Regional Campus Deans Meeting Notes
July 30, 2013
Attendees: P. Abraham, D. Evans, R. Howard, J. Smith, M. Tuck and W. Willan
Announcements:
 Willan shared the Academic Leaderships meeting schedule is being finalized.
 Willan shared there are no new updates with the West Virginia reciprocity agreement
since the last meeting. There are limitations with the agreement as presented.
 Deans discussed four year degrees at community colleges. More information will be
shared as it becomes available.
 Abraham, Howard, Smith and Willan will be meeting following the Deans meeting to
discuss organizational issues with Cambridge and the completion of OBOR forms.
 Willan will discuss the swirling student scholarship fund at the A&R meeting on Friday
and ask for volunteers to serve on the committee to make a recommendation.
 Willan shared that Delfin Bautista, Director of the Lesbian, Gay, Bisexual, Transgender
Center will be attending A&R meeting on Friday.
 Willan shared that Nina Queen will be handling EventsPro/CEU’s on the Southern
campus as well as RBCA. Lisa Dael will be contracted to provide training.
 Deans discussed continuing education operations, and the ability to provide transcript
details for employers and the ability for the software such as Augusoft to track such
details.
 Executive Dean Willan will be meeting with the Provost August 6th and asked Deans to
provide any items by Friday, August 2nd to be included on the agenda.
 Dean Discussion Topics:
o Use of stipends for additional work /duties in various positions
o Health Care Act and potential impacts on the campuses
o Staffing Plans and needs for the campuses
o Supervision of staff by faculty as it relates to lab coordinators
 The Deans will be presenting campus updates, goals and accomplishments for the
campuses at the Faculty Retreat at the Eastern campus to be held August 21-22. Willan
and Tuck will present the sessions on Promotion and Tenure.
 Discussion took place on risk management insurance requirements as it pertains to
events and catering services. Willan asked the Deans to provide examples of local issues
with insurance requirements.
 Willan shared that the Zanesville Dean position will be advertised mid-August – mid
September for full consideration with hope to bring candidates to campus in October.
The preferred start date is January 2nd; however, that would be negotiable. The
Southern Dean position will follow about two weeks later.
 Deans welcomed Brenda Phillips, Associate Dean for the Chillicothe Campus and
discussed opportunities for programming and collaborative efforts.
 Deans discussed working documents of Staffing, Capital & Strategic Plans.
 Abraham shared the program coordinator appointment letters and the Academic
Program Campus Coordinator Annual Activities Chart. These would be submitted by
May 1st. Deans discussed that this activities report would be included with the program
coordinator appointment letters. Deans adopted the program coordinator activities
report to use in the upcoming academic year.





Smith will send the updated program coordinator letter including the activities to the
Deans.
Deans discussed BSAM online programming as it relates to revenue generation for the
online courses and how courses are arranged on the campuses around the system.
Scalable courses are needed in order to meet community college partnerships. The
scalable course offerings on the campuses were staggered and not offered on all the
campuses at the same time. The Deans will review BSAM data for the system. The
Deans discussed the potential for prerequisites for the BSAM courses. The original
distribution is ten courses, two per campus. Smith shared with the Deans an honors
track option with internships for the BSAM program. The Deans will invite Brian Hoyt to
present the proposal for the program.
Discussion occurred regarding the debt schedule and balloon payments for Pickerington.
Willan and Howard will explore the schedule of debt and original contract. Smith shared
an article in the paper regarding Dublin and Pickerington programs. Willan will follow
up with Provost.
Deans welcomed Sarah Rist, Candace Morris, Charles Cooper and Deb Gearhart, who
shared a Proposal for Academic Outreach Learning Management System (Blackboard).
The upgrade is a major interface change. Currently, the version is 9.1.9 and the service
pack is 11. Upgrades are needed for vendor support and patches to remain on current
versions. The group would like to present to faculty at each campus. Dean Willan
suggested the RHE Faculty Conference if the schedule permits. This fall, faculty will have
opportunity to explore a test environment. Spring semester will begin live courses in
the test server environment. The plan is to roll out in production in May 2014. Deb
Gearhart shared that eLearning is working with OIT Academic Technologies on this
endeavor. Graduate assistants in academic technologies are providing assistance and
helping with online training module for quality matters in course design, new tech of BB
service pack 11. The plan is to have online training to small groups or one on one
training sessions. Discussion took place on providing technologies the faculty want to
use as well as how to use it and to meet with faculty to explore enterprise solutions
from flipped classrooms to full online courses. Training sessions on Quality Matters can
be provided, and if interested, please work with Deb. Communication will be developed
as well as a kick off schedule and will be sent out fall semester to the University.
Discussion took place the need to develop courses and programs accordingly to the
Quality Matters guidelines. The regional campus faculty are high users of Blackboard.
Panopto is live in Blackboard production.
The Deans welcomed David Descutner, Mike Williford and Joni Wadley to discuss AQIP
and quality assurance. We are facing a reaffirmation of the accreditation in 2015-16.
Williford distributed and discussed the AQIP Systems Portfolio and the nine categories.
Williford recognized Tuck’s hard work on accreditation since 2004.The Systems
Portfolio, covering the nine categories that meet the five criteria for accreditation, is
due November 2013. All five criteria must be met as well as the 21 core components.
The sub components are not required. Specifically criterion three, Teaching and
Learning: Quality, Resources and Support, was reviewed in more detail. Williford shared
information on the assessment plan. Williford shared questions that will need to be
answered for the systems portfolio and asked Deans to provide feedback to incorporate
into the document. The timeframe includes the providing answers to the questions in
early fall semester to meet the November deadline for the systems portfolio. The
second task is work on the learning objectives. The AQIP visit will be during 2014-15.



Operations and Budget:
o The 2012-14 final reports are being created
o Howard worked with Budget Planning Office to reconcile budget packets to THE
Budget Sheet under RCM
o Howard shared that she received notification that an external audit of cash
operations will be performed and this includes ALE activities on the campuses
through the checking accounts.
The Deans discussed summer offerings and the need to coordinate around the system.
The Deans discussed online course offerings and that new offerings should be
coordinated with the department. The Associate Deans will be asked to map out a
system to track online course approvals for faculty.
Campus Updates
Chillicothe
 Mary Beth Kaylor, RN, PhD has accepted the position of Associate Director/Division
Coordinator of Nursing on the OUC campus. Dr. Kaylor comes to OUC from the School of
Nursing at Wright State University and will begin her duties at OUC on August 21 st.
 The Athens campus OIT wireless group, in partnership with the Chillicothe Campus
Information Technology (IT) team, in a smooth transition, switched the campus’ existing
wireless network system over to the NextGen wireless network on July 25 th.
 Renovations have begun on the OUC Hilltop Café located in the Stevenson Center. Ohio
University Auxiliary Services will “officially” take over the operations of the café August
1, 2013. The café will close on August 5th to complete the renovations but will reopen
for business with a new expanded menu on August 26th, the first day of fall semester
classes.
Southern
 Jackie Adkins has been named Community Relationship Manager for Ashland
Community and Technical College.
 CEU transfer from Athens to Southern will begin transitioning Fall Semester.
 The Southern Faculty Retreat is featuring an "Active Shooter" presentation by OUPD.
Lancaster
 The Producers is wrapping up this weekend after a successful debut at Lancaster Festival
 A PTAC office (Procurement Technical Assistance Center) has opened on campus. Mike
Blythe's office is located in our Community and Corporate Learning Center.
 Equipment is being delivered from Athens for Bobcat Essentials to take over The Zone.
 The David Mayfield Parade is playing at OUL September 13.
