-Identified 3 outside faculty candidates, & 1 internal candidate will interview after spring break.

EECS
-For the faculty awards, paper criteria requires co-author w/student, but many faculty do not
have PhD students to co-author with (RC). Will have to go back to check criteria (SJN).
Adriana Garza-Flores
-Wanted to get some ideas from depts. on publications, events, etc that marketing can publicize.
Earth week coming up (SJN), robotics/control systems collaborative research w/ ME/EE (SO/RC),
Eagle Ford Shale workshop (SJN), concrete canoe comp (BB), depts. will email information.
B. Bailey
-March 28th is last day to drop class w/ Q. If you drop a student for excessive absences, drop
before Q date or they will get receive an “F” for the course.
A. McCoy
-More students have U’s in midterm grades, most commonly in physics & UNIV classes. Have
been calling & keeping in contact w/students. Class schedule not posted yet. Norma will post
before early registration starts (TDG).
S. Custer
-Remind students graduating in Aug to pick up their grad packets. Only 2 faculty volunteered for
May graduation, need more faculty, ~300 student to graduate, reception @ 2:30pm, graduation
@ 4pm. Drs. Sai & Bailey volunteered to help. Will call mtg for volunteers to go over schedule.
E. Torres
-Will be attending S. TX Career Expo @ JK Northway. Need to talk to Caiero, but ASCE will go
(JS). Good Friday will be state wide robotics comp in San Antonio, let me know if
students/faculty will be going. April 15th will be university tour, univ will be gathering students
for college tours. Going to Harlingen for migrant/parent mtg next month.

Items for discussion/Action
 College Software Plan- 29/55 surveys rec’d, overall usage ranges from 13%-93%, need to get
acct # to obtain more info, using free survey right now. LP.
 Wireless, Laptop requirements: virtual desktop/server model- rec’d pros/cons for us to run
system & CIS to run system, no specs given. We need to do our own research. EH/SJN
 Faculty searches- CHNG: have 2 openings, sent in paperwork, have 2 people in mind, but they
can’t apply until paperwork approved (PM). EVEN: have a good candidate in mind, but need
to talk to Dean before offer is made (KDJ). Would like to hire some fac. for bioinformatics,
biotech, etc for PhD program in sustainable energy program, would like to work w/other
depts (SJN).
 Affiliated Faculty- made minor change & will present again @ next fac mtg to vote. SJN
 Annual Evaluations, continuance/tenure track reviews- sent emails to ME/EE/CHNG,
everyone else is in. TDG
 Minimum GPA requirements for admission/graduation- need to discuss more, have some
criteria to go on from fac feedback. SJN
 Expectations for Dept offices during Spring Break- need to let us know if you will be out &
who will fill in. SJN
 Policy for Grad Student Offices- grad students on funded research will get top priority as well
as TA’s, other than that grads can’t get office, will update policy. SJN
 MS/PhD in Energy Systems Engineering- MS: met to develop courses, will meet again (RC).
PhD: got the okay for preliminary planning (SJN).
 Instructional Enhancement Fee capital items allocation- EE spent, CEAE spent, EVEN spent
some, CHNG spent, but need to double check accounts. SJN/TDG
 Articulation Agreements- will be getting together after spring break to focus on mainline
programs & develop agreements. SJN
 Upcoming Javelina Preview Day- April 27th is the last one, will do pres/lab tour again. BB
 Summer 2013 Camps- working on paperwork for IRB & waiting for sponsor funding for
YESTX/GEMS/ESF. Math camp will proceed & students will be using ALEKS testing, can also do
from home too, would like to do some hands on activities in the afternoon for students (engr
specific). Girls scout STEM camp will be on July 26th-28th and will be doing hands on projects,
etc. Let me know if you are interested in participating. BB
 Advising Sessions- finished 2 wks of advising sessions, ~455 students came. IT doing video
presentation to their students. One last advising session will be offered, going to work w/
Custer to show video to students who could not attend, but still working on it. AM
 Hoggie Days- sent out dates. The session for summer is specifically for students enrolling in
summer sessions & vice versa for Fall/Spring. Please send trained fac members to Hoggie
Days (AM). June 10th/11th is for Honors students/presidential scholars only (BB).
 Engineering Marvels- schedule on minutes, next up is EECS. SJN/TDG
 Earth Week Event- 90 students confirmed, will be hosting kick-off to Earth week on April 19th
from 9am-12pm, will put info out as soon as it is confirmed. TCEQ has confirmed. ET
 STEA competition- comp will be day after graduation on May 11th from about 8am-3pm, need
some student/faculty help for judging ppt, projects & engr notebooks. We are hosting the
event year. TDG
 Senior Design conference & Senior Dinner- need judges, especially outside volunteers. /SJN
 Administrative reorganization- will discuss more later, person will be taking over outreach,
communications, PR, working w/ dept secretaries, etc. SJN

Rumors, Conspiracies, etc
 FYI- Engineering marvels schedule will be as follows (from dept drawing): #1- CEAE, #2ITEN, #3- EECS, #4- MEIE, #5- EVEN, #6- CHNG. Starts week after next. March 4th will be
on air, but episodes are due Thursday before. #2 will start the week after March 4th and
so on.
