How HIPAA Set the Priority for MFP Security
Starting in 2011 all disclosures of PHI will have to be tracked – patients can
request to see where and to whom all of their information has been disclosed.
-Medical Record Copies and Faxes for Continued Care to Other Facilities
- Billing
- Subpoenas
- Workers Comp and Insurance Company requests
This means audit logs and management of copies, faxes and printouts will need to
be more detailed and with electronic application support.
Breach Notification
Any PHI that is unsecured, the facility needs to disclose the breach to the public.
Via news agencies, websites, and any media that the facility uses.
Criminal penalties for breach notification can go up to $1.5 Million Dollars.
How HIPAA Set the Priority for MFP Security
-Must notify patients of breach “without unreasonable delay” and no later
than 60 days from breach discovery
-Must notify Secretary of Health & Human Services (HHS) and prominent
media outlets if breach may involve more than 500 patients
-Must notify next of kin if patients affected are deceased
-Must provide details of the PHI records exposed and what steps are
implemented to help mitigate harm to patient
-Must provide annual notice to Secretary of HHS 60 days after end of calendar
year about breaches that involved less then 500 patients
Nearly every digital copier built since 2002 came with a hard drive,
either standard or as an option - like the one on your computers – in many
cases capable of retaining images of documents copied, scanned, or emailed by
that machine.
Social security numbers, birth certificates, medical records, income tax forms
are all still accessible if retained on the hard drive.
Konica Minolta and Security
When it Comes to the Hard Drive, We’re Different.
Konica Minolta does NOT store copies of print, scan, fax or copy
jobs on the internal hard drive.
•Processed with volatile RAM
•When the MFP is turned off, the RAM is cleared.
Konica Minolta and Security
What can stay on the Hard Drive? Only

But YOU’RE still in control of your security because
YOU can enable the MFP overwrite any and or all
documents on ANY BOX after a certain period of
time. NO technician is needed.

bizhub devices called the Image Log
Transfer function.
Transfer the image using the Scanto-FTP or WebDAV process to a
registered server at the same time
that the device is reading an image in
copy mode, reading an image in scan

How To Conduct HIPAA Audit
Job Log Manager Utility enables a
company to keep long-term records
of completed jobs. It provides an
audit log that not only covers a long
period of time, but one that can be
reviewed and easily searched.
This utility also allows the logs of
multiple MFPs to be centrally
managed.
Download from PageScope

WHAT OTHER FEATURES AND FUNCTIONS DO WE USE OUR MFP’s FOR?

DON’T THESE FUNCTIONS NEED TO BE PROTECTED TOO?
With Konica Minolta products, the Target of Evaluation (TOE) is
The Total System.
Before applying for ISO 15408 Level 3 certification, Konica Minolta works with 3rd
party security consultant to have the system strictly evaluated and to be checked for
any vulnerability or weakness that it may have.
This includes any possible threat from being attacked from the network, through
the phone line, etc. as well as HDD/RAM being removed from machine.
Any weakness, if found, will be fixed, so at the time of application, the system is
100% secure.
The latest bizhub models include 18 security based functions in the
Security Target or TOE.

PRODUCT INNOVATION
Design
Plastic parts are made of recycled
materials where possible, and are
marked to indicate the type of resin
used.
All toner bottles are made of High
Density Polyethylene (HDPE). These
toner bottles are designed to be
collected and recycled at local
facilities, like your other recyclable
items.
KM was the first to develop and use
a organic photoconductor drum
with a coating based on Kelp and
Flourine.
PRODUCT INNOVATION
Technology
KM Induction Heat Technology uses
less pressure and heat in its fusing
unit. This means that it uses less
power. It also eliminates the use of
fuser oil.
In operation, most KM models
optimize power consumption for
each operating mode. Simply put, it
only uses power where it is needed.
For example, when receiving a fax,
no power is sent to the scanner or
to other sections of the product that
are not used.
Most all of our MFP’s use 50% LESS
energy than Energy Star STANDARDS.
