LONDON BOROUGH OF NEWHAM JOB DESCRIPTION ________________________________________________________________________ Title of Job: Community Use Manager (Sport & Leisure) Grade: SO1 / SO2 Department: Education Section: Forest Gate Community School PERSON REPORTS TO: Business Manager PERSON SUPERVISES: Community Use staff including receptionists, attendants, fitness supervisors and fitness instructors. PURPOSE OF JOB: To provide a safe and efficient service for all community use customers. To promote and maximise the use of the sport and leisure facilities for staff, students and external customers. DUTIES AND RESPONSIBILITIES: 1. Management 1.1 Manage the facilities, out of hours club and lettings and ensure successful financial performance whilst meeting the requirements of the Philosophy of Use as directed by the Business Manager 1.2 Maintain harmonious relationships with school staff and community users; evaluate proposals for changes made by them, and prepare appropriate reports for the Leadership Group. 1.3 Maintain a continuous review of operations and service standards to ensure the competitive position of the facilities, out of hours clubs and lettings. Identify need for change and improvements/additions with a view to maximising economy, efficiency and effectiveness, taking full account of the needs of the various user groups. Implement as authorised by the Business Manager 1.4 To undertake the day-to-day management of the sports facilities to include: i) Opening and locking the facilities as required ensuring building and equipment checks have been completed. ii) Responding effectively to customer queries. iii) Co-ordinating bookings. iv) Organising and assisting as required in the set up of area for activities. v) Undertaking reception duties as required including cashing up and end of day reports. vi) General duties in respect of leisure provision throughout the School campus. vii) Regular checks and patrols of the facilities. 1.5 To contribute to the development and implementation of the community use programme to include academic sessions and activity class programmes so as to maximise usage. 1.6 To contribute to the promotion of the programme and ensure that it continues to reflect the needs of all target groups and to co-ordinate membership sales activity including open evenings, promotions and conducting prospective member tours. 1.7 To undertake day-to-day supervision of staff as required ensuring the effective operation of the sports facilities. 1.8 To provide holiday and sickness absence cover as required. 1.9 To coordinate and contribute in the co-ordination of gym based retention strategies for existing members. 2. Administration and Finance 2.1 Produce an estimated annual budget in consultation with the Business Manager. 2.2 Control the budget for the community use facilities. 2.3 Produce and present the trading account every month and, in conjunction with the Business Manager, take action where necessary. 2.4 To undertake administrative duties in relation to memberships, including the processing of direct debit details. 2.5 To operate cash registers to include the completion and reconciliation of cash sheets in accordance with School procedure as directed. 2.6 To collect, bank and account for monies in respect of membership and other customer payments. 3. Health and Safety 3.1 To assist in the organisation and implementation of a programme of Health and Safety checks. 3.2 To liaise with the Facilities Manager / Site Supervisor to ensure that the facilities are maintained at the required standards of cleanliness. 3.3 After training, undertake routine equipment maintenance, whilst organising more complicated maintenance repairs and servicing. 3.4 To prohibit, so far as is reasonably practicable, unauthorised use of the facilities. 3.5 To administer first aid to users of the facilities as required. 4. Instruction and Training 4.1 Determine performance and productivity targets for staff where appropriate and ensure that these are met. 4.2 Allocate work to the community use staff and control progress and accuracy of their work. 4.3 Recruit and select subordinate staff in conjunction with the Business Manager. 4.4 Manage the human resource function including discipline, appraisal and training. 4.5 To train and evidence training of receptionists, fitness supervisors, leisure attendants and instructors on all appropriate aspects of the sports and leisure operation. 5. General 5.1 To build and maintain strong and positive relationships with the school community, staff and students to maximise the use of the sports and leisure facilities. 5.2 Prepare and submit a draft service plan in the required form at such times as laid down by the Business Manager. 5.3 Monitor progress of the activities and lettings against the service plan and rectify deviations or recommend modifications as necessary. 5.4 Write letters and reports. 5.5 Comply with appropriate legislation, especially with regard to Health and Safety, and ensure that operating procedures are continually reviewed and revised as appropriate. 5.6 Attend Committees and other meetings as required in a support/advisory capacity. 5.7 Ensure that complaints and queries are dealt with promptly in accordance with the relevant procedures. 5.8 Attend special events and meetings as required outside normal working hours if necessary. 5.9 Use information technology in connection with the duties of the post and continuously review the requirements of the Sports Hall with this regard. 5.10 To apply the School’s Equal Opportunities Policy in the postholder’s own area of responsibility and in his/her general conduct. 5.11 To apply the School’s Health & Safety Policy in the postholder’s own area of responsibility and in his/her general conduct. 5.12 To carry out other duties, commensurate with the grade of the post, as directed by the Business Manager after due consultation.
