Silverdale Whaling Days Meeting Minutes April 1, 2015

Called to order: Vicky Webb, Co-President

Other Attendees: Joan Larson, Carla Larson, Sunny Saunders, Rich Peel, Caleb Wilson, Keri Roberts, Mike

Hancock, Rose Patrick, Roy Meyers, Jan Lamphere, Roland Arper, Janice Miller, Dan Prince, Chris Perez.

Approval of the Minutes from – March 18, motioned, 2 nd , passed.

Treasurer's Report: $30,216.11 at Kitsap Credit Union, ($300 check still outstanding) 2 CDs at Union Bank

(Mature July/August). Brenda Higham voted on and accepted the Treasurer’s position. Joan Larson has resigned.

Co-presidents report: Interviewed Brenda Higham for Treasurer.

Marketing/Advertising: Sunny will contact Mentors for the Hwy 3 sign for festival dates. April 15, WD Open

House meeting.

Social Media:

- posts using the "fun for everyone" slogan, submitted the April 15th Open House Whaling Days Committee

Launched the Whaling Days Battle of the Bands,almost 50 shares and about 2500 views so far. Bands will send submissions to via e-mail and the deadline is April 15. 6 bands will be selected and will perform the Battle of the Bands on June 13th at the

Garage Bar and Grill at Kitsap Lake. Winner is will be selected by anonymous judges through different categories. Winner will perform on the main stage at Whaling Days.

Website: updating (Caleb needs the minutes) need to forward Whale of a Run site to Caleb

Beer Garden: on track, waiting until after Spring Break next week to meet with Marine View Beverage.

Entertainment: Battle of the Bands as stated above, it’s a fundraising option, Starts at 8:00PM. Main stage 14 bands will play for 40 minutes except the headliners who will play for approximately 2 hours.

Environmental: email bid to Honey Buckets and Randikan.

Fireworks: John contacted barge, need contracts

Information: Joan and Janice will check inventory.

Scholarships: nothing received

Security: Olympic high and CK high football teams are contracting with Whaling Days for security this year.

Sponsorships: Gus spoke with Washington Tractor about gators, Vicky working with Sunny on other sponsors.

Street Fair: 2 applications received, Keri and Carla will get together for processing.

VIP: on board, Joan getting 2 bids.

Events:

Pancake Breakfast/Ducks: on track, check the link

Tour de Kitsap: reported that 5% that was requested would put them in the red for 2014. Said they paid 2013, no record of it received. Will be sending 5% 2014 check today.

Whale of a Run: website up

Canoes: same plan, have their 501C status, will be dealing directly with Columbia Bank. No bleachers.

Parade: waiting for sponsor before entry forms are available. For information on parade email lionsgrandparade@gmail.com

Old Business

Pizza gathering; April 15 5:30 – 7:00, Roundtable Pizza- info table for each chair

Event meetings: planned with all the above events- TDK not responding to attending meetings. All events need to provide their own potties and ice.

Rentals – any updates- let Carla know.

Port meeting- 3 rd Thursday each month at 7:00PM Port Office on Byron- Carla plans to attend in April.

Nominating committee: Officers/directors- Carla explained the process and what positions need to be filled.

Directors voted in Chris Perez as 1 st VP to fill the space for 2015 festival. Voting will be in May. If no opposing nominees no ballots will be sent, voting will take place at second meeting in May.

Sea Cadets are all new and want to be involved, were told that contracts have gone to two other groups.

New Business

Merchant services- check with Costco or Square.

Sunny will be checking with Pepsi for ice container.

Battle of the Bands fun night- committee of Sunny, Keri, Joan, Carla and Vicky will meet and plan.
