The review of the September minutes was deferred to next month’s meeting. Dr. Bray introduced Amanda Duncan, temporary administrative assistant for GME and Dr. Matthew Grisham, new program director for Pediatrics. Duty hours reports were deferred to next month’s meeting because Kelli DaSilva is attending conference this week. OUTCOME/ ASSIGNMENTS GMEC CODE C/PD DH House Senate Report Dr. India Robinson The House Senate is emphasizing event reporting to residents and are developing a survey to distribute to residents to determine what is hindering them from submitting reports. The Senate is also working on Quality Improvement Practices with CBTs and conference presentations. With the holidays coming up, the Senate will participate in a canned food drive for Thanksgiving and a clothing, gift, and coat drive for Christmas. Capital Designs Associate Group Megan Reichert spoke about what Capital Design Associates have to offer residents. They offer financial workshops covering four areas – assets, liabilities, cash flow, and cash need. They also offer disability insurance for residents through Standard Insurance. Capital Design Associates and GHS had to be vetted in order to offer this product. There is no medical underwriting for this insurance. There is an electronic, 5-page application to completes. The insurance premium has a 15% discount and offers a unisex rate. If a resident has been denied life or disability insurance, they will not be able to get this product. Ms. Reichert asked for an opportunity to speak with residents in November or December regarding the disability insurance and again in April and May regarding the business workshops. A Survey Monkey needs assessment survey will be sent out in January to residents to determine workshop topics and content. Ms. Reichert asked to schedule about an hour and a half meeting for each of these purposes. She will be contacting the Program Coordinators to schedule with each department. Megan Reichart to schedule meetings with Program Coordinators for: - Disability insurance - Business in Medicine Workshops C&E RC/B AO IA Mgmt CLER Moment – CLER Response Review Dr. Edward Bray The submitted DIO CLER Response is posted on GMEC SharePoint. Dr. Bray thanked CLER Sub-committee physician leaders for their input regarding the response. Ms. Griffith reported that the issues with vouchers seem to have lessened. The Coordinators indicated during the retreat that they have not had further problems. Ms. Griffith stated that Derek Payne has discussed why the budget for GME recruiting is housed within Physician Recruitment rather than the GME budget and that he is working on moving this budget item to GME for next year. Also, Mr. Payne has discussed resident purchases of computers with IT. Computers may be purchased out of educational allowance funds but the devices will need to be programmed through IT to have the GHS securities software installed. Residents are allowed to take the computer with them upon graduation. The discussion regarding using the money allocated for iPads to purchase the phones instead of depleting the educational funds was accepted. Mr. Payne is negotiating IT purchase of computers for residents so educational funds are not depleted and IT securities are more controlled. Residents have a certain amount of money set aside for meetings, purchase computers, and towards further educational activities. Residents can use these funds to attend conferences when they are not presenting. Academic funds are allocated for papers but not posters. RC/B AO IA Mgmt Desmond Kelley reported that LCME visit, site visits and governance of GHS were discussed at the Academic Council Meeting. Residency Coordinator Retreat Ann Griffith Ms. Griffith reported that the Coordinators had an enjoyable coordinator retreat. The Residency Coordinators are working on a coordinator training manual that they refer to as a survival tool kit. Survival Tool Kit chapters to be included were reviewed at the retreat and each Coordinator will continue to work on a section. The theme for the retreat was Survivor: Shifting Toward Conscious Professionalism. Sharon Wilson, GHS Director of Conscious Leadership presented mini-presentations or snip-its on various conscious leadership concepts during our Segway tour. Dr. Bray presented lessons from leadership concerning recent GHS governance issues and the realignment of Program Coordinator positions to Academics. The goal is to realign the coordinator positions with Academics to report under Derek Payne instead of with the hospital. C&E AO IA Mgmt Program Directors expressed their concern if this realignment does not occur. GME has already lost several coordinators due to the belated attention to the upgrade of these positions. Clerkship Coordinators are being paid at a higher rate because they are academic coordinators. After considerable discussion the Program Directors voted in favor of sending a motion to Derek Payne in support of the change - “GMEC supports realignment of the residency coordinator positions from hospital status to academic status. Program Directors recommend that supervisory authority for these positions be transferred to Academics.” The Program Coordinators will continue to report in the departments to the Program Directors. 3 Annual Report Presentations Dr. Edward Bray Dr. Chris Carsten presented the Annual Report for Vascular Surgery. He stated that there had been no faculty changes. Two students graduated. Two applicants matched for next year. No disciplinary actions. Board pass rate for the past 5 years is 100%. ACGME report went up in all categories for faculty and residents with no area for significant improvement. ACGME site visit last year had no citations and the program earned continued accreditation for 4 years. Areas for improvement were the elective rotation and rotation length. Dr. Scott Porter presented the Annual Report for Orthopaedic Surgery. The program has 4 resident positions every year for 5 years. 100% pass rate for last 5 years. Dr. Porter reported active numbers in research with 20 residents and 28 faculty members involved in scholarly activities. The Clinical Competency Committee has had 3 meetings and this group continues to meet and is beginning to yield fruit. Graduates matched 4 fellowships this year with Sports Medicine being the most popular fellowship. Dr. John Tokish presented the Annual Report for Ortho Sports Medicine. Dr. Tokish offered a PPT presentation and reported that the program has 9 core faculty members. This past year the program moved that status of their sponsoring institution from an independent program to GHS as a sponsored program with this GMEC. 100% rated overall evaluations at highest level. Graduated all 4 fellows in August. Exit interviews were good. No citations since 2010. The program receives 150 applications a year. ACGME allows the program to take 6; but usually we recruit only 4. The program’s recruitment match goes no lower than 7 on the rank list. The program offers one-on-one operative experience with 500 cases per year. The program has been approved for one International sports medicine research fellow for next year.
