Applications for Venue Hire Guild Theatre & Union Theatre Second Semester 2014 Application Guidelines Applications for second semester 2014 Venue Hire for the Guild Theatre and the Union Theatre are due to the Union House Theatre Office (or by email uht@union.unimelb.edu.au) by 12pm Monday 14th April. Only currently affiliated theatre groups may apply. Groups will be informed of the committee’s decision in a meeting on Wednesday 16th April 2014 at 1pm in the Guild Theatre, first floor, Union House. All groups must provide a representative at this meeting for their application to be fully considered by the selection panel. Failure to attend could jeopardise your chances of being granted a space. Space and resources are limited. Please make sure that you nominate at least two preferred seasons in your application. However, only list seasons that you can use. You may only apply for one or two week season in the Union or Guild Theatres. Please observe all dates below, and pay attention to the weekly range. Dates available are listed below. Please make sure your season commences and concludes on the indicated date ranges below. Please ask us about any shifts in the proposed dates as there may be some flexibility in use of venue. The times that the Union Theatre is not available for student theatre use are every Monday to Friday 8am – 12noon. Should you wish to enquire if the venue is available within these times, checking against the University Venue Booking system is required. We encourage all student theatre groups to plan this into their venue ‘Hours of Occupancy’. The Guild Theatre remains as a clear venue for flexible times of access. Selection Process The selection panel has a duty to present a diverse season in the theatres. In the past the following points have been considered: * Any flexibility the group may have with times and choice of venue. * Is there a fair spread of resources? Are there enough people to fulfil all positions without some people being overloaded? (The aim is to resource as many different students as possible) * The theatre group's financial standing with the Student Union and the Theatre Board. * If any group has previously been unsuccessful in applying for a venue. * The technical requirements and the best venue that may suit those requirements. * If the work has been performed on campus before. * New works or the creative process behind the application. * Previous venue allocations to key personnel or performing arts group. Affiliated Groups who are unsuccessful at securing a UHT space will still be eligible for Union House Theatre support. Theatre Hire Costs Union House Theatre subsidised rates for affiliated theatre groups as follows… Union Theatre – one week: Guild Theatre – one week: Union Theatre – two weeks: Guild Theatre – two weeks: $4,400 $3,000 $6,000 $4,200 55 Hours of Occupancy 50 Hours of Occupancy 75 Hours of Occupancy 70 Hours of Occupancy These charges are the minimal charge possible for any whole or part week usage for a season of theatre events. You don’t have to use all Hours of Occupancy but it will cost the same. Equipment Technical Specifications are available on request from the UHT Production Manager explaining what is included in your hire. Equipment hire fees will apply to all other equipment used by groups beyond these specifications, such as Projectors. Hours of Occupancy The Theatre Hire Cost includes up to the indicated amount of Hours of Occupancy. You can hire the venues for longer than the Hours of Occupancy but additional hourly rate applies. Some additional building hours may also need to be charged depending on the venue purpose at $44 per hour. Union Theatre Guild Theatre $80 per hour $60 per hour Staff Support We include a reasonable amount of one on one access to the professional staff in the office. Should your access to these staff members get more intense, we may need to discuss charging for their time. Please read below. One Week Hires – Large Musical Productions and College Productions Union House Theatre advises that if you are planning to stage a large scale production (such as a musical with large cast and orchestra) – we strongly recommend a two week hire of the theatre or alternatively employing a UHT casual technician (or an industry professional approved by UHT) in the role of Technical Co-ordinator. If you choose to do your musical in one week we will strongly advise a Thursday (not Wednesday) opening night to accommodate your technical/production requirements, and we may appoint an additional production person at our discretion and charge you for their time.
