Band & Orchestra Booster Meeting Minutes
Thursday, April 16, 2015
Present: Sheryl Gerrard, Erica Hefner, Jody Mace, Robbin Palmer
 Treasurer’s Report: Band has approximately $1400 left in their account, Orchestra has
approximately $3300 and the BOB account has over $3000.
 Robbin discussed looking into different ways to categorize income and expenditures next
year to make budget easier to understand & to differentiate between the three accounts
 Upcoming Concerts:
 Dates for concerts were clarified (changed from previous schedule):
 HS Band & Orchestra is April 30 at 7:00 in Auditorium
 Recital Seminar is May 3 at 3:00 in Black Box: Charlotte Symphony will provide Reception
after concert in the Black Box, as well as print the programs
 MS Band & Orchestra is May 5 at 7:00 in Auditorium
 Robbin will contact John Howard to ask if he will be designing programs & will arrange to get
information to him
 We have plenty of water, but will need chips for dinner as well as concession snacks.
 Jody has $50 gift card previously donated by BJ’s that she will use to purchase items
 Jody will add information to the website about the concerts and the need for parent
volunteers to help out, as well as send an email from the BOB account
 Board Needs for next year:
 Positions available: President, Vice President, Treasurer, Recording Secretary, Social Media
Coordinator, Volunteer Coordinator, Fundraising Chair
 All positions will be posted on the website and parents will be asked for nominations.
Positions will be voted and decided at BOB Awards Banquet
 End of year awards dinner was requested by Hefner
 Decision was made to hold BOB Awards Banquet on Friday, May 29th from 6:00 – 8:00pm in the
cafeteria at school. BOB will provide drinks and paper goods. Each family will be asked to bring a
Main Dish that feeds 2 more people than they are bringing and utensils for serving the dish. In
addition, if your student plays violin or a percussion instrument, you should also bring a salad or
side vegetable; if your student plays viola, cello or bass, you should bring bread or rolls; if your
student plays any type of horn or woodwind instrument, you should bring dessert. All families
will be encouraged to attend as a way to get to know each other, as well as to honor the
students.
 Hefner’s Wish List:
 Erica requested approval to purchase folders that would be numbered and checked out to
students at the beginning of the year and then returned. Total cost is approximately $971. This
was approved as a BOB expense.
 Concert attire for HS Orchestra was proposed and discussed. Boys would wear tuxes and girls
would wear long black dresses. It would be a way for students to have a unified look, more
professional and create less stress about not having appropriate concert attire. Erica will
investigate and compare costs; looks to be about $100 per student. Possible way to handle boys
outgrowing tuxes and doing a return for credit was discussed. Further investigation needed.
 Proposed trip abroad for 2 years from now (Austria). Erica is working on doing this in
conjunction with 4 other schools to keep costs down. We discussed doing targeted fundraisers
to have an account that would decrease every student’s cost. Ideas included Tupperware sale
(parent of an orchestra student; 40% return), charging for tickets to Handel’s Messiah (in
conjunction with chorus) and/or selling Go Play Save books again but kicking it off within first 2
weeks of school.
