SAINT MARY’S HIGH SCHOOL POSITION DESCRIPTION Assistant Controller for Enrollment Management Work Hours / Benefit Package: PART TIME POSITION SEPTEMBER – JUNE: Mon-Fri 9 AM – 2 PM (25 Hrs/Wk) JULY – AUGUST: Mon/Wed/Fri 9AM – 1 PM (12 Hrs/Wk) RATE OF PAY: $15 / Hour $750 per biweekly pay period during school year, $360 during summer. Option to annualize to $17,550 salary, paid $675 biweekly. BENEFITS: Employer will pay 60% of Health Insurance. Participation in employer-paid defined benefit pension plan through Diocese of Buffalo Optional participation in 403(b) plan (no employer match) Reports To: Direct Supervisor is Margaret Testa-Goss, Controller Indirect reporting to Steve Grieco, Director of Enrollment Annual evaluation jointly by Controller and Director of Enrollment, with review by Mark Kelso, Executive Director Qualifications: Minimum Associates Degree in Business-Related Field B.A. or B.S. in Accounting or Finance preferred Strong computer skills required, including proficiency in Microsoft Excel QuickBooks or Peachtree Experience preferred Position requires maintenance of accurate records and proficiency for financial and market analysis Assistant Controller for Enrollment Management PAGE 2 Detail Position Description: This part-time position is primarily an accounting/bookkeeping role with responsibility to: Maintain accurate records of student accounts – including tuition and fee revenue and receivables and crediting of financial aid awards. Work individually with our approximately 330 families to ensure tuition and fees are either (a) paid in full prior to the start of the year, (b) being paid by regular ACH withdrawal, or (c) subject to a custom payment agreement. In the case of custom payment agreements, position has responsibility to establish, track and monitor adherence to agreements and initiate collection action if necessary, consistent with the policies of the Board of Trustees. Provide accurate and timely cash flow projections for tuition and fee revenue to support the broader school-wide cash flow projections and budgeting process of the school. Manage and maintain accurate records for additional student activities and programs (including driver education, middle school “prep” programs, summer school, student work crew, certain athletic programs, etc.) Other accounting or reconciliation tasks as assigned by the Controller Develop a working knowledge of St. Mary’s accounting system and processes so as to allow functioning as a short-term (1-2 week) backup to the Controller (able to process a payroll or pay a vendor). In addition to the accounting/bookkeeping role, given the close involvement with student accounts, the holder of this position will be a key member of the Enrollment and Recruitment team: Provide administrative assistance to the Enrollment Director as needed Be the “resident expert” on student financial aid – including a strong working knowledge and ability to be conversant in financial aid policy (as promulgated by the Board of Trustees) and an awareness of trends. Meet with current and prospective families to assess financial aid needs and manage application process. Conduct market and demographic research under the direction of the Enrollment Director and Board of Trustees Financial Aid and Recruiting Committee in order to support decision making on tuition and financial aid policy.
