Sul Ross State University Position Description Official Title: Enrollment Services Specialist Salary Group: 10 Job Code: 4051 Summary Function: Manages employment function for all University positions including staff and faculty. Scope: Exercising sound independent judgment handles the entire employment process communicating with University department heads and applicants seeking employment. Duties Coordinate building and maintenance of schedules which includes: -Set a calendar of dates for distribution to department heads/deans and support staff for schedule prep for each semester to develop a calendar timeline. -Email schedules to departments, deans, support staff and Provost as called for in the calendar -Complete entry of classes in Banner, including assigning classrooms -Send follow-up emails to departments, deans and support staff that have not responded to initial contact -Order Access reports between each schedule round and before registration starts to check banner entry -Email list of classes to Midland College for room assignments -Update online program codes -Email staff and faculty about setting maximum enrollments -Notify students, staff and faculty by email when schedules are available on LoboOnline. Provides individuals and general public with information about the University and attends various functions to assist with events. Processes travel applications and vouchers for travel. Prepares annual mail outs as necessary. Operates administrative computer for entering data querying, and compiling reports; maintain department enrollment services web pages. Assist with NCAA Division III athletics compliance as directed by registrar. Arranges appointments and manages correspondence for Enrollment Services office. Works extensively within the Banner software related to enrollment services. Answers telephone calls, determines priorities, prepares responses, and/or responds in an appropriate and timely fashion; Ensures that the Enrollment Services expense reports and membership invoices are processed regularly and accurately. Assists current and prospective students with admissions, financial aid, registration, and scholarship questions. Provides assistance at SOAR, Lobo Days, and Sully Showcase events. Requisitions and maintains supplies of office materials. Uses Banner for requisitioning supplies and compiling financial reports. Provides individuals and general public with information about the University and attends various functions to assist with events. Processes travel applications and vouchers for travel. Prepares annual mail outs as necessary. Operates administrative computer for entering data querying, and compiling reports. Work closely with the AVP for Enrollment Management and Registrar to ensure timely room rescheduling and maintenance of room scheduling software. Work closely with the registrar and associate registrar and to maintain electronic room schedule and complete CBM building and room usage state report. This position will also play a role in certifying degree plans for graduation. Arrange appointments and manage correspondence for Enrollment Services office. Work extensively within the Banner software related to enrollment services. Answer telephone calls, determines priorities, prepares responses, and/or responds in an appropriate and timely fashion; Ensure that the Enrollment Services expense reports and membership invoices are processed regularly and accurately. Additional Responsibilities: Responsible for personal safety and the safety of others; must exercise due caution and practice safe work habits at all times. Position is Security Sensitive Supervision Received: Reports to the Assistant Vice President for Enrollment Management Given: May supervise student employees. Education Required: Bachelor’s Degree Preferred: Experience Required: Three years of experience in enrollment management or a related customer service environment. Preferred: Direct experience working in a university setting such as financial assistance, admissions, records, or cashiers. Equipment/Skills Required: Good communication skills (written and verbal) and the ability to effectively work with students and co-workers during busy, stressful times; experience with office computer applications (word processing, spreadsheets, databases and prefer Banner knowledge); able to sit and use the computer for long periods of time; able to use computer keyboard and have 10 key calculator skills; able to communicate via telephone, email and chat professionally. Some weekend work will be required. Must be able to work under stress, work independently and as a team member and to deal with people in a professional manner.
