UF Smathers Library Hurricane and Tropical Storm Preparedness Plan Checklist Group: Disaster and Emergency Planning Committee (DEPC) and Library Administration General statement of responsibility for this group: DEPC team members,, as well as Library Administration, shall be responsible for coordinating overall Library response and recovery to a hurricane or tropical storm. At start of Hurricane Season ______ Coordinate completion of early season building inspections with Library Building Emergency Coordinators (LBEC’s) Advisory: 72 hours before Impact _______ Send out all staff announcement re: removal of personal belongings ( HR) _______ Coordinate completion of pre storm building assessment (Facilities) _______ Confirm that server/network backups are working correctly (Systems) _______ Communicate with designated disaster recovery vendor and confirm availability (Preservation) _______ Communicate with LBEC’s and Area Supervisors (AS’s) as necessary _______ Remind staff of established Communication protocols for Pre and Post storm information exchange such as radio, TV and the UF web site (HR) _______ Provide information to Departmental employees regarding availability of UF Campus shelters and other community resources (HR) Hurricane Watch/High Wind Watch: 24 to 48 hours from Impact _______ Deliver any needed disaster supplies to LBEC’s and AS’s (Facilities) Hurricane Warning/High Wind Warning: Impact within 24 hours _______ Gas up and park vans at ALF ( Facilities) _______ Disconnect servers (Systems) After Impact: _______ Coordinate the post storm building assessment with the LBEC’s and begin to schedule repairs (Facilities) _______ If modest numbers of damaged library materials, coordinate internal response and recovery (Preservation) _______ If large numbers of damaged library materials, work with disaster recovery vendor (Preservation) NOTE: All timing approximate and may be shifted based on need Last reviewed July 2013
