Title: Secretary (2 part-time job sharing positions) Reporting to: Business Manager and Pastor Each part time employee: 18 hours per week Non - exempt 52 weeks per year – (days of the week may vary) 1 1/2 hours on Sunday (12 Sundays of the year) Weekends and Holidays Off Major Responsibility: To work with Pastor, Business Manager, and Pastoral Staff KNOWLEDGE, SKILLS, AND ABILITIES Education: High School Diploma. Additional coursework in business is a plus. Experience: Previous office experience preferred. Require: Must have good computer skills. Must be a fluent user of Microsoft Office Word and have familiarity with Excel and Publisher. Must have good people skills, and be able to foster a friendly Christian environment. Must be a practicing Catholic, active in a parish. Must be able to maintain confidentiality. Physical Demands: Primary functions: While performing duties, employee has to sit for long periods of time, use hands in repetitive motion tasks, and answer telephone calls. The position also requires some standing, stooping, and bending while filing. Employee is expected to work onsite. Employee must be able to lift 50 lbs. To assist Front Office Manger in various tasks. These task and duties may vary week to week, with the main responsibilities being: 1. Receptionist; answer phone & interact with visitors in a polite and friendly manner. 2. Facilitate collection counting and deposit when necessary. 3. Post collection to parishioners’ records. 4. Prepare and publish church bulletin. 5. Maintain a master calendar on computer. Secretary Position Page 1 7. Assist in maintaining and recording baptismal records, deaths, weddings, census, etc. 8. Keep records for all students Pre K-6; 7-8 Jr. High, High School 9. Maintain computer census records, on-line Faith Magazine records, and on-line parish envelope records. 10. Type programs, letters and certificates for staff when required (one week advance notice). 11. Sell Scrip. 12. Arrange Mass Intentions. 13. Assist with funeral preparations. 14. Maintain a clean and orderly office. 15. Order and maintain supplies. 16. Assist in fall registration for Religious Formation Program 17.
