J EXCHANGE VISITORS
DEPARTMENT RESPONSIBLITIES
The hosting department should consider the following responsibilities and criteria of the J-1 visa before
appointing a scholar in J-1 status. Failure to adhere to program guidelines could result in UWW losing its right
to host J Exchange Visitors
The exchange visitor may only perform duties limited to the pre-established educational objectives as stated on
the DS-2019 form. Any additional employment must be incidental to the visitor’s primary program activities,
must be directly related to his or her original objectives, and must be authorized in writing by the Center for
Global Education (CGE) in advance.
Department Responsibilities
 Invite scholars as early as possible. Allow a minimum of three to four months from the date CGE
receives the application to anticipated arrival date of scholar.

Make sure the DS-2019 application form is complete and all supporting documents are attached before
submitting to the CGE.

Inform the CGE immediately if the scholar changes plans, decides to arrive earlier or later than stated on
the DS-2019 form or cancels their proposed appointment at UW-W

Notify the CGE as soon as scholar arrives on campus

Notify the CGE if scholar does not arrive within 30 days of start date on DS-2019

Bring scholar to CGE to check in within the first two or three days of arrival on campus.

Register the scholar for the next J-1 Exchange Visitor Orientation at the Center for Global Education.
Orientations are offered twice a month; J-1 visitors should attend the first available orientation.

Ensure scholar notifies the CGE of any changes in scholar’s and/or dependents’ names, address, and/or
telephone number within 10 days of that change.

Monitor scholar’s activities and notify CGE of any problems. Any changes to the scholars program
and/or responsibilities must have prior CGE authorization.

Inform CGE about any prospective paid and/or non-UWW paid engagements that the scholar wishes to
participate in (so that CGE can determine if they meet the immigration requirements and authorize such
employment in advance).

Notify CGE of any serious problem or controversy

Apply for any Extensions of Stay at least two months in advance

Notify CGE within ten (10) days when scholar completes program or is terminated.
