Completing events You will need to complete a folder with information about your event. It should include research, planning, carrying out the event and an evaluation. Introduction • Your introduction must be clear and detailed. • You should include what you have been asked to do at the start. • Describe your team – who is in your group? • How did you decide what your event will be? Research • When will your event take place? • What are the aims of your event – who is it for? • What do you intend to do? Why? • Complete a spider diagram of different events that you could do. • Decide as a group which one is best and give reasons for your choice Research • Describe where your event will take place and give reasons for your choice. • Discuss why other areas within school are not suitable for the event. • If you need photographs of specific areas please let me know so I can arrange for these to be taken. • Think about seating plans and room plans Research • Discuss the job roles in industry, use the game we have played to help you decide which job roles are relevant to your event. • Produce a chart showing the job roles and description of their work • Decide who will do what job for your event • Think about costs, resources and equipment required Research • Complete a questionnaire to see if your event will be popular • Include questions on types of foods people might like • Include questions on special dietary needs • Analyse your results • Remember you will need to check that your event will attract some customers Research • Complete a spider diagram of foods you could use in your event • Remember to include foods suitable for your target group • Remember to include sweet and savoury products • Think about special dietary needs e.g. vegetarian • Produce a rough menu for your event Planning • Produce a detailed action plan of what you will do and when. • Remember to include dates • Include trialling recipes for the event • Remember to analyse any practical that you complete and say how they fit the needs of the event Planning • Produce a fire safety chart for your event. • Discuss what you would do in the event of a fire. • Think about the school fire drill and adapt it so that you are in charge of the safety of your customers Planning • Produce a risk assessment chart for your event showing accidents that could happen and how you would deal with them • Include risks, who to, where and how you will control them • This is easier done as a chart rather than just written Example of risk assessment Hazard Risk Ovens and Burns hobs Who Controls Staff and students Instructions on the safe use of cookers before they are used Hygiene • Remember to include information on food safety and hygiene • You should produce a HACCP chart for at least one of your products • This should show safety and quality checks • This can be completed as a chart H.A.C.C.P • Example of HACCP Process Safety Checks Quality Checks Get ingredients ready Get equipment ready Check in date and no damage Bacterial growth check they are clean Get from good supplier Check not damaged or broken Planning • Produce a plan of the room and how you will set it up • Remember to include fire exits • Produce a plan of the tables and how they will be laid • Include examples of table layouts Planning • Produce a time plan for the day of the event • Include all preparation for the day • Ensure you have enough time to complete the event and the cleaning up after the event • Include job roles – who will do what? • Decide on the venue for the event Planning • Decide on the menu for your event • Complete a menu with prices for your event • Do you need to advertise your event? If so produce posters • Do you need to invite specific guests? If so produce an invitation Planning • Include all recipes and methods you are trialling prior to the event. • Remember to have pictures taken of practical products you make. • Evaluate the products you have made and explain how they can be improved • Explain how many the product will serve and how much it costs to make Planning • Produce a shopping list for the foods you will need • Include the costs of the foods • Work out your portion control • Remember to have spare products in case of accidents • Do you know who has ordered what? • Have you checked you have all the correct equipment for the event? Planning • Do you have a theme for your event? • Include any examples of decorations in your work • Think about a colour scheme • How will your food be presented on the plate? • How will you set the plates out on the tables? Carrying out the event • Think about customer care • How will you ensure your customers are satisfied with the service and products provided? • You could include a n evaluation form for them to fill in Carrying out the event • What practical skills are you showing in the event? • Try to include as many as possible • Not just the cooking but think about the way you serve the food • What skills have you learnt while doing the event? • What skills do you need to improve? Carrying out the event • Make sure you are clean and hygienic at all times • Make sure your work area is clean and free from hazards • Check your time plan and ensure you have everything ready for the event • Check that everyone knows their role in case anyone is absent Carrying out the event • Remember to get photographs taken to show you have taken part in the event • Show a range of skills • Show safe working practices • Think about how you feel before the event • Remember you must take part in the event Evaluation • After the event write about it so the moderator knows what you have done • Include how you felt before, during and after the event • Think about customer satisfaction • This should be at least one side of A4 Evaluation • Write about how well you have completed your work throughout the event • Include how you all worked as a team • Did some of you do more than others? • Did you work hygienically? • Include evidence of safe working practices Evaluation • • • • What new skills have you learnt? What skills could you improve? Did you stick to the budget? How much profit did you make? Did you get any customer feedback, e.g. letters or evaluations? • Did you get any write ups in the local paper or school magazine? • How could you make the event better?
