MACKAY DISTRICT 12 Years & Under SCHOOL SPORT
TO COACHES AND MANAGERS and school staff
On behalf of the Mackay and District School Sports Committee, we thank you for taking on a Coach or Manager’s
position. From 2015, Beaconsfield SS will handle all of the finances related to MDSS. Our aim is to make the
accounting processes involved with school sport as simple as possible. Please note that in the near future all
documentation will be available at Capricornia School Sport (www.capsport.eq.edu.au) with a special link
dedicated to Mackay District School Sport. Ring Peter Nelson (0407751711) or the admin team at Beaconsfield
with any questions you may have.
The manager for each particular sport will collect and collate a list of information (Form 19) for each selected
member of the MDSS team which must be submitted to Beaconsfield SS immediately after the trial. There will be
a flat levy of $50 per child if the team is travelling away from Mackay or $15 for Capricornia carnivals hosted in
Mackay. Beaconsfield SS will be responsible for organizing transport and payment of officials’ accommodation,
carnival levy and coach/manager expenses. In 2015, base schools of appointed officials will have to submit (if
applicable) an invoice for replacement of staff as reimbursement of funds. Reimbursement is only applicable for
specialist staff (ie: PE teachers) and non-specialists (ie: class teachers, aides/office staff).
Points to note Decide your team’s means of transport early (either a bus or a hire car to transport officials).
 Adjust the generic forms to suit your sport- some forms are mandatory
 Check your dates, information carefully-photo copy relevant forms to distribute to selected students
 Collate your team list carefully with contact names and correct spelling-forward to Beaconsfield SS
 Parents and carers are responsible for organizing their child/children’s accommodation needs at the
Capricornia Carnival- billeting by the host centre is extremely unlikely nowadays
 In most instances for away Capricornia carnivals, MDSSC’s policy is to travel the afternoon before the
carnival.
 All money for levies and apparel must be paid to Beaconsfield SS- officials DO NOT COLLECT MONEY
 One official will be responsible for collecting and distributing the ordered apparel to their team members
 At the conclusion of the carnival, complete the Capricornia report and submit to the MDSSC coordinator
 Also, for SPOTY, discuss the possible nominees that you feel are worthy of these awards.
Managers, there are two groups of documents
GROUP 1 – coach/manager instructions, player tally sheets, risk management forms, Cap carnival reports,
Sportsperson of the Year (SPOTY) forms, claim for coach/manager expenses etc. I would like to emphasise the
point that you need to be very precise with your collection of names and contact details for the selected students.
Without these, the administration staff at Beaconsfield SS will find it very difficult to receipt funds to the correct
person. If you follow the advice on the instructions attached, things should run smoothly.
GROUP 2 – team forms, consents, medicals, media consents, transport decision forms etc. Please discuss with
your coach/manager and decide which form of transport you anticipate using. There are two options available:1.
Away travel for all team members (including coaches and managers) at a cost of $50.00 per student
2.
Parents transport their own students (at their own expense) and a hire car is organised for coaches and
managers (through Sandra or Cassandra at Beaconsfield State School). If officials want to use the bus transport
option, then notify Beaconsfield SS in plenty of time to make these arrangements.
DO NOT CONTACT ANY BUS OR HIRE CAR COMPANY FOR INFORMATION. PLEASE LIAISE WITH
BEACONSFIELD. Please contact Sandra or Cassandra ASAP regarding the transport option decision, mobile
phone contact for coach/managers and the pick-up and drop off points for the car/bus.
MDSS Sports Shirts/Hats/Visors/Caps/Coach-Manager Official Shirt
Also, in 2015 each newly appointed coach and manager will be issued with a free MDSSC official’s shirt either
long sleeve or short bearing the sponsor’s logo (Magpies Sporting Complex). Collect these from Beaconsfield SS.
MDSSC officials will be entitled to a new shirt every 3rd year. Two – three days’ notice for collection of apparel
would be ideal. We will keep a record at Beaconsfield School of the apparel that has been ordered and paid for by
the student’s parents i.e. Dress Sports shirts you have taken, caps, hats etc. We are also happy for parents to come
to school to try sizing. Refer to the size chart for actual measurements (Form 21). Note in 2015, all MDSS shirts
have a new logo which the High School is also using. However, all sports shirts will now cost $35 each (GST
inclusive)
MDSSC Team Sports
For each team sport, MDSSC has kit bags containing the team apparel which necessitates each manager keeping a
numbered record of which student has a particular uniform.
