JOB DESCRIPTION POSITION TITLE Assistant Athletic/Media Relations Director REPORTS TO: Direct Report: Indirect Report: Director of Athletics Office of College Relations PRIMARY FUNCTION: This is a full-time position dedicated to assisting the Athletic Director with general athletic administration and the day-to-day operations of the Athletic Program, coupled with a leadership role in the area of sports information/media relations. The person holding this position must possess a deep appreciation and empathy with the role of intercollegiate athletics and its relationship to the College. AREAS OF RESPONSIBILITY: 1. Assistant to the Director of Athletics a. Assist with: fundraising, fiscal planning, implementation, and management. b. Assist with Personnel Processes i. Hiring process of athletic staff. ii. Performance evaluation process. 1. Coordinates the of collection of data c. Site manager for football and all winter sports. d. Serve as manager for all compliance issues for all sports. e. Oversee of athletic student work program. f. Coordinate special initiatives: i. Hall of Fame Committee, Minnesota Intercollegiate Athletic Conference (MIAC) events, National College Athletic Association (NCAA) events g. Director of the annual St. Olaf Golf Classic 2. Act as liaison between the St. Olaf athletic department and its constituents as well as local, regional, and national media. a. Media Relations and Publications i. write copy and coordinate production of media guide, Minnesota Intercollegiate Athletic Conference (MIAC) Booklets, season packet schedules and game programs. ii. provide copy for St. Olaf Magazine, newsletter, and other brochure needs. b. Mange the Athletic website: i. game previews and recaps; update results with links to box scores; season previews and recaps ii. in depth coach biographies and student player biographies iii. action and team photos iv. timeliness of updates c. Oversee Statistical Reporting: i. ensure submission of statistics to Minnesota Intercollegiate Athletic Conference (MIAC), National College Athletic Conference, and local media ii. ensure timely updates of statistics on St. Olaf Website iii. maintain all-time St. Olaf sports records d. Photography: oversee all athletic related photography needs. SUPERVISORY RESPONSIBILITIES: This position hires, disciplines, trains, evaluates, and assign student work: 15 - 20 who will provide statistical reporting; 3 – 5 sports photographers. This position supervises one staff member who will assist with the Athletic website. CONTACTS: This position may have contact with but not limited to the following groups/organizations: the President, Vice Presidents, Regents; Students, Parents, Alumni, Donors; General Public, an Admissions applicants; Minnesota Intercollegiate Athletic Conference (MIAC) Office; National Collegiate Athletic Association (NCAA) Office. EDUCATION: Essential: Desirable: Bachelor of Arts or Bachelor of Science. Master’s Degree in Business Administration or Athletic Administration or Sports Management and/or degree in Media Communications or related field. EXPERIENCE: Essential: A minimum of three years experience in athletic and/or business administration; minimum two years experience in Division III or higher athletic media relations capacity. Collegiate coaching experience; experience with hiring and supervising athletic staff; experience in website management; experience with “Automated Scorebook” statistical reporting software. Desirable: KNOWLEDGE, SKILLS, ABILITIES: Must possess interpersonal skills necessary to communicate effectively with coaches, athletes, media, collegiate faculty and staff. Must possess a good understanding of collegiate sports. Must possess an efficient time management style to ensure timely completion of duties as assigned. Ability to work in a fast-paced environment. Proven ability to write sports related articles for media purposes. Intermediate to advanced computer software skills: Microsoft Excel, Word; statistical software packages, desktop publishing, web page management and creation. PHYSICAL DEMANDS: Occasional long hours as schedule demands. WORKING ENVIRONMENT: Typical office setting with travel to off-site activity locations.
