JOB DESCRIPTION Job Title: Donor Relations Specialist Program: Development/Fundraising and Major Gifts Department Reports to: Director of Fundraising and Major Gifts. FLSA Status: Non Exempt Job Summary The Donor Relations Specialist will work closely with the Development Department, providing office management and administrative support to the Director of Development. Assists in the implementation of the fundraising plan, special events, donor relations, donation data entry, acknowledgement creation and processing. The position will support the development efforts by coordinating and staffing special events, soliciting prize donations, managing the coordination assistance for all events, acknowledging donations by writing and sending thank you letters, generating event reports and assisting with receiving and processing financial contributions as needed. This position does require weekend and evening work. Principal Duties and Responsibilities Maintain accurate and complete donor database and mailing lists Maintain confidential donor records, files, mailing lists and gift acknowledgments Prepare and produce appropriate donor acknowledgements; draft individualized correspondence; and maintain contact with donors Respond timely to telephone inquiries from donors Assist in the cultivation of all donors Manage gift acknowledgement process to ensure timely donor recognition Develop, prioritize, coordinate, and implement third-party events and fundraising efforts, working with individuals or organizations hosting an event or campaign on behalf of The Shade Tree Manage and supervise all in-kind collection drive activity, including but not limited to visiting and soliciting potential participants Assist with, attend, and participate in external and internal fundraising events Assist with the creation of internal and external promotional and collateral materials Maintain special event archives Respond to telephone inquiries from event participants Researches and identifies new special events/promotional opportunities Provides project status updates to appropriate management Act as back up for the acceptance of donations. Work to promote the mission of The Shade Tree and other duties as assigned. Qualifications High School Diploma and a minimum of three years' experience as an administrative professional. Additional education may be substituted for experience, and educational qualifications may be waived depending on work history. Knowledge of non-profit services and donor interaction preferred. Excellent written and verbal communication skills, with the ability to develop reports and give presentations. Intermediate skills with Microsoft Windows and Office environment (Word, Excel, PowerPoint and Outlook) as well as standard office equipment. Proficient in basic math skills. Strong project management skills. Ability to establish and maintain effective working relationships with diverse stakeholders. Ability to manage multiple projects with attention to detail, accuracy and ability to meet deadlines. Ability to work independently and as part of a team. Must be able to pass a criminal background check and drug and alcohol screenings. Working Conditions Work is typically performed in an office environment while sitting at a computer screen for extended periods of time. While performing the duties of this job, the employee is occasionally exposed to moving mechanical parts when working with office machines. The employee frequently is required to stand; walk; sit; use hands to finger, handle or feel; and reach with hands and arms when working with documents, files, computers or office machines. Will occasionally be required to climb, balance and stoop, crouch or kneel when working with files.
