Exchange Dates for your Diary trimester 1 2015/2016 (page 13) 1 The GCU Exchange application process is now on an online system for students to complete. Please follow the URL link below after reading the application information before you begin. For exchanges in Trimester 2 the application deadline is; Thursday 15th October – NON-EU Destinations Thursday 22nd October – EU Destinations Documents to have ready before starting your application online: PDF Formats Copy of your identity document (passport) Copy of your Academic Transcript of Records (available from your programmes office within your school) Motivation letter max 250 words Proposed learning agreement for GCU Exchange Study (this must be signed by the student and their GCU Exchange Academic coordinator to be uploaded into the online application) JPEG Formats Profile picture (e.g. passport picture) The Exchange and Study Abroad team are hosting 2 information sessions prior to the next outgoing application deadline. These will be held on; Thursday 24th September, 4-5pm in room CEE_1 and Thursday 6th October,4-5pm in room M225. We would like to highlight that students may still have the possibility to apply for scholarships if they are applying to a chosen Santander Scholarship supported country; Chile, Germany, Poland, Spain, Uruguay and the United States. Fashion Business students have the option to apply for the Gillian Purvis Scholarship - Travel Bursaries are available for 3rd year Fashion Business students planning to take part on an overseas exchange programme. This can be completed either by, printing when complete and scanning back into a pdf version for uploading onto the online application. Please drop in and speak to our team! 1) 2) 3) 4) 5) Download ESA Info Pack (available online, on GCU Learn Community or from your exchange academic advisor) which details what subject area each agreement is with. (Business agreements cover the majority of all Business programmes – such as International Business, Marketing, and Management). Research suitable partner institutions websites to identify those that offer similar modules to those that you would be studying at GCU (available in your programme handbook) and narrow down to three partner destination choices. DO NOT APPLY TO THE PARTNER DIRECTLY. You may contact them for module clarification only. Complete a Proposed Learning Agreement (available in the info pack) to detail the entire module choices that you want to study at each of the 3 Partner Universities (please note that each GCU module is 20 SCOTCAT credits = 10 ECTS). This must be approved and countersigned by your GCU Academic Exchange Coordinator. Please make an appointment to see your Exchange Academic Coordinator and provide them with will detailed information on each module choice. Complete a GCU Exchange Application form online. You will need to submit a scanned copy of your passport details and also a copy of your transcripts (these can be obtained from your Programme Administrator) along with a motivational letter. This will prepare you for applying to your exchange university once you have been successful nominated to 1 destination. Submit application by the following deadlines: a. For exchange in Trimester 1: 26th February 2015 b. For exchange in Trimester 2: i. 15th October 2015 for Non-EU Exchange destinations ii. 22nd October 2015 for EU Exchange destinations If there is a high demand for one partner a selection process will apply; if not we nominate you by email to the host institution before you can proceed with their application. **Please note that students who have outstanding resits will not be eligible for exchange** STEPS TO BE COMPLETED AFTER SELECTION BY GCU: 6) 7) 8) 9) 10) 11) 12) 13) 14) Complete partner application online/hard copy as specified by the partner, you will be notified by ESA to which university you have been nominated for. After applying students can contact partner institution directly with any queries. Acceptance sent by partner institution hard copy/email to GCU or directly to you. If non-EU exchange (or non-EU citizen going to Europe) start visa/study permit application process. After visa/study permit received book travel & apply online for free GCU insurance. Information regarding this will be provided to you. Complete GCU Data Form 1 which will be emailed to you by ESA. Students participating in the Erasmus EU exchange must complete Data Form 2 to provide bank details to the GCU Finance Office for Erasmus funding to be organised to be paid (80% of the total at the beginning of exchange once arrival certificate and countersigned learning agreement are returned to GCU, 20% at the end of the exchange once final paperwork is returned). Attend mandatory GCU pre-departure meeting: Typically in April (students leaving in Sept) and in November (students leaving in Jan/February) Register with GCU for the trimester you will be away. Check GCU emails regularly whilst on exchange. 3 Proposed Learning Agreement and Exchange Destination Choice Form 2015/2016 This form should detail your intended course of study at the partner institutions you would like to be considered for. The first section should detail the modules you would complete if you remained at GCU. You can select up to 3 of our partner institutions. If submitting more than one choice you must be prepared to study at any of the destinations, however we will endeavour to place you in your first choice but this is not always possible. Those who do not provide more than one destination will not be considered for any other destination should they not be selected. These choices must be signed by your exchange academic coordinator for approval under choice 3.
