How to create and use Permission Numbers to allow students to enroll themselves in closed classes
Why Do I Want To Use Permission Numbers?



Ease of use: students and professors don’t have to deal with Change of Schedule Forms.
Department administrators don’t have to create Student-Specific Permissions for students that
meet the Requirements for the class.
When included in the batch process, a department won’t need to create permission numbers
for each class individually.
How Does It Work?


Permission numbers are created in UAccess Student either by departments for individual classes
in the Schedule of Classes, or via a batch process run by Room and Course Scheduling.
o To create permission numbers for individual classes:
 In UAccess Student, navigate to Records and Enrollment  Term Processing 
Class Permissions  Class Permissions, and enter search criteria for the class
you wish to create permission numbers for.
 On the Permission to Add tab:
 Ensure that the “Student Specific Permissions” box is unchecked.
 Enter an Expiration Date for the permission numbers.
 Enter the default overrides you wish the permission numbers to use.
Generally, permission numbers are used to override “Closed Class”,
“Consent Required”, and “Permission Time Period”.
 Enter the number of permission numbers you wish to create in the
“Assign More Permissions” box, and click Generate.
o To create permission numbers via the batch process:
 Departments that want to be included opt in during the Open Scheduling period
for a future semester by submitting the Class Permissions Opt-In form that can
be found at http://rcs.registrar.arizona.edu/templates.
 RCS runs a batch process to create permission numbers for all departments that
opt in, on the day after Open Scheduling deadline for that semester.
 The process will create a number of permissions for each class association.
 For classes with an enrollment cap of 100 or less: 10 per class.
 For classes with an enrollment cap greater than 100: 10% of total
enrollment cap.
 Permission Numbers will override the following:
 Consent Required
 Permission Time Period
 Closed Class
Departments will be able to view the randomly generated permission numbers for each section,
and distribute them to the students as they see fit.
o The list of permission numbers for each class can be found in UAccess Student at
Records and Enrollment  Term Processing  Class Permissions  Class Permissions.

Alternately, a report can be run in UAccess Analytics by navigating to Dashboards 
Student  Class Enrollment, Class Permissions tab.
o Departments may distribute permission numbers via email to a student, a phone or in
person conversation with the student, or using preprinted handouts (some departments
have developed mail merge documents to create preprinted handouts listing permission
numbers for students).
Students with permission numbers will enroll using the Self Service enrollment process in
Student Center, entering the code as part of the enrollment process.
What Are The Drawbacks?



Departments need to monitor their use of permission numbers to ensure that sections aren’t
unintentionally overenrolled. RCS will stop further enrollment for classes scheduled in Centrally
Scheduled Classrooms that have exceeded their Room Capacity, but not for classes that have
exceeded their Enrollment Capacity.
Student-Specific Permissions and generic Class Permission Numbers are mutually exclusive – you
can only use one type of permission per class section.
Home departments of cross-listed courses using the batch process may need to manually create
permission numbers for their secondary sections, since the process is specific to the subject
prefix of the course rather than the owner of the course.
