Role Description of CVHS Athletic Boosters Board Positions CVHS Athletics are self-funded (no district money) but are a critical part of our children’s high school experience. The essence of the CVHS Athletic Boosters Club mission is to facilitate team fundraising and raise additional funds to help support all of CVHS athletics to keep our programs intact and students engaged. The CVHS Athletic Boosters Board oversees and ensures that the fundamentals of our fundraising continue to grow. The fundamentals are the basis of the Board Chair positions Membership/ Membership Cards Concessions Merchandise Sponsorship eScrip Other Boosters Fundraisers (e.g. annual Crab Feed and Run-To-Play) Board (*Executive; **Chair Positions) General: All Board members attend & report updates at the monthly CVHS Athletic Boosters Board Meetings. Board members also act as “Boosters Liaisons” for one sport per season to facilitate team fundraising (through collaboration with the respective coach & team parent). Additionally, Board members help as needed with Boosters fundraisers. We are a team! President*: The Board President takes responsibility for the Board’s activities and is the face of the Board externally. Specific duties include appointing chair positions, setting monthly Executive & General meeting agendas, presenting at the seasonal coaches and parents sports meetings, holding off-line meetings with administration and external parties as needed, signing contracts & general oversight to ensure Board runs smoothly. This person should not be afraid to talk in front of people and strong organization skills are essential. Vice President*: The Board Vice President helps the President and in an analogous role helps with all positions, as needed. In the event that the President is unavailable, the Vice President has full authority to take over the President’s duties. This person should be particularly easy to work with and a diverse experience has certainly proved helpful. Treasurer*: The Board Treasurer takes care of the money, including receiving, depositing and dispersing funds. The Board Treasurer shall present a statement of account at all regular meetings. This position requires some accounting background (ideally) and a familiarity with Quickbooks (if possible). The Treasurer sets up cash boxes and manages the “Square” credit card account and manages all things related to the finances of the Boosters. The Treasurer also has responsibility of ensuring that taxes are filed. Other than Board meetings, this position can be performed at your convenience. Secretary*: The Board Secretary has responsibility for creating and maintaining much of the Board’s correspondence. The Secretary creates monthly newsletters, creates and sends out ad hoc marketing communications via Constant Contact and other correspondence as necessary. The Secretary must be present at Board meetings to record and then transcribe meeting minutes for approval. The Secretary also manages the Board’s documentation repository, currently utilizing Google Drive. Other than Board meetings, this position can be performed at your convenience. Procurement/ Merchandise*: The Board Merchandise Chairperson oversees merchandise. This includes procuring merchandise, inventory management and overseeing sales, including meeting customers at random times. Ideally this person has purchasing, merchandise and inventory management experience and can also manage merchandise income and expense records. Excellent organizational and Microsoft Excel skills are also key. Some aspects of this position can be done on your own time, but the person needs to be able to set up and support merchandise sales at registration and all home football games. Membership**: The Membership Chairperson is responsible for assisting interested community members in joining the CVHS Athletic Boosters. Her/his responsibilities include ordering and selling the CVHS Athletic Boosters Membership Cards. This is primarily done during school registration (with help from the other board members) and at the first few football games of the year. It may be necessary to arrange to meet people interested in joining the boosters at other times as well. Concessions**: The Board Concessions Chairperson is responsible for all concessions. This includes stocking the Concessions Stand and working with teams to set the work schedule. Some of this job can be done on your own time, but the bulk of it is tied to game schedules. Organizational and inter-personal skills are essential. eScrip**: The Board eScrip Chairperson is responsible for reviewing & entering eScrip membership and interfacing with eScrip. This job also entails contacting athletic families to ensure they’ve entered their information correctly. With the exception of Board meetings, this job can be performed on your own time. Sponsorship**: The Board Sponsorship Chairperson is responsible for contacting potential sponsors, having banners and signs made and coordinating installation. This job entails working with community merchants, as well as the sign vendors. With the exception of Board meetings, this job can be performed on your own time. Fundraising**: The Board Fundraising Chairperson has general oversight over Boosters Fundraisers, including the Annual Crab Feed and the Run-to-Play. Ideally, the Fundraising Chair will find additional ways to bring in money. Being part of the CVHS Athletic Boosters Board is a rewarding experience. Not only do you enrich the students’ experience, but you make new friends as well. The interactions with Administration allow for greater insight into your child’s school.
