VICE PROVOST’S CONFERENCE TRAVEL GRANTS PROGRAM
PURPOSE
Libraries and Cultural Resources Conference Travel Grants are intended as a fund of last resort to assist academic members of Libraries and Cultural Resources to present, in person, the results of their original research, scholarship or creative activity, or promotion/enhancement of the Libraries and Cultural Resources profile at significant conferences and academies. It is expected that applicants will have exhausted all other applicable sources of funding. Awards are not made to assist with lecture or speaking tours, courses or training sessions, data-gathering or other field-work for research.
CONFERENCES
The sponsorship of the meeting by a recognized academic or professional society is a usual, but not an essential, indicator of eligibility. Meetings organized by a university or other organizations may also be eligible, provided that the meeting is arranged to include or attract widespread participation. It is expected that submissions to such conferences will have been accepted through a peer review process.
ELIGIBILITY
Individuals must hold an academic appointment in Libraries and Cultural Resources.
CONTRIBUTIONS
Applicants must personally present the results of their research, scholarship or creative activity, or promotion/enhancement of the Libraries and Cultural Resources profile. Contributions
(papers or the disciplinary equivalent) must be based on the applicant’s current research.
Original contributions take precedence over those which have been previously published or presented. Applicants invited to be keynote speakers in major or plenary sessions or symposia will be given special consideration.
MAXIMUM AWARD
A maximum of $ 1000.00
is provided as a contribution to expenses related to transportation, accommodation or registration. Submission of the application must precede occurrence of conference. Recipients are restricted to one grant per fiscal year.
DEADLINES
April 1 and September 1 or as dictated by unique opportunity.
GUIDELINES FOR CONFERENCE TRAVEL GRANTS
1. PURPOSE
1.1 Financial support may be awarded to any Libraries and Cultural Resources Academic
Appointee to assist with the costs of presenting at significant conferences or academies.
1.2 Grants are not normally intended to cover the entire cost of attendance.
2. TRAVEL COMMITTEE
2.1 a) The Committee advises the Vice Provost (Libraries and Cultural Resources) and
University Librarian on the merits of the proposal. b) Libraries and Cultural Resources Academic Council (LCRAC) elects two members annually in April/May to serve on the Committee. c) Terms of service begin on July 1, following the election and end on June 30 of the following year. d) The Vice Provost (Libraries and Cultural Resources) and University Librarian chairs the
Committee.
2.2 The Committee is responsible for promoting awareness of research presentation opportunities and for encouraging applications.
2.3 The Committee will report to LCRAC on an annual basis.
3. TRAVEL COMMITTEE PROCEDURES
3.1 a) Requests for assistance should be submitted to: Chair, Libraries and Cultural Resources
Travel Committee, c/o Office of the Vice Provost and University Librarian. b) Applications will be reviewed according to the deadline dates of April 1 and September 1 or as dictated by unique opportunity.
3.2 a) Each applicant’s request is weighted in light of a combination of the following factors
(in order of priority):
● Plans for scholarly and peer-reviewed dissemination
● Significance of conference
● Quality of application
● Alignment with LCR’s research priorities and the university’s research themes
● Contribution to the enhancement of the Libraries and Cultural Resources profile
● Relevance to responsibilities within Libraries and Cultural Resources
● Proportion of total costs applicant intends to cover out of personal funds and/or other forms of assistance
● Previous grant received b) The Chair of the Committee will inform applicants of the decision of the committee.
3.3 In keeping with L CR’s commitment to Open Access publishing, recipients of travel grants are requested to publish their research in DSpace.
4. TRAVEL CLAIMS
4.1 Within four weeks of returning from the conference, an “Expense Report” for travel must be completed, approved by appropriate PeopleSoft approver, and accompanied with a printed signed copy and all original receipts. The signed report and original receipts to be submitted to
Libraries and Cultural Resources Accounts for processing.
The Expense Report is located in MyUofC Portal. Then launch PeopleSoft, click on Employee
Self Service, click on Travel and Expense Centre and select Create under Expense Report.
