Department of JROTC 501 West 35th Street Chicago, Illinois 60616 28 October 2013 DEPARTMENT OF JROTC OPERATIONS ORDER 4-SY 13/14 (7th ANNUAL CITYWIDE MILITARY BALL – 22 NOVEMBER 2013 Task Organization: City Corps Staff All CPS Military Academies within a School and JROTC Program Battalion Staffs 1. SITUATION: The JROTC City Corps Staff will plan and execute the Seventh Annual Citywide Military Ball involving cadets from all Chicago Public Schools, JROTC programs and guests. 2. MISSION: The JROTC City Corps Staff will conduct the Fifth Annual Citywide Military Ball at The New Martinique Banquet Complex, 8200 S. Cicero Avenue, Burbank, IL 60459, on 22 November 2013 from 7:00pm to 11:00pm. 3. EXECUTION: a. Commander’s Intent: The purpose is to prepare and execute a professional Citywide Military Ball to include the participation of all Chicago Public Schools, Department of JROTC, JROTC programs, Battalion Staffs, Cadets and guests. Key tasks include the planning and coordinating between JROTC programs and staff, identifying a location and equipment, the set up and cleanup of the facility, inviting guest, creating a program, and inviting the guest speaker. The end state is enjoyable, professional, and successfully executed Citywide Military Ball. Each program will submit an After Action Review for consolidation into a complete After Action Report (AAR). b. Concept of the Operation: This is a three-phase operation. 1) Phase 1. The preparation phase consists of: the coordination and resourcing of personnel, equipment, transportation, and ball location; and any other support required necessary to execute the ball. 2) Phase 2. In the execution phase all cadet battalion staffs are responsible for the success of the citywide military ball. RSVPs: Battalion Staffs/Commandants/Senior Military Instructors will submit the number and names of all attending the ball in a timely manner. DEPARTMENT OF JROTC OPERATIONS ORDER 4-SY 12/13 (6th ANNUAL CITYWIDE MILITARY BALL -16 NOVEMBER 2012 SCHEDULE: Reception and appetizers will begin at 6:30pm. The ball, dinner, and guest speaker will begin at 7:00 pm and dancing at 9:00 pm. COST: $ 30.00 per student, $35.00 per adult PAYMENTS: *Commandants/Senior Military Instructors are responsible for turning in all money collected for the ball. Money will be collected from those attending and turned into the Commandants/Senior Military Instructors. Commandants/Senior Military Instructors will then request a school check made out to JRL Enterprises New Martinique Banquet Complex. Next, forward the schools check and RSVP form to DEPARTMENT OF JROTC, ATTN: SGM Edwards. The Commandant/Senior Military Instructor will then be issued a receipt and tickets. NO PERSONAL CHECKS WILL BE ACCEPTED FROM SCHOOLS. Commandants/Senior Military Instructors will turn in a by name list of the cadets and the guest that are attending to SGM Edwards at the same time they turn in their school check. (See ANNEX B) All ticket payments are due no later than 15 November 2013 NO MONEY OR CHECKS WILL BE TAKEN AT THE DOOR SEQUENCE OF EVENTS: See ANNEX C (Subject to change/revision 3) Phase 3. Post-Execution Phase. The post execution phase requires the collection of comments for the After Action Review (AAR) no later than 6 December 2013. Lead for execution of City Wide Military Ball. b. Coordinate ball location. c. Develop estimated attendance and budget. d. Review ball program, menu, and invitation. e. Accept/deposit ball funds. 2) Assistant Director of Budget, Programs and Grants: Ms. Relf a. Coordinate payment of all vendors b. Assist in the setup of the facility 3) City Corps J-1 and Assistant Director of Personnel/Administration a. Coordinate with SGM Edwards to complete all necessary actions with Martinique Banquets. b. Coordinate with the Assistant Director of Personnel/Administration to prepare Military Ball invitation list. c. Coordinate with the Assistant Director of Personnel/ Administration to draft and send Military Ball invitations to VIPs, Principals, Superintendents, Parents, and Instructors NLT 30 October 2013. d. Draft and send invitation to Guest Speaker NLT 30 October 2013. e. Coordinate guest speaker gift. f. Coordinate with the Assistant Director of Personnel/Administration to send a Press Release out NLT 30 October 2013. Plan and coordinate any transportation requirements. c. Support all facility requirements. d. Assign City Corps Staff usher responsibilities. e. Coordinate with staff in regards to sequence of events and timing. f. Provide AAR comments NLT 6 December 2013. 5) City Corps J-3 (Operations & Training) and Assistant Director of Plans/Operations a. Coordinate with Operations to task for a color guard. b. Assist with set up of the facility before the start of the ball. c. Provide AAR comments NLT 6 December 2013. 6) City Corps J4 and Assistant Director, Logistics a. Coordinate pick- up and delivery and set up the 8 flags, 8 stands, 2 banners, PA systems and other items needed for the ball. Coordinating Instructions 1) All JROTC Programs are limited to 6 slots for both cadets and guests. If you have more than 6 cadets or guests that want to attend you must coordinate with SGM Edwards first to see if there are JROTC programs that are not filling their slots. Slots should be reserved for your staff members and their guests. School Principals, JROTC chaperone instructors do not count as part of the 6 slots but we need to have payment and their names on the RSVP form. 2) Uniforms/Attire for Instructors, Cadets and Guests Army: Dress Blues, Army Service Uniform or Class A with white dress shirt and bow tie.
