Traineeship Notice
The European Aviation Safety Agency offers traineeships for periods of up to six months. Our traineeships present
an opportunity to receive professional work experience in a distinctly multinational and intellectually stimulating
environment, while contributing to the Agency's mission of promoting the highest common standards of safety and
environmental protection in civil aviation in Europe and worldwide.

The traineeship takes place at our headquarters in Cologne, Germany. The duration of the traineeship is 6 months
for Graduate trainees and 3 to maximum 6 months for Undergraduate trainees. The traineeship contract is
concluded for a fixed period of a maximum of six months which may not be renewed. The traineeship does not
entail any right or priority with regard to future engagement in the Agency.
Organisational Location
The Agency is undergoing a re-organization to better meet the challenges of the growing sector and to keep the
aviation system safe and sustainable by enhancing the Agency’s overall cohesion, efficiency and managing its
know-how.
As of 1st of September 2014 the Agency shall be composed of the following Directorates: Executive, Certification,
Flight Standards, Strategy & Safety Management and Resources & Support.
We offer a traineeship in the Resources & Support Directorate – Finance & Procurement Department.
The Resources & Support Directorate is responsible for all activities related to Finance, IT, Human Resources
and Logistic support. The role of the Directorate is essential as it supports the other Directorates so that the
Agency can fulfil its tasks and obligations in relation to civil aviation safety. The Finance & Procurement
Department is in charge of budget, accounting, procurement and invoicing. The Procurement Section is
responsible for the management of the Agency’s purchasing activity including the administration of procurement
procedures and conclusion of contracts for a wide variety of services & supplies as well as ensuring the successful
implementation and management of the Agency’s contracts and suppliers.
Your tasks
Under the direct supervision of the traineeship advisor the selected candidate will support the Procurement team
in its procurement and contracts related activities, in line with the applicable rules and Agency standards, in
particular:


Assist in the preparation and conclusion of procurement procedures including preparation and
publication of tender documents, management of correspondence with tenderers, preparation for /
conduction of opening & evaluation sessions, proper follow-up and conclusion of procurement
procedures including activities related to the contract signature;
Assist in contract and supplier management related activities such as preparation and follow-up of adhoc tasks e.g. contract amendments, specific contracts, general queries from operational departments
etc.;


Support the Procurement Team in various reporting and monitoring tasks including providing support
and coordinating with the various operational departments within the Agency in the management of
their contractual needs, assist in the maintenance of the teams monitoring and reporting tools
(including contract monitoring, planning etc.);
Assist the Procurement Team in various long term projects such as e-procurement, green procurement,
template management and development etc.
Your profile
Essential requirements
You are:






Graduate of a higher education course (at least three years of university education) and will have obtained a
full degree by the start of the traineeship period;
OR
Undergraduate (Student) who has completed at least two years of university studies and aim at doing a
voluntary or compulsory traineeship as part of your studies, for access to a profession or to carry out
research for your final thesis;
A national of a Member State of the European Union or national of Norway, Iceland, Liechtenstein or
Switzerland;
You have a very good knowledge of English and at least one other Community language;
You have an academic background in law, economics, finance, public administration or equivalent;
Good computer literacy, particularly with Word, Excel and Outlook.
Advantageous requirements

You have knowledge of and/or practical experience with contracts, procurement, purchasing, calls for
tenders and/or contract/supplier management.

backgrounds.
Exclusion criteria
Applications will not be accepted from applicants who, for more than 6 weeks:

Have already benefited or benefit from any kind of traineeship within a European institution or body1 or
Have had or have any kind of employment within a European institution or body.

Training Grant2
Monthly maintenance grant for Graduate trainees: 1.061,02 €
Monthly maintenance grant for Undergraduate trainees: 848,82 €
EASA is offering to trainees the JobTicket, which allows the holder to use public transportation within the
Cologne/Bonn area3.
In addition we pay at the end of the traineeship a travel allowance for the travel from your place of residence to
Cologne and back.

Candidates applying for the Undergraduate programme must also submit a matriculation certificate provided by
the University and, if applicable, official university documentation confirming the obligation of the applicant to
complete a traineeship as part of his/her studies or for access to a profession or the requirements to carry out
research for a university level thesis.

Note that the amounts of the training grant are based on the current AD 5 step 1 basic salary. The grant shall be subject
to the relevant weighting factors set by the Council pursuant to Article 64 of the Staff Regulations. The adjustments to
remuneration adopted yearly by the Council pursuant to Article 65 of the Staff Regulations shall apply automatically to the
grant in the month following their adoption. As described in the applicable traineeship rules, trainees who benefit from any
grant from another source or another subsistence allowance shall only be admitted to a financial contribution from EASA,
if the sum received is less than the amount of the traineeship grant. In that case, they shall receive the difference.
