For Phase 2 partners
We are delighted that STFC has agreed to fund £1700 towards your Explore Your Universe kits for
each of the ten Phase 2 partners. The process will be managed by ASDC and all purchases need to
be completed before March 20 2015.
To secure this Capital Equipment funding for your Organisation, you will need to:
1. Email James Summers at ASDC to confirm you would like to go ahead (this week).
2. Submit receipts to ASDC via the processes and procedures below to claim it along with any
documentation by March 20 2015.
3. Send ASDC an invoice by March 20 2015

All expenditure must have taken place before March 20th 2015.
All expenditure must have taken place between November 2014 and March 20 2015 and be for the
Explore Your universe kits. You may purchase new items, or put this against already purchased
items.
ASDC must receive all receipts and documentation before or on Friday 20 March at the latest
We must also have received your invoice by March 20th.
Please note, to ensure all funds are fully allocated for this grant, there will be no deadline
maneuverability. If we have not received documentation in full of what is needed by March 20th, we
will ask another Explore Your Universe Partner if they would like your funds.
What can you spend it on?
1. The equipment receipts may be for anything on the Explore Your Universe equipment list
attached at the end of this document.
2. You may purchase new and additional items for your Explore Your Universe kit from the list.
Purchases must be made before 20 March 2015.
3. You may use the funds against equipment you have already purchased since the Explore
Your Universe training academy in November.
4. If you plan to buy a thermal imaging camera , solar telescope, the bespoke equipment box,
or other large ticket items please let James know asap by phone, so that he can negotiate
the best price.
5. We recommend that every centre buys a proper conference call phone as part of your
purchase if you don’t already have easy access to one.
6. If you would like the equipment box, the price drops dramatically the more we order. Please
email James asap so he can get a price
7. If purchasing new, We will need from you a list of items you would like to purchase within
2 weeks (March 3)
VAT and the £1,700
The £1,700 is inclusive of VAT. The total amount we will pay out is £1,700 irrespective of VAT on the
items. We suggest you speak with your finance team to decide how best to do this. Either
invoice us for £1,700, or invoice us for £1,416.66 + 20% VAT = £1700
You can be reimbursed for equipment costs up to a total of £1700. This can happen in 2 ways:
1. Submit a receipt for a higher priced item, eg a thermal imaging camera costing £2200+ VAT
and we will pay £1700 of it.
2. Submit receipts for many items of equipment totaling near £1700 and we will pay £1700 of
it. Items purchased since November 2014 are eligible.
What you need to submit to ASDC
1. Complete the supplied Excel spreadsheet listing all items purchased for which you are
submitting receipts for, totaling approximately £1700. (note: 20% of which is VAT if
applicable, please see your own finance departments to establish your VAT position).
2. Electronic Copies / scans of each and every receipt - call us immediately if there is any issue
with this.
3. Approximately 3 paragraphs / half a page of lively, edited, proof read and self contained text
showing the overall impact of the additional funds in Calibri 11pt text. We will paste this
unedited into our final report to STFC. Add a photo if you have a fabulous one.
4. Your invoice to ASDC for £1,700 (20% of which is VAT if applicable, please see your own
finance departments to establish your VAT position) for 'Capital Equipment purchased as
part of the Explore Your Universe Kits'

Writing about the impact (3 paragraphs)
When writing your half page showing the impact, please include statements such as the following:

An introduction to your organisation - eg: Our Science centre engages 200,000 people each
year and explore your universe is being run across the region with families and schools in the
following way. We expect to reach xxx people with the programme between [these dates]

This investment in Explore Your Universe Equipment has allowed us to purchase all of the
following: [list these] This will increase the impact of the Explore Your Universe
programme at our organisation and help us to more widely share the STFC science in the
following ways: Tell the funders about these, some examples are below:

We were able to buy additional elements of the kit which has enabled more families
and school children to get hands on. Not only this we can now also use items of the kit in
two places at once, enabling community outreach programmes to run concurrently with
the workshops at our centre.

This investment has enabled [our organisation] to purchase the equipment box
which has a real wow factor, along with the project banner. We also purchased the ipad
and a plasma screen to play it on which means far more people can see what we are
showing both for images and when we use the thermal imaging camera. Finally, we have
purchased the conference call phone to ensure that we can easily and professionally take
part in these multi-partner professional development which will have impact across lots
of programmes

The investment paid for items of the Explore Your universe equipment we have
already purchased, which has released £1700 for additional staff resources to reach
wider communities/ run a physics day celebrating STFC stories and science/ run a physics
day for brownies and guides/, enhance our girls in engineering programme with 500 girls
in our area.

The investment has enabled [our organisation] to organise and run a teacher CPD
course to enhance the reach of the Explore Your Universe programme in schools.
