must contact the Management office to request access and
reserve time on the freight elevators, on a first-come, first-serve
basis. No vendor or moving company will be allowed access to the
building without prior approval by Property Management.
Please note that certificates of insurance are required of all vendors
making deliveries in the building. Certificates of Insurance must list the
following as certificate holders and additional insureds: Charles Park
One, LLC and Jones Lang LaSalle Americas, Inc. and any of its
subsidiaries and affiliates as now or hereinafter may be constituted.
The freight elevator may NOT be reserved Monday through Friday
between the following hours for deliveries:
8:00 AM- 10:00 AM
11:45 AM-1:30 PM
4:45 PM- 6:00 PM
All Day Tenant Moves:
All tenant moves in or out of One Charles Park or One Rogers Street
must be made outside regular business hours: after 6:00 PM, Monday
through Friday or on weekends. We request that all moves be scheduled
one week in advance and a certificate of insurance for the mover be
provided to the Management Office.
Depending on the size of the move, additional security personnel may be
required. There is an additional charge of $25.00 per hour for security
personnel to be paid by the Tenant. This rate is subject to change.
AMENITIES
Lost and Found
There is a lost and found located in the main security office located on
the first floor of One Rogers Street. If your employees or visitors should
lose any personal items please call the security office (617) 2250607/0608 to see if the article has been recovered.
Building procedure for lost and found are:
1. Item recovered is logged with discovery location (or name & phone
number of person turning item in) time and date.
2. Security Supervisor and witness record contents.
3. If possible, determine ownership and return item with signature of
receipt.
4. Non-claimed items are stored at security office for 60 days.
5. After 60 days item is discarded with Property Management approval.
MBTA
MBTA service is provided via Lechmere station located at the junction of
Cambridge Street and O’Brien Highway.

Bicycles, scooters, roller blades are not allowed inside the building
common areas.

We ask the following precautions be taken by all tenants:

The last employee who leaves for the day should lock all
tenant entrance doors at the close of business or.
-
Never leave valuables such as purses, wallets, cameras and
jewelry on or under your desk; keep these items out of sight.
Avoid leaving your wallet in a jacket hung over your chair or
behind your office door.
-
Never leave your reception area unattended.
-
Do not allow visitors or delivery persons to pass beyond the
reception area unless the receptionist who is aware of the
nature of their business knows them.
-
Petty cash, etc. should always be kept in a locked file or
drawer.
-
If upon entering your office suite you are surprised by an
unauthorized person, quietly leave and call the Building
Security at 617-225-0607/0608.
-
Inspect the locking hardware on your suite doors. Notify the
Property Management Office if repair or replacement is
necessary.
-
Do not keep valuable or movable belongings near doors.
Record serial numbers of merchandise and belongings.
-
Control the issuance of access cards and keys. Contact the
Property Management Office to update your card list. Report
all lost cards to the Property Management Office.
-
Always lock your door from the inside when working late or
early.
-
Be aware of persons who enter the office under the pretext
of seeking employment. Should such a person enter your
office, keep them in your sight at all times while you phone
your firm's personnel manager or the Building Security 617225-0607/0608.
-
Be aware of persons who enter the office under the pretext
of repair/delivery personnel. All such personnel should be
wearing a uniform with their name prominently displayed.
After Hours Emergencies
All completed forms titled "Tenant Emergency Contact" are kept on file in
the Property Management Office. In the event of an after hours
emergency affecting your space, a representative of your firm will be
notified based on the information provided on the form.
Any modifications to your list should be submitted to the Property
Management Office to ensure the accuracy of the information. It is
extremely important to identify at least three (3) tenant/company
contacts, including home phone numbers, to ensure proper notification in
case of an emergency. The Property Management office will ask that
these lists be updated annually.
ASSISTANCE FOR THE PHYSICALLY IMPAIRED
All completed forms are kept on file in the Property Management Office.
In the event of an emergency affecting your space, these lists are utilized
by the Property Management Office to inform emergency personnel of
persons in your space that require assistance exiting the building. Among
those that should be included on the list are physically disabled,
pregnant, elderly, and any person unable to utilize the stairs.
Any modification, deletions, or additions to your list should be submitted
to the Property Management Office to ensure the accuracy of the
information.

EMERGENCY PROCEDURES
The purpose of this manual is to provide tenants of 1 Charles Park and
their employees with reference information and a checklist of procedures
on what to do, who to contact, and what to expect in the event of an
emergency.

 BUILDING FIRE ALARM PROCEDURE
Once a building fire alarm is received, a series of audible horns and
visual strobe lights will be activated notifying occupants that a building
fire alarm has been received. The horns will sound throughout the
building for approximately 40 seconds, after which a recorded message
will be broadcast over the building public address system notifying the
entire building of the following:
“ATTENTION PLEASE. THE SIGNAL TONE YOU HAVE JUST HEARD
INDICATES A REPORT OF AN EMERGENCY IN THIS BUILDING. IF
YOUR FLOOR EVACUATION SIGNAL SOUNDS AFTER THIS
MESSAGE, WALK TO NEAREST STAIRWAY EXIT AND LEAVE THE
FLOOR. ALL HANDICAPPED OCCUPANTS SHALL FOLLOW THE
BUILDING EVACUATION PLAN. WHILE THE REPORT IS BEING
VERIFIED OCCUPANTS ON OTHER FLOORS SHOULD AWAIT
FUTHER INSTRUCTIONS.”

This message is repeated. If you have any question, please
evacuate.
After the message the evacuation signal (a slow whooping alarm) will
sound on the affected floor and the floor above the affected floor
indicating evacuation should begin as per the Building Evacuation Plan.
All other floors will receive a strobe light alerting people to stand by for
further instructions. It is important to realize that complete evacuation
may not be necessary. Wide scale evacuation could overload the
stairwells, causing unnecessary accidents.
In the event of confirmed fire, a building general evacuation will be
sounded, noted by the slow whooping alarm on your floor. At this time
you are to immediately leave the building via the nearest exit stairwell.
FOR YOUR SAFETY, PLEASE DO NOT USE THE ELEVATORS!
Once you have reached the ground level, building staff will direct you to
the proper exit. We suggest that all personnel assemble in an area an
appropriate distance from the building, keeping clear of all fire
department personnel and equipment.
PLEASE NOTE:
PROPERTY MANAGEMENT PERSONNEL CANNOT
RESET THE FIRE ALARM until the Cambridge Fire
Department arrives and verifies the alarm.
Please be patient during this time.
 TENANT EVACUATION DIRECTOR RESPONSIBILITIES AND
FIRE AND EMERGENCY EVACUATION PROCEDURES
1.
Complete a copy of the Evacuation Director Listing sheet and
return to the Property Management Office, One Rogers Street, 1st
Floor or fax it to 617-225-2017.
2.
Become familiar with the layout of your tenant premises, public
corridors and emergency stairwell routes including the location of
fire alarm signal devices, pull stations, fire extinguishers and fire
hose connections.
3.
Establish an emergency fire evacuation plan for your premises
incorporating the location of the above noted items. Include a
typewritten script at a central location for use during an emergency
and specify a location for employees to meet once outside the
building. Review this plan with occupants of the premises on a
regular basis.
4.
Assign evacuation directors, area evacuation directors and
alternates with responsibilities to search all rooms in the tenant
premises and alert occupants of the premises in the event of an
emergency.
5.
Identify individuals within the tenant premises encumbered by
physical or communication impairments. Complete a copy of the
Assistance for the Physically Impaired form included for each of the
employees requiring assistance because of a physical impairment
and return to the Property Management Office, One Rogers Street,
1st Floor or fax it to 617-225-2017.
6.
Distribute copies of IMPORTANT PHONE NUMBERS (Section I) and
BUILDING FIRE ALARM PROCEDURES (Section III) to all employees
located within your premises. Post a copy in all public areas within
the premises (i.e.: copy rooms, lunch rooms, conference rooms,
etc.).
7. Post EMERGENCY EVACUATION PLANS within your premises (i.e.:
elevator lobbies, copy rooms, lunch rooms, conference rooms, etc.)
Building Design Features:
Fire Control Panel
This is the fire alarm enunciator which controls all alarm pull stations,
sprinkler-flow alarms, building intercom, smoke/heat detectors, and
emergency signals to the Fire Department.
Alarm Pull Station
Alarm pull stations are available on each floor. There is an alarm pull
station located near each emergency stairwell.
Sprinkler System
Each floor is equipped with ceiling-mounted sprinkler heads. When
activated, alarms are automatically sounded while simultaneously
dispatching the Fire Department.
Smoke/Heat Detectors
Smoke/heat detectors are located in various areas of each floor of the
buildings. These sensors make it possible to detect combustible vapors,
smoke or fire. Please do not cover any detectors without proper
authorization from building management.
Emergency Lighting
In the event of the loss of electrical power to the buildings, a complete
system of emergency lighting is provided to all floors throughout the
buildings and each stairwell.
Fire Extinguishers
Fire extinguishers are located in all stairwell entrances and in tenant
spaces.
ELEVATOR INTERRUPTION
The buildings elevators are designed to stop at the slightest indication of
an unsafe situation. Occasionally elevator service can be interrupted if
the elevator control system senses a potential dangerous situation.
If the elevator service is interrupted while you are a passenger,
please take the following action:

Open elevator telephone panel and press the phone button.

Do not try to force open an elevator door.

Remain calm.

The elevator company will be notified by building personnel and
they will get you out.
Passengers will be assisted promptly.
Accident or Illness
In the event of an accident or illness of an employee or visitor takes
place in your office area, please take the following action:

Call 911 FIRST.

Floor location of accident or illness
Type of injury, illness or symptoms

Do not move the injured or ill person; try to make them
comfortable.

If possible, have someone meet the emergency units on the
street level.
RESPONSE:

Emergency units will be dispatched as a result
of your call to 911.

Property Management will notify building staff
by radio for help.

Fire Rescue Squad and/or ambulance will be with you shortly
and administer medical assistance or take the ill or injured
person to the hospital.
HURRICANE
The weather bureau, in most cases, informs the public well in advance of
an approaching hurricane so that proper preparation may be taken.
In the event of a hurricane, please take the following precautionary
measures:

Move all valuables from perimeter offices to inside areas.

If you have blinds, draw them closed.

Close all doors to perimeter offices.
The buildings will be officially closed and services will be shut down when
the hurricane is predicted to arrive in the Cambridge area.
All elevators will be parked at the ground level when the buildings are
closed.
The buildings will be cleared of all tenants and personnel.
The buildings will not be reopened until the Property Management Office
deems the building safe and all utilities are restored.
TORNADO
By definition: a Tornado Warning is an alert by the National Weather
Service confirming a tornado sighting and location. The Weather Service
will announce the approximate time of detection and direction of
movement. Wind will be 75 MPH or greater. A public warning will come
over radio or TV.
In the event of a tornado, please take the following action:

Stay away from perimeter of the buildings and exterior glass.
#
If you have an office, which is located on an exterior wall, leave
the office and close the door.
#
Go to the central corridor of the building.
#
Sit down in corridor and protect yourself by putting head as
close to your lap as possible or kneel, protecting your head.
If you are in transit in the buildings:
#
Go to enclosed stairwell for shelter.
#
Do not go to the first floor lobby.
If you are caught in an outside office:
#
Seek protection under a desk.
BOMB THREAT
In the event of a bomb threat is received, please take the following
action:
#
If the bomb threat is called in, keep the caller on the line and
follow the procedures outlined in the Bomb Threat Checklist
(attached).

Commence a search of your area to determine if any strange
objects are present. DO NOT TOUCH SUSPICIOUS OBJECTS
IF FOUND.

Report to building personnel on the scene the results of your
search or report results to the Property Management Office.
#
Attached is a guide on handling a bomb threat call and
information to record and have available for authorities.
RESPONSE:
#
The Property Management Office notifies police.
#
Police or Bomb Squad contacts and questions the person who
received the bomb threat.
#
A building evacuation may take place. Refer to the
EVACUATION PROCEDURE for proper action.
#
In case of evacuation, your Evacuation Director, Area
Evacuation Director, or other authorized persons must remain
nearby the building so the Police may contact them.
#
In the event of an evacuation, turn off all familiar
office equipment.
#
An "ALL CLEAR" announcement will be given by the
Management Office once the building has been deemed safe to
re-enter.
#
If a full building evacuation is not necessary, move up two
floors or down two floors away from the troubled floor.
If you receive a bomb threat call, REMAIN CALM.
Have a pre-arranged signal to alert your manager or supervisory
personnel to listen to the call and, if possible, to record the call. Advise
the caller, if you can, that the detonation of the bomb may kill or injure
innocent people. Obtain as much of the information as possible.
