PALLANT HOUSE GALLERY JOB DESCRIPTION DUTY MANAGER Ref: DM-260614 Post Title: Duty Manager Reporting to: Head of Operations/Front of House Manager Hours: Working weekends on a rota system and additional cover for weekdays, weekends, Thursday evenings, Bank Holidays, holiday cover, sickness and events by arrangement. Keyholder responsibility. Salary: £8.65 per hour. Payment period: Monthly, on the last Friday of the month. Job Summary: The Duty Manager will manage the Gallery and create a welcoming environment for all patrons, whilst maximizing sales and profits. The Duty Manager has responsibility for the safe and effective operation of the Gallery and the security of the art collection, supported by the front of house team. The Duty Manager will work closely with the Front of House Manager and the Head of Operations. Responsibilities: 1. To provide a safe and welcoming environment for all visitors to the gallery. 2. To be the Duty Manager for events, commercial hire, plus other activities as required. 3. To organise appropriate front of house staffing levels for all activities. 4. To manage and co-ordinate front of house staff and volunteers. 5. To be responsible for fire safety whilst on duty. 6. To be a keyholder for the Gallery. 7. On call, out of hours for alarm activations for the fire, intruder alarms and other unforeseen events that require your support. Available to attend site on call out within 20 minutes. 8. To be responsible for the security of the building and contents whilst on duty. Control building access and efficiently use CCTV for purposes of building security. 9. To ensure that the gallery areas are properly monitored. 10. To ensure that health & safety and appropriate licensing requirements are adhered to at all times to ensure the safety of staff, volunteers and visitors. 11. To be a First Aider whilst on duty with assistance from the front of house team. 12. To maintain the good appearance of all public areas and areas surrounding the gallery building and to supervise external contractors when required. 13. To ensure an exceptional standard of service to all visitors. 14. To deal effectively with customer enquiries, comments and complaints. 15. To be responsible for dealing with any emergency at any time. 16. To be responsible for front of house operations, updating the till ticketing system, money handling, refunds and security of the contents of the safe. To oversee the reconciliation of the daily front of house income. 17. To be responsible for the safe efficient opening and closing of the building. 18. Liaising with all staff members, shop and restaurant staff as required. 19. Together with the Head of Operations, the Front of House Manager and the Curator take responsibility for environmental control. Monitoring the environmental conditions within the Gallery and ensuring that the correct conditions are achieved and maintained. 20. Cover Duty Manager shifts when required. 21. Arrange late night taxis for staff working after 11pm. 22. To give the Head of Operations and Front of House Manager any necessary assistance in the efficient running of the gallery.
