Board of Directors Meeting Minutes 5/12/15
In attendance: Bob Neuman, Maureen McManus, Megan McMorrow,, Nico Vroom, John
Hartel, Kate Bowers, Mike Maleski, Baman Rusby, Cathy Ventura-Merkel
Synchro Team DIscussion - Keith Buell
Synchro representatives, Keith Buell, Hildie Block, Cassie Block and Cyndi Olson, asked to
meet with the Board to discuss issues related to the possibility of the synchro team folding due
to scheduling conflicts. Keith provided an overview of the issues, particularly the need for 3 - 4
hours per week for practices. He reiterated that the program will not survive without needed
practice time. Several possibilities were discussed including Wednesday evenings, Sunday
mornings and weekday mornings. Mike will follow-up with exact times for both before and after
school is out. (For reference, there were 12 Overlee member synchro swimmers and 14 nonmembers in 2014. So far in 2015, there are 22 members, 12 non-members!)
Agenda, Minutes & Executive Committee - Bob Neuman
 The minutes from the 5/12/15 board meeting were approved.
Membership Committee - Maureen McManus
 There were 65 openings this year, several more than expected. Invitations have been
sent to the top 170 on the waiting list.
 August passes sold out in three days.
 Membership cards will be mailed next week.
Finance Committee - Maureen McManus
 The loan agreement has been approved and was signed by the Board President and
Secretary, Bob Neuman and Cathy Ventura-Merkel respectively.
Facilities Update – Mike Maleski and Megan McMorrow
 Sound mitigation proposals are coming to Megan tomorrow. Work will take 3 - 4 weeks
to complete once a decision to move forward is made.
 Clubhouse rentals are going well.
 Staff will be trained using e-soft for time reporting.
 FInal spring projects are underway including new trees, team room repairs, and planning
for stairway to volleyball area).
 Harry Braswell was contracted for on-going maintenance services for all facilities (rental
house, manager's residence, and clubhouse) including quarterly maintenance and adhoc repairs.
 Volunteer day is this Saturday.
Manager and HR Update - Greg York and Mary Bohan
 Lifeguard and lifeguard instructor classes are going well.
 Pools have been inspected.
 New solar covers for lap pool have arrived.
 Heater in lap pool is being better regulated.
 Staff are getting lined up, but younger employees still need to get their paperwork in.
 Opening weekend is all set; 2015 hours are on the web site,
 Greg will update twitter weather account once the season starts.


New guard shirts and pool flags have been ordered.
Bob and Mary will attend all-staff meeting on behalf of the board.
Activities Updates
Social - Nico Vroom
 Memorial Day opening activities are being finalized.
 Planning is underway for June 6th Lebanese Taverna night.
 Beginning to plan for Fourth of July.
Swim Team - Kate Bowers
 School of FIsh is full, there is a waiting list.
 240 registered for swim team.
 Practices start on Monday.
Group Lessons - Hunt Allard
 Lesson planning is in good shape.
Communications - Cathy Ventura-Merkel
 We need everyone to keep the portions of the web site for which they have responsibility
updated now that season is about to begin. Mike Maleski offered to help anyone who
needs training in using Word Press.
 Member updates will be more frequent. Please try and think ahead about what needs to
be communicated.
 All Board members should be using, posting and liking our Facebook page. We need to
build content and traffic through timely and useful information sharing.
