You should have received an email notification concerning your entry. If you did not receive this notification,

We have accepted 30 artists and a total of 60 pieces. Please be advised that we will have several invitational
pieces in the show done by various artists including myself but these artists will not be eligible for awards.

General Guidelines:








Sold work is subject to a 30% commission. Works must remain in the facility for the entire duration of
the show. All sales support our mission which can be found on the website.
Works may be shipped at any time. We do have locked storage on site. Shipping to and from the Arts
Castle is the responsibility of the artists and the Arts Castle is not liable for any damages incurred in
transit to or from our facility. Please secure appropriate insurance in case of loss or damage. Please be
aware that some shipping companies limit liability on works of art! Every effort will be made to handle
your work with care while in our possession.
Artists must supply pre-paid return shipping documents which should include a label completely filled
out by the artist. International artists should include additional documents as outlined by your preferred
shipping company.
Deliveries cannot be accepted on Saturday! Our office staff is not in the building to accept it. Please
require a signature for your work. This protects you in the event of loss.
All work must be ready to hang securely with a wire. No sawtooth hangers! Please paper the back for a
nice finished look. Works need to be presented professionally. If your painting falls off the wall due to
inadequate framing, we will try to repair it but the cost of such repair is the responsibility of the artist.
Works will be inspected for damage as they arrive. Please use a wire that is adequate for the weight of
your work and secure the wire properly so it cannot unravel and fall off the wall.
NO LOOSE PACKING PEANUTS! They make a mess and are difficult to reuse. You may contain them in
sturdy Ziploc bags to fill in around your work but it is highly recommended you use bubble wrap or foam
cushioning. Contained plastic shopping bags are good for packing small works, providing a nice cushion
where work can move if necessary. Again, use Ziploc bags to contain the individual bags.
Unsold work will be returned to you in the same package they arrived in.
The Internet has made it easy for artist to ship work. UPS provides a portal that is easy to use and artists
can quickly create a return shipping label that is printed on your own printer. If you have an account, the
shipping is not billed until the label is scanned at the time of return. If your work sells, you are not out
any money. I haven’t used FedEx in a long time but I assume they have similar methods.

If you have never shipped your work out of the country, try to speak to a fellow artist in your area who has
experience with this piece. Only you can decide the best route to avoid any hassles or delays in shipping. The
most important thing is to have your paperwork in order.
General Shipping Tips:










Let’s face it; packing is a pain! The Internet is full of information on packing works of art. Everyone has
their own preferred methods. The suggestions shared here are ones that have worked for me personally
over the years. I know many of you are “Old Hats” when it comes to packing so no offense…
You will always pay more at a “Pack-N-Ship” type facility if you have them pack your work. They take a
substantial cut. These facilities can be used as a drop-off point without costing you anything as long as
your package is in order and ready to go.
Protect the surface of your painting or glass. Bubble Wrap is notorious for leaving marks on the surface
of oil and acrylic paintings especially if you have fairly fresh paint. Consider cutting a mat board or other
sturdy material like foam core, slightly larger than the frame, to act as a barrier between the paint and
the packing materials. Secure with something that will not damage your frame. For small works, Glad
Press-N-Seal works GREAT for holding the protection in place and it won’t mar your frame.
Consider putting work in a plastic bag before packing. You never know when your package will be left at
the door! This has become a standard if you do not require a signature.
For works under glass, consider shipping with Plexiglas instead of glass. All works under glass require a
clean-cut mat or spacers to keep the surface of the painting from touching the glass. Tape your glass
completely with masking tape or Glass Skin. This can prevent damage to your painting in the event of
breakage during transport. Plexiglas scratches easily so protect the surface to prevent scratches.
If you have them or can afford them, Airfloat shipping boxes can’t be beat for protection! They are
rather costly but can be used over and over. Here is a link to a video about the product.

Uline makes a similar product.
Use a box that is larger than your work. Do not pack too tight or the box will not “give” if something is
stacked on top. Packing too tightly can cause frame corners to separate and glass is easily broken if
stress is placed on the box, allowing no flexibility of movement.
DO NOT USE LOOSE PACKING PEANUTS! They make a mess and are difficult to reuse. You may contain
them in sturdy Ziploc bags to fill in around your work but it is highly recommended you use bubble wrap
or foam cushioning. Contained plastic shopping bags are good for packing small works. They are
lightweight but you need a lot of them to create a good enough layer of cushioning.
Consider double boxing, using a smaller box inside of a larger box with packing between the layers. This
is added protection. Shipping companies advise that a package should be able to withstand a 3 ft drop.
If packing multiple paintings in the same box, pack front to front with mat board and packing in between
each painting. Do not pack too tight!

Some possible packing materials: Bubble wrap, foam rubber padding like that found in an (egg crate)
mattress pad, foam core for lining the box, construction grade rigid insulation (box lining) comes in
several thicknesses and can be purchased in the large hardware stores.
