Sign in to your chapter’s account at www.phideltachi.org. Your Advisor should have the login information. Their email address is used as the primary contact for your chapter and can be used to reset the password. 2. Click Manage Profile 3. Select Chapter Roster 4. Export Chapter Roster This spreadsheet will give you all of the information for your chapter’s members. You are responsible for making sure names, contact information, and graduation dates are correct. A. Individual members can sign in to their account and make their own updates. (There is a column on this spreadsheet showing when they last logged in.) Some people may prefer not sharing all of their contact info with the entire fraternity, so they should adjust the appropriate privacy settings while signed in. B. You can edit individual profiles by clicking on the edit button next to their name. Additions to the Collegiate Roster (Page 5 due October 31) Brothers fitting any of the following criteria are added to the Collegiate Roster: 1. Extended Enrollment - Any Collegiate Brother whose previously reported expected graduation date has passed and the Brother has extended enrollment at the same School or University with a new expected graduation date. 2. Re-Enrollment - Any Brother who had previously been reported as “Left School” prior to completing a program leading to a degree in pharmacy who has re-enrolled at the same School or University. 3. Transfer Brothers - Any Collegiate Brother Initiated at a different Chapter who has transferred enrollment to a new School or University where a Phi Delta Chi Chapter exists. A Brother transferring to a new school where a Collegiate Chapter exists, but who has previously attained a degree in pharmacy is not eligible as an addition to another Collegiate Chapter (i.e. such individuals are considered Alumni Brothers of Phi Delta Chi). The requirements to transfer to another collegiate Chapter involves obtaining confirmation (e.g., a letter) signed by the Worthy Chief Counselor and the Worthy Keeper of Records and Seals (WKRS) of the Chapter of origin indicating that the transferring Brother is in good standing with the departure Chapter. This certificate should be presented to the WKRS of the arrival Chapter. The “new” Chapter is obligated to accept the Brother as a Collegiate Brother of this Chapter. Brothers who transfer in from another Chapter of the Fraternity are assigned a Registry Number at the new Chapter and sign the Registry Book like all Brothers before. Please complete the Initiation Reporting Form and submit to the National Office. 1 Removals from the Collegiate Roster (Page 6 due October 31) Membership in Phi Delta Chi is considered a lifetime commitment. However, certain circumstances may arise that allow for the removal of a Brother from the Collegiate Chapter Roster. The Bylaws of Phi Delta Chi provide for the removal of Brothers from Collegiate Chapter membership only under the following circumstances. Brothers fitting any of the following criteria shall be removed from the Collegiate Roster: 1. Graduated - Any Collegiate Brother who has graduated prior to the previously reported expected graduation date. The Brother will transition to Alumni status. 2. Left School - Any Collegiate Brother who has discontinued enrollment at the School or University. Alternatively, a Collegiate Brother that has discontinued enrollment in the pre-pharmacy or pharmacy curriculum but remains enrolled in a different degree program at the same School or University may elect to either be removed from the Collegiate Chapter Roster at his/her discretion or remain an active Brother of the Collegiate Chapter. a) Brothers that have discontinued enrollment altogether will transition to Alumni status. Report these Brothers as “Left School.” b) Brothers that have changed major and elect to disassociate with the Collegiate Chapter will transition to Alumni Status. We remain Brothers for Life. Report these Brothers as “Left School.” c) Brothers that have changed major and elect to remain an active Brother of the Collegiate Chapter will not have a status change. Do not report these Brothers as “Left School.” Brothers reported as "Left School" will transition into Alumni Status. 3. Expelled - Any Collegiate Brother who has been expelled by the Chapter in accordance with the Fraternity's Bylaws. To the extent possible, Chapters must collect the Membership Certificate and Official Fraternity Badge from Brothers who have been expelled from membership and return them with this form. Brothers reported as “Expelled” will transition into alumni status, but will not receive correspondence or any member benefits from the National Office. 4. Deceased - Any Collegiate Brother who is now deceased. It is appropriate for the unfortunate death of a Collegiate Brother to be reported to the National Office as soon as possible. All fallen Brothers are honored at the next meeting of the Grand Council. A letter will be drafted by the National Office to any Brothers written off of the Collegiate Chapter Roster as “Left School” or “Expelled” to give an explanation of the report provided by the Chapter. The purpose of this letter is to verify that the Brothers affected by the actions of the Chapter are made aware and to provide an opportunity to correct any possible misunderstanding or misinformation provided by the Chapter. 2 Further Explanation Regarding the Status of Suspended, Expelled, and "Temporary Inactive" Definitions: Suspended - Although membership in Phi Delta Chi is considered a lifetime commitment, extreme hardships may arise that may necessitate the Suspended Status of a Brother. The Bylaws of Phi Delta Chi provide for a temporary removal from membership as a Suspended Status. This may be accomplished by a ¾ vote of the Chapter. Suspension from the obligations of the fraternity may be reinstated at a later time in accordance with the Fraternity's Constitution and Bylaws. “Suspended” status was created to allow for Brothers to be able to handle their personal affairs without the worry of their fraternity obligations. Suspended Status is not designed to accommodate temporary or manageable factors. By becoming a Brother in Phi Delta Chi, every Brother voluntarily took on the obligations of being a Brother, keeping in mind the balance required between academic, family, work, and fraternity life. Therefore, being unable to meet financial obligations or to actively participate in chapter activities (i.e. “I don't have time because of school or work”) should not be considered acceptable reasons for suspension, unless extreme hardships exist, such as: a. b. c. d. e. Extreme loss of family income or livelihood. Natural disaster to hometown, country, etc., that has a direct impact on the Brother or his or her family. Significant change in income or employment conditions. Death or serious illness of immediate family member. Immediate family member involved in a serious accident. Suspension is the most appropriate method for handling Brothers who cannot meet their obligations to the Fraternity on a temporary basis. In accordance with the Fraternity's Bylaws, the Chapter is still financially responsible for any suspended Brothers with regard to payment of National Operating Dues. Expelled - Although Phi Delta Chi is a brotherhood, we are also an association of members. Members of associations generally understand that they must act responsibly and honor the commitments they have made as well as honor the well-founded decisions made by the Chapter and Fraternity as a whole. A membership organization should expect its members to honor those commitments and has the ultimate right to make and enforce its own rules, and require that its members refrain from conduct detrimental to the organization or its purposes. We are all forced to make choices every day, especially about allocating our time among many obligations, including family, school, and work. Sometimes, for whatever reason, one of our brothers may fail to live up to their commitment to Phi Delta Chi. When that happens, we must step in and assist the brother as best we can. Occasionally, our help is ineffective, or is rejected and the brother continues to ignore the commitments he/she made upon initiation. It is then that formal disciplinary action is required to correct and redirect the brother's behavior in accordance with the bylaws of Phi Delta Chi. 3 Some may see this as “unbrotherly.” Remember, discipline doesn't always mean a trial and it doesn't always mean expulsion. What it does mean is telling brothers that they are not “carrying their weight,” helping them “carry that weight” and, if necessary, punishing them for not doing so. Whenever a brother fails to meet one or more of the responsibilities of membership, the reasons for the failure should be thoroughly investigated. There are times when severe illness, extreme financial hardships, scholastic difficulties or severe personal problems can cause a member to neglect his/her obligations to the chapter. In such cases, our Ritual and the spirit of brotherhood urges us to understand the situation, work with it and provide the help and understanding that the brother may need. The chapter and its members must determine when the reasons for a brother's failure are real, and when they are simply excuses. Each case must be judged on its individual merits. Our members are only human, and thus have human failings. Our members can reflect both the best and the worst of society. In extreme cases such as those involving violence, hazing, or criminal activity, Fraternity members may be quickly charged, tried and even expelled. Except in these extreme cases a trial should generally be the last step. Chapters should do everything in their power to resolve “issues” with individuals without resorting to a trial. When it appears that a trial may become necessary, proper and tactful handling of the matter is of prime importance. It is usually in the chapter's best interest to first make every effort to obtain a satisfactory solution to the matter quietly and informally. All brothers have a right to expect that charge(s) made against any brother should be based on reasonable grounds. The accused brother has the right to due process, which is described in the Fraternity's Bylaws. Thus, he/she has the right to be informed of the charges, to have time to prepare a defense, to appear and defend himself/herself, to appeal the chapter's actions and to be treated fairly throughout the process. This process is designed to protect the rights of all members and must be strictly followed by all chapters. Brothers who are expelled from membership and are reported as such at the National Office are no longer permitted any rights or benefits of membership in the Fraternity. To the extent possible, Chapters must collect the Membership Certificate and Official Fraternity Badge from Brothers who are expelled from membership and return them to the National Office. “Temporary Inactive Status” - The Fraternity does not recognize such a Status.
