FOREWORD
I would like to extend a warm welcome to all new
postgraduate students. We are delighted that you have
chosen to do your postgraduate study in the Faculty of
Engineering & the Built Environment at UCT.
You may rest assured that you have chosen the right Faculty
to continue your studies. The Faculty has earned an
outstanding reputation for its high-quality research, and the
range of research specialisations and the breadth of the
knowledge within the Faculty, combine to make it a truly
unique learning environment.
The Faculty is proud to have the highest number of research-rated engineering academics in
South Africa which means that many of you will be working under supervisors who are
recognised by their peers as leading international scholars in their field of research.
The Faculty is well positioned to contribute significantly to the country and the challenges we
are facing through the research you will be involved in - energy crisis; climate change; clean
fuel; urban development; transportation etc. Our researchers are ready and more than
competent to respond to these challenges.
Your supervisor has a responsibility to provide you with all the necessary assistance you need
to ensure you are successful in your research. At the same time, it is expected that you will
commit yourself fully to your research. A Memorandum of Understanding has been drawn up
to clarify “upfront” the agreed roles and responsibilities of both the candidate and the
supervisor, to ensure that the supervision experience is as mutually productive as possible.
This should be signed within the first six months of your registration.
I would like to encourage you to make contact with the Engineering & the Built Environment
(EBE).
Postgraduate Students’ Council who are a democratically elected body and represent all
postgraduate students in the Faculty. The council plays an important role in promoting EBE
postgraduate students’ interests, in particular liaising with the senior management on issues
affecting postgraduate students.
I wish you every success in your research and trust that your time at UCT will be both
enjoyable and rewarding. I look forward to interacting with you during your stay.

WELCOME FROM THE EBE POSTGRADUATE STUDENT
COUNCIL
The EBE Postgraduate Student Council is an annually
elected body of postgraduate students whose
responsibility is to represent, and communicate, the
interests of EBE postgraduate students.
Our vision is to recognize and practice an exemplary form
of collaborative student representation; focused on
integrity, efficient teamwork, collective commitment and
efficiency in all that we pledge to do and in so doing; create
and satisfy sustainable and desirable value for the
postgraduate students in EBE.
Our Mission involves three main aspects; Transformation, Integration, and Transparency.
1. Transformation: Through continuous transformation, inspire to build and sustain a
diverse postgraduate student body that reflects the demographics of the South African
and greater African society.
2. Integration: To facilitate cooperation within the faculty; between staff, management and
fellow students alike. To create a networking platforms for students within the faculty
(between the various departments); through approaches that encourage information
sharing concerning research. To initiate, enthuse and support active participation of all
students in community engagement projects; bringing about personal and collective
introspection and development.
3. Transparency: To be a relevant, accessible and accountable student representative body;
through brand recognition and effective and consistent communication. To be
continuously involved in student governance and display social awareness through
involvement in internal and external debates, talks, seminars and other similar platforms
affecting the postgraduate student body. To engage with organisations in enabling
interaction with postgraduate students companies to expand their employment capacity
for UCT postgraduate students within the faculty.

GETTING STARTED
ACCESS CONTROL
The UCT Access Control department offers the following services:




Production of UCT staff, student and Third Party identification cards.
Replacement of lost or damaged UCT staff, student and Third Party identification cards (see conditions
below).
Assigning of access to individuals or groups to specified areas on campus (all requests to be authorised by
relevant HOD, see Contacts).
Processing general access related queries.

STUDENT CARDS
New postgraduate students need to produce their ID document to obtain an official student card bearing their
details, student number and photograph from Campus Protection Services, Basement Level, Robert Leslie
Building. Candidates must keep this card in order that it can be revalidated for use in the following year.
Badly damaged/lost cards: If your student card is badly damaged (cracked or bent) or has been lost you will
have to pay for a replacement card. You can replace your card for a fee of R60.00, to be paid at the Cashier's
office in the Kramer Law Building (Middle Campus). Take your receipt to the Access Control Administration
Office on the Ground Floor, Geoscience Building (off Ring Road), to get your new card. The Office is open 08h00 16h00, Monday to Friday.
Worn cards: If the print on your card is badly worn from normal wear and tear we will replace the card free of
charge.
Stolen cards: If your card was stolen it will be replaced free of charge provided you present an affidavit from
the police for when you reported it stolen.
Returning postgraduate students: once your registration for the current year has been processed, your student
card will automatically be reactivated.
Proof of identification: Should you wish to get a new card for whatever reason you will be required to produce
any positive proof of identification

FAULT LOGGING
The fault logging form can be downloaded (see Downloads at the top right), filled in and sent to the security
systems administration offices (see address at top of page, or in contacts section), or it can be emailed to the
Access Control Systems Administrator, PJ Fisher.
VULA
VULA houses websites for academic courses, student societies, study and research groups, faculty and
departmental groups, as well as assorted projects and initiatives. For many courses on campus, you will need
to use Vula to access important announcements, lecture notes and readings, online discussion groups,
assignment information and hand-ins, plus tutorial group sign ups and contact information. To log in go to
http://vula.uct.ac.za
When you login to Vula you will find yourself in My Workspace. This is your own private site in Vula where you
can manage your profile and preferences, store data, view a consolidated calendar and announcement
information, and even create your own new sites. The number of tabs you see will depend on your membership
to other sites. (If you don’t belong to any sites yet, you will only see ‘My Workspace’.) If your lecturer has created
a Vula site for your course, you will be automatically added to it. (If you don’t see a tab for a particular course
please ask your lecturer or tutor if they are going to be using Vula.)
You will also be added to the Student Representative Council (SRC) and Faculty Student Council sites, and you
may see tabs for your faculty, residence and other student groups. If you are already a member of many sites,
you may see a tab titled ‘My Active Sites’ which, when clicked, will reveal a list of all your sites. Click the site
names to enter the sites.
myUCT EMAIL
myUCT is an online email service that provides all UCT students (excluding Post-doctoral fellows) with a free
25GB mailbox, 7GB online storage solution, instant messaging tools and much more! Top Features include:
25GB mailbox space, 7GB password protected online storage using OneDrive, an email address for life, free use
of Office Web Apps, advanced anti-spam functionality and Office 365 (Microsoft Student Advantage Program).

Managing your password
Change your initial password as soon as you
receive it.
This ensures that your machine is always
secured and protected.
It is a requirement that your PC is kept up to
date with the latest security and anti-virus
patches otherwise it will be removed from
the network.
New vulnerabilities are regularly
discovered – to protect your machine you
must update your anti-virus EVERY day.
Patches downloaded from the patchmanagement systems do not count towards
your Internet quota.
Masters, doctoral and postdoctoral students
are not subject to a quota, but Internet usage
is monitored and reported on.
Please read and abide by the UCT policy
and rules on email and Internet use.

PARKING ON CAMPUS
Postgraduate students who are employed by UCT may apply for the yellow disc (valid for all
campuses and restricted part of Upper Campus). Postgraduate students who are not
employed are also eligible for yellow discs, valid only for the Tennis Court parking lot, or for
oversubscribed blue student parking discs.
Discs are usually sold from November and are valid for one year. These can be bought at the
UCT Traffic Office (below Geological Sciences Extension Building on Ring Road south). A
limited number of yellow parking discs are sold, issued on a ‘first come first served’ basis, and
unlimited blue discs, for an extremely limited number of parking bays. Parking can be a
nightmare, so be warned!

In keeping with its central role in the academic life of the University, the main library – the
Chancellor Oppenheimer Library – lies at the heart of the Upper Campus. It offers spacious
reading areas, numerous computer workstations, audio-visual viewing areas, wireless
internet access, group project rooms, and ample photocopying, printing and scanning
facilities.
In addition to the Chancellor Oppenheimer Library, there are eight branch libraries spread
across UCT’s various campuses, in proximity to the academic departments they serve. For

RESEARCH WING
The Research Wing occupies the original J.W. Jagger building, which forms the south side of
the COL. It offers quiet workspace for senior and postgraduate students and houses the
current journals display, the UCT thesis collection, and the offices of our subject-specialist
librarians. On the uppermost level of the Research, Wing is the Research Commons, which
provides a well-appointed workspace and high-end technology, as well as expert assistance,
to academic staff and postgraduate students at master's and doctoral level.
RESEARCH COMMONS
The Research Commons is a well-appointed facility specifically designed to cater for the
information and workspace needs of senior postgraduates, Postdoctoral Research Fellows,
and academic staff. Situated on Level 6 of the Research Wing, the Research Commons offers
spacious workstations with high-end PCs and an excellent selection of software applications;
laptops for use within the Commons; high-speed internet connections; printing, scanning, and
copying facilities; a seminar room for collaborative work; and a comfortable lounge where
users can relax with a cup of tea or coffee and network with comfortable lounge where users
can relax and network with colleagues. Experienced library staff are on hand to assist with
patrons’ information needs and to arrange consultations with subject librarians as needed.

WRITING CENTRE
The UCT Writing Centre supports postgraduate students from all faculties of the University as
they navigate the world of academic writing. The centre focuses on the structures and
processes of academic writing. The centre offers consultations that are focused on the

JAMMIE SHUTTLE
The Jammie Shuttle is a scheduled bus service available seven days a week, and it includes a
late night service. It operates between all residences, campuses and local public transport
terminals. The service is free to all UCT students and staff. Timetables, as well as shuttle
routes, are available from the Traffic Office or on the UCT website via the Staff and Student
Portal.
CAMPUS PROTECTION SERVICE (CPS)
CPS operates 24 hours a day, seven days a week. They are committed to protecting the safety
of the University community and its property, as well as maintaining order in accordance with

When the Jammie Shuttle is not running (after 01h00), Campus Protection Services offers

must be understood that their core function on campus is not transportation of members of
the UCT community, therefore expect that there may be delays, especially for vehicular
escorting, due to other urgent operational duties.

It is advised to register with the Disability Service as soon as possible after registering at UCT.
The registration form allows one to request support or special assistance (also known as

Full-time students are entitled to use the University’s facilities for medical consultations, eye
testing, HIV-testing, contraception, sports injuries, physiotherapy, psychological counselling
and assessment. Students not receiving financial aid pay medical aid rates for consultations,
but certain services are free.
Upper Campus Clinic
The Upper Campus Clinic is open from 08h30 to 16h30 daily during Term times on Level 6 in
the Steve Biko Student Building. A Nurse Practitioner is available on a walk-in basis - for minor
complaints. A Psychologist is available for booked appointments – to be booked through SWS
Reception on 021 650 1017.
HIV/AIDS INCLUSIVITY & CHANGE UNIT (HAICU)
HAICU provides services to students and staff and is responsible for co-ordinating the
university's response to HIV/AIDS. HAICU co-ordinates the incorporation of HIV and AIDS
materials into formal curricula at UCT in order to expand upon students' existing HIV
knowledge.
Free voluntary counselling & testing (VCT)
Student Wellness Service (SWS), the campus health service, provides students with HIV
counselling and testing and clinical management of HIV, including treatment of opportunistic
infections and referral for ARVs. This confidential service is open Monday to Friday, from

08h30 to16h30, except Thursdays when it is open from 09h30. Appointments are essential,
and consultations are free of charge.
Consultations at Student Wellness are one hour long, and clients receive their results
immediately after the counselling. Shorter and more accessible VCT is available in the Dropin Clinic in the Sports Centre on Upper Campus and from the Mobile VCT Van, which visits
Lower, Middle, Hiddingh and the GSB campuses weekly during Term. Management and
support of HIV-positive clients is offered at no cost to the student.

DISCRIMINATION AND HARRASMENT OFFICE
The Discrimination and Harassment Office (DISCHO) serves the campus community with
advice and support in regard to all matters related to discrimination and harassment on
campus. DISCHO remains the first port of call for staff or students at UCT, who are
experiencing any type of discrimination or harassment. The office receives, assists with,
advises on and investigates claims regarding all forms of discrimination and harassment,

STUDENT SOCIETIES & ORGANISATIONS
OVERVIEW
There are more than 100 student societies and organisations at UCT reflecting a wide range
of interests, including academic, religious, cultural, social and political activities.
Each society is run by students, and any student may be a member. Societies hold a number
of events every year including an AGM where the new leadership is elected for the New Year.
Each society is partially funded by the University and partially by subscription fees which the
societies charge.
The societies allow students to enjoy activities at the University that are not normally part of
the academic curricula. Societies also allow students to enjoy being part of a community on
campus that is stimulating and opens up new challenges and opportunities for them.

Students can become members of societies throughout the academic year. During the annual

Every club welcomes new members, from novices to the more experienced athletes, and is
equipped to deal with the needs of each individual. Most clubs engage the services of toplevel coaches, many of whom coach at provincial level.
Sports facilities include an Astroturf hockey facility, an indoor sports complex, and excellent
tennis, squash, soccer, rugby and cricket facilities. The UCT rowing club is one of the bestequipped university clubs in the country. In addition, UCT has access to a mountain near
Ceres, an L26 keelboat and many sailing dinghies, an ocean-going dive boat, and a water-ski
boat equipped with a 130hp engine.
You can sign up for any sport or club at the Sport and Recreation Reception throughout the
year. Fees may be charged to your UCT account only up until March after which only cash
payments are accepted. The UCT Sport and Recreation Department is located in the Sports
Centre on Upper Campus.

SPORTS PUBLICATION
Campus Sport is the annual publication of the Sports and Recreation section, part of the
Department of Student Affairs. The publication showcases outstanding sporting
achievements by students, whilst also reporting on sports stories regarding UCT staff and
graduates. The publication is distributed primarily at the annual Sports Awards Dinner in
October.

UCT GYM
The UCT Gym is located on Lower Campus close to Graça Machel Hall women's residence.
Membership is limited to UCT staff and students.
The UCT Gym is open throughout the year, from 06h00 to 21h00, Mondays to Fridays, and
from 08h00 to 19h00, Saturdays and Sundays. During UCT vacations, the UCT Gym opens at
06h00 and closes at 19h00. Full membership is R500.00 per year.
Students and staff can join the UCT Gym at the Sports & Recreation reception in the Sports
Centre, Mondays to Fridays from 08h30 to 16h00.
Off-peak membership
This package is R300.00 per year. Off peak members can only use the UCT Gym between
08h30 and 15h00, Mondays to Sundays.
Aerobics
Aerobics classes take place in the Fitness Centre on Mondays, Wednesdays and Fridays.

The Sports Injuries Clinic is an independent facility where sports injuries STUDENT SUPPORT

diagnosed, treated and rehabilitated by physiotherapists, biokineticists. The Clinic treats UCT
students and staff and members of the public. Medical aid rates are charged. Students
without medical aid can submit a claim to the UCT Supplementary Health Fund for minimal
financial cover. Students may only claim if accidentally injured while participating in a UCT
sports event or training session, or if injured on campus.

community who cannot afford an attorney or legal representative. A supervising attorney
supervises Law students. For assistance and appointments, call the offices. The Clinic can only
take on matters for which it has the capacity and often make referrals where necessary.

UCT WORSHIP CENTRES
The Jewish Prayer Room (Beit Midrash) is located on the 1st floor of the Kaplan Centre, above
the Jewish Studies Library. An interfaith chapel is situated in the Otto Beit Students Union. It
provides separate facilities for Christian and Muslim worship. Certain student religious
societies use the chapel for services on a regular basis.
THEATRE AND MUSEUM
BAXTER THEATRE
The complex comprises a theatre and a concert hall which accommodate larger productions,
as well as a smaller studio theatre which provides a more intimate setting for smaller
productions. Many of the public spaces in the complex are used to exhibit works by fine

artists, and the complex itself has become a popular venue for those wishing to hold academic

IRMA STERN MUSEUM
One of South Africa's leading artists, Irma Stern (1894-1966) achieved national and
international recognition in her lifetime. Her home, situated near UCT's Lower Campus in
Rosebank, Cape Town, was transformed into the Irma Stern Museum in 1971 and houses a
comprehensive collection of the artist's work, as well as her private collection of antique
furniture and African art. A monthly exhibition programme is arranged annually in the Irma
Stern Museum's commercial gallery used by contemporary South African artists. Details are

The Centre provides pre-primary facilities for the children of staff and students. It is situated
in a pleasant mountainside setting, with ample outdoor play areas. The Centre caters for six
groups: from infants/toddlers (3 months to 3 years) to pre-primary (3 to 5 years). It is open
throughout the year and closes only for two weeks between Christmas and New Year.

UCT CLUB
The UCT Club is a pleasant gathering place
where members of the UCT community can
socialise and exchange ideas. Located on the
upper campus in the Sports Centre, the club is
open to all staff, postgraduate students and
alumni and they are automatically entitled to
membership rights at the Club.
The Club consists of a reasonably-priced
restaurant and a pub where members can
meet in a relaxed and informal environment.
The Club offers a large restaurant, with a seating capacity of up to 180 people, a cosy pub
with capacity for a further 80 people, and a games section with dart board and pool table.
Kitchen hours are 12h00 to 14h30, and 17h00 to 20h00 daily from Monday to Thursday, and
17h00 to 21h00 on Fridays and the pub is open from 12h00 to 21h00 during weekdays and
until 23h00 on Fridays. The hours can be extended for functions or by arrangement.

The Club is generally open on Saturdays when there are major sporting events. From time to
time the Club hosts speciality evenings including Trivia Quiz, pool competitions, or an Irish
Folk Evening.

VARSITY PAPER
Varsity is the official student-run newspaper at UCT. Established
in 1942, it is recognised as an important development agency
on campus. The newspaper comes out every second Tuesday,
with 12 editions in the year.
Varsity strives to represent the student voice on many issues. It
covers various aspects of student life under four sections news, opinions, features and sports.
Members of the Varsity collective are all UCT students who
have chosen to be part of the team on an entirely voluntary
basis. Students are encouraged to contribute articles to the
newspaper regularly, or on an ad hoc basis. In addition to
sharpening their journalistic skills, students can also be involved
in the operations side of the newspaper such as advertising,

UCT RADIO
UCT Radio is a student-run, campuscommunity station, catering not only to
the students and staff of UCT but also
secondary school pupils and the broader
youth community of Cape Town.
It is the biggest campus station in Cape
Town and the only one licensed to
broadcast to the Metropolitan area.
The areas covered by their broadcast footprint include the Northern Suburbs (Milnerton,
Edgemead and Bellville), Cape Flats (Athlone, Mitchell’s Plain, Langa, Khayelitsha and
Gugulethu) and the Southern Suburbs (Rondebosch, Newlands, Claremont and Kenilworth).
Those outside of this range are now able to listen via a newly-introduced live streaming
service.
Specialist shows from 6pm until midnight are renowned for introducing new music to the
local audience and showcase not only the best in youth culture but also feature musicians and
deejays from the biggest clubs in the Mother City. This line-up includes hip-hop, kwaito,

Go to the fees office in level 3 Kramer Building, Middle Campus for fees clearance.
Students are strongly advised to bring a copy of the payment document to pre-registration. Clearance will only be given
when payment has been received in the university’s bank account.

Students who are receiving funding from a UCT department should take the funding confirmation letter to the
Postgraduate Funding Office (Otto Beit Building, Upper Level, Upper Campus) to be endorsed before proceeding to the
fees office
Students who are sponsored by a UCT recognized corporate or government sponsor must please bring a copy of your
2014 bursary award letter at pre-registration.
Once this is complete, Local students can skip to STEP 3.

Submit a copy of proof of medical cover (i.e. a membership letter for the current year).
All students will be expected to provide IAPO with copies of the aforesaid whether previously submitted or

Data capturing by IAPO
Once all the necessary documentation is verified and captured onto the UCT system, IAPO data capturers will
lift the block on the system and provide the student with a signed and stamped IAPO Clearance Form to
present to the faculty as proof of IAPO clearance.
3. FACULTY REGISTRATION
