Requests for resource to support SER Wave 2
Deliverables as identified in September 2014 Options Paper
1.
Permission to carry on with the work being done in Wave One:

Continuing to enlist Schools and Units to ESD, specifically CAPOD, Development, ELT,
Careers, Computer Science, Divinity, History, Management.
RESOURCE: Project Manager required or current extension of Rob Warren’s contract to
December 2015.
Continuing with Student Funding Administration (FUND).
RESOURCE: Already agreed in principle with WFPG during Wave One.
Continuing to build links with the Enhanced Record Card with SER functionalities especially
gaps in PGResearch student data and statutory data
RESOURCE: Extension of Sammy Stewart’s current engagement as Team Leader on
DOCMAN replacement since this project will be finished in Wave One.
Continuing to work on Curriculum View, especially Programme Requirements and
Specifications so that rules are simplified, codified and well-structured to work with any
future developments on Advising.
RESOURCE: Extension of Jane Money-Boyd’s 50% acting up Project Manager role until
December 2015 or to December 2016 if successive waves are envisaged to complete CView. Appointment of fixed term contract for external (potentially non-Tribal supplied) eVision developer until December 2015.








Classifying documentation already in hand and assessing quality of that documentation
Identifying gaps and making good
Reviewing critical path for decision-making with Schools, Admissions, Registry
Agreeing flexible model requirements to accommodate anticipated changes to Co-ordinated
Admissions
Designing decision-making, offer-making, applicant response facilities
Designing connections with matriculation elements in e-Vision
Scrutiny of current MMS interface to identify MUST HAVE functionalities to retain
Working with Tribal on best platform for new development
Begin prototype design of new interface and workflows
Deadline for GO LIVE on 1 September 2016.

Mohammad). Contractual arrangement with expert SITS:Vision consultant for advice.

Permission to begin work on Changes of Circumstance:






Classifying documentation already in hand and assessing quality of that documentation
Identifying gaps and making good
Integrating UKVI processes into ESD including changes of study location
Improving Study Abroad (outbound) experience through ESD and e:Vision
Improving information on central web, ESD and local websites
Designing and creating automations between ESD and SITS student records for leaves of
absence, withdrawals, changes of course, re-engagements, etc.
Designing and creating workflows for affected processes
Various delivery points but deadline for GO LIVE on 18 January 2016.

Reviewing critical path for pre-advising, face-to-face advising, decision-making and appeals
with Schools, Proctor’s Office, Registry
Resource requests for SER Wave 2 – 29 April 2015 – in preparation for 14 May deadline

Analysing MMS-based requirements and dependencies
Finalising the creation of module-to-module rules and module-to-programme rules in SITS
Integrating advising database and SITS rules database from C-View
Integrating course change requests and approvals with Changes of Circumstance
functionality and ESD
Integrating entry requirements into design and C-View database
Modelling migration and/or lookup of current Advising database into new model
Designing exploratorium to permit interactive functionality for students to model present
options/future prospects.
Designing workflows for academic approval of module selection and related review
processes
Designing schema for production of personal timetables
Designing student and staff interfaces ensuring integration with DW Student Records
through ERC
Preparing dataflows from/to peripheral systems including Scientia timetabling and Data
Warehouse student records
Working with Tribal on best platform for new developments






Working collaboratively with Digital Communications team to ensure shared vision
Convening cross-institutional forums to establish requirements list and applying MOSCOW
methodology to create project plan
Conducting market research for best practice and potential models
Designing Exploratorium for course and context functionality in line with work on Advising
(see above)
Designing integration of Visiting Day and Recruitment Event functionalities into potential
models and project plans in line with work on interactive workspaces (see below)
Designing integration of ESD into potential models
Tendering for appropriate software if Azorus is ruled out

6.
Permission to begin work on Interactive workspaces with potential
decommission of i-Saint:

Convening cross-institutional forums for evaluative feedback on i-Saint and other access
points to student information
Conducting market research for best practice and potential models
Working collaboratively with School Computer Officers to identify current practices,
MOSCOW requirements and gaps
Investigating i-Saint replacement and/or integration with other platforms
Piloting Curriculum Approvals e-Vision skin following Digital Comms guidance so that it can
be used as prototype for rest of SER and current e-Vision content and future applications
(ie, joint ownership of look-and-feel)
Working with Tribal on refinement of role group definitions across all SITS-related projects
RESOURCE: Programme-level analyst appointment from external agency (to replace
Mohammad).
Contractual arrangement with expert SITS:Vision consultant for advice
including systems analysis to improve performance. Appointment of ITS and/or Corporate
Comms Team Leader and SMEs from business.







Permission to reach out to Schools/Units for secondments to SER Project
teams

Circulating communications to Schools/Units about Wave 2 and requesting co-operation and
names to be put forward for vacancies of Project Managers, Team Leaders and SMEs
Raising profile of SER deliverables among academic colleagues and School administrative
staff

Permission to continue with training programme outlined in Wave One
Nurturing growth started in Wave One with staff already associated with SER
Increasing in house pool of trainers by concentration on improving and/or
enhancing presentation skills and toolkits including provision of expert “Train the
Trainer” consultants
Refining Agile methodologies with project managers to make fit-for-purpose at St
Andrews
Building knowledge and confidence among associated staff to improve
communications
Working with CAPOD on potentials for future training programmes
Working with Schools and ITS on possibilities for graduate apprenticeships
Exploring with Tribal and ITS possibilities for SITS junior consultant apprenticeships


Permission to collaborate with Change Unit on continuous improvement
objectives and methodology including maintenance

Raising profile and latent potential of Change Unit among colleagues especially Schools and
operational staff in Units
Proposing models for maintaining process and system review momentum post-SER
