IUPUI COMMENCEMENT 2010 IUPUI A change is occurring at IUPUI in that the Diploma Covers (both IU and Purdue) will be handed out to the graduates as each walks across their respective school platform at the main commencement ceremony. For the past two years, IUPUI has given a print to the graduates but as of 2010 commencement, that print will be replaced by distributing the diploma covers at the main commencement ceremony. The Professional School Ceremonies (Law, Med, Dent) that occur on Saturday will continue as usual (diplomas/diploma covers will be passed out for Med/Dent; programs will be passed out for Law). Other School Ceremonies will change in that diploma covers will no longer be distributed there. PRE-COMMENCEMENT PLANNING 1. Diploma Covers Diploma covers will be delivered to the IUPUI Registrars office as always Weekend of Commencement (either Thursday or Friday) IUPUI Alumni Relations will pick up the diplomas covers to be delivered to the Convention Center. Diploma covers will be stored at the main stage of the Convention Center 2. Saturday Professional School Ceremonies The following items will be transported by Alumni Relations to the Convention Center when they transport the red diploma covers as long as the items are at the Office of the Registrar by the Thursday of commencement weekend. School of Medicine (Saturday) Diplomas in tubes and miscellaneous items 1 Cart School of Dentistry (Saturday) Diplomas and empty tubes for Dentistry to distribute 8 Boxes School of Law (Saturday) Programs 8 Boxes 2010 Change: Med, Dent, Law officials will need to get their items to the Registrar prior to the Thursday before Commencement weekend. Work with Tom May and Karen Looper in the Registrar’s Office. Alumni Relations will transport these items to the Convention Center along with the main ceremony diploma covers. o Alumni Relations will deliver Med and Dent diplomas/covers to the room adjacent to Sagamore Ballroom. Alumni Relations will work with Med and Dent to assure that the documents are available at the school ceremony rooms. o Alumni Relations will deliver Law programs to room adjacent to Sagamore Ballroom. Law should make arrangements to get programs prior to ceremony. 3. Sunday School Ceremonies The following items will be transported by Alumni Relations to the Convention Center when they transport the red diploma covers as long as the items are at the Office of the Registrar by the Thursday of commencement weekend. School of Public and Environmental Affairs Banner, Gifts and miscellaneous 9 Items School of Education Gifts for students 3 Boxes School of Engineering and Technology Gifts for students 4 Boxes School of Liberal Arts Programs and miscellaneous 7 Boxes 2010 Change: School officials will need to get their items to the Registrar prior to the Thursday of Commencement weekend. Work with Tom May and Karen Looper in the Registrar’s Office. Alumni Relations will transport items to Convention Center along with diploma covers and Registrar carts. Registrar representative (Karen Looper) will drive to the Convention Center to be sure school items and Registrar carts are delivered to the secure room in the Convention Center directly behind the Alumni Relations Information Desk receptionist (Rm 111). Karen will sign for key to the room and give key to Sharon Holland who will assure it gets to the Alumni Relations Information Desk in the center lobby. School officials whose materials have been transported will be responsible for getting and transporting their materials from the secure room to the appropriate room for their school ceremonies, stopping by the Alumni Relations Information Desk to get the key. They will need to return any carts used to the secure room. Schools will be responsible for “taking home” anything leftover from their ceremony. Mary Beth Myers and Stella Anderson will be at the commencement ceremonies as Marshalls. When not needed for other Marshall duties, Mary Beth and Stella will be in the secure Registrar room to assist school officials in getting their items to prepare their school ceremony. MAIN COMMENCEMENT CEREMONY CHANGES o o o CARDS: In the robing area on Commencement Sunday, all graduates will be assisted by the Marshalls to complete a card with their Name and graduating school. o Red cards = IU degree; Yellow cards = Purdue degree As graduate walks across the appropriate school platform (which will be set up in front of the large commencement stage just as in prior years when prints were distributed), they will hand card to a Marshall and the graduate will receive the appropriate diploma cover from their Dean or other designated official. Cards provided by graduates at as they walk across the platform will be collected. POST COMMENCEMENT o o Remaining diploma covers will be transported by the IUPUI commencement group back to the IUPUI Registrar after commencement. After Commencement weekend, Alumni Relations will separate and count the cards. o A spreadsheet will be sent to the IUPUI Office of the Registrar indicating the number of diploma covers that were distributed at commencement for each school. o Based on that quantity, it will be clear the number of diploma covers yet to be distributed to each school for further distribution (# of graduates minus # of covers distributed). o The actual cards will be delivered from the IUPUI Commencement group to the academic units so they know which of their graduates attended commencement and already received covers. o Registrar will work with academic units to deliver appropriate number of remaining diploma covers to the school. o Schools may distribute those remaining covers to their graduates as the school sees fit (this includes the August and December graduates who have the choice of walking in the May commencement). Schools will receive all diploma covers to which they are entitled to cover all of their graduates. From Alumni Association Website Commencement 2010 General Information Saturday, May 8: The Schools of Medicine, Dentistry, and Law-Indianapolis will hold recognition programs as follows: Medicine, 12 Noon; Dentistry, 3:00 p.m., and Law-Indianapolis, 4:00 p.m. Sunday, May 9: two University Commencement ceremonies will be held in Halls A-B-C of the Convention Center. The morning ceremony will begin at 11:30 a.m. and will include the Schools of Dentistry, Education, Health and Rehabilitation Sciences, Informatics, Law-Indianapolis, Medicine, Nursing, Physical Education and Tourism Management, Public and Environmental Affairs, Social Work, and the University Graduate School. The Kelley School of Business graduate program will hold its recognition program on Sunday immediately following the 11:30 a.m. University Commencement ceremony. All other schools will hold recognition programs immediately following their respective University ceremonies on Sunday. The afternoon ceremony will begin at 3:30 p.m. and will include the Kelley School of Business, Continuing Studies, Engineering and Technology, Herron School of Art and Design, Journalism, Liberal Arts, Library and Information Science, and the School of Science. All other schools will hold recognition programs immediately following their respective University ceremonies on Sunday.
