Members Absent: Todd Gregg, Patrick Logue, Sue Ann Lopez, Mollie Melton, Lynda Reid, Lance Scott, Kathy Townsend, Jack Wardlow. Prior to the meeting, committee members and members of the Institutional Effectiveness Resource Network enjoyed an appreciation brunch. IE Committee members whose terms had expired this past spring semester were recognized by Dr. Kelvin Sharp for their service on the committee. These individuals included Ann Hebisen, Dr. Jay Driver, Andrew Ruiz, Dennis Churchwell, Brandon Awbrey, Ginger Mulloy and Tiffany Cavazos. They were presented a certificate of appreciation from Dr. Sharp. The meeting was called to order at 10:00 a.m. Minutes of the February 12, 2010 meeting had been previously distributed by email. Motion by Robert Plant, second by Randy Robertson to accept the minutes as distributed. Motion approved. New members to the committee were introduced. They included Lynda Reid, Gary Poffenbarger, Amanda Sims, Julie Gerstenberger, Cathy Mitchell, Lance Scott and Charlene Perez. The following agenda items were taken up. Supervisors Network – LeadSPC Rafael Aguilera reported that the Supervisors Training Network Subcommittee hosted two professional development events last spring for supervisors. These included a Conflict Management workshop presented by Randy Anderson with e3 Professional Trainers attended by 24 supervisors. A question and answer session on Human Resources topics was conducted by Jeri Ann Dewbre, HR director. The second event featured Tim Tivis with Pinnacle Training Group who presented a program on Team Building. This session was attended by 16 supervisors. Aguilera said the subcommittee would meet early in the fall semester to plan the next series of professional development. Stephen John asked the subcommittee to take up the task of discussing how to implement customer service training for supervisors and front line personnel which is specified in the college’s current Institutional Plan. He asked the subcommittee to work with Kimbra Quinn and Christina Conner to study the Noel-Levitz Connections training program on customer service which was delivered to personnel in the Student Services Division two years ago. IE Committee Meeting, 9/10/10 1 Update on SACS Five-Year Interim Report Yancy Nunez reported that SPC has been asked to provide a follow-up report to its SACS FiveYear Interim Report submitted last October. He is presently working on the response to the follow-up report for SACS. SPC has been asked to provide further evidence of learning outcomes assessment. At the time our report was submitted, results of the general core curriculum assessment had not been compiled. Additionally, SACS was requesting clarification of how we assess distance learning courses and instruction. Update on TaskStream AMS Stephen John provided an update report on the status of adopting the TaskSTream Accountability Management System (AMS) that the IE Committee reviewed this past spring semester. The Administrative Council approved the recommendation to adopt the AMS as the college’s primary means for coordinating and documenting planning and institutional effectiveness processes on program, departmental and institutional levels. Presently, an AMS Implementation Team is being organized to coordinate and oversee the implementation of the new online resource. He said that the IE Committee would become involved in Phase II of the Implementation Plan where the system would be designed and reviewed by end users. Results of 2010 Employee Survey Committee members reviewed and discussed the results of the 2010 Employee Survey that was conducted this past spring. It was noted that the survey indicated a high level of employee satisfaction and commitment to the college’s critical success attributes: student focus, learning focus, access and diversity, employee empowerment, supervisory management, cooperation/teamwork, internal employee relations, physical environment, community focus and leadership focus. Mean ratings for all 17 organizational success factors exceeded the 3.50 benchmark. Respondents recorded their highest level of satisfaction and affirmation of 16 of the 17 factors since the survey was revised in 2004. The survey also identified areas that employees feel are in need of continued improvement, which included: Greater cooperation and teamwork between department and work groups Improved rewards and recognition in the form of higher salaries Better communication channels between departments and work groups Greater involvement in the College’s planning and decision-making processes Greater involvement in the allocation of budget resources The Administrative Council reviewed and discussed the results at its Summer Planning Retreat held July 27, 2010. John reported that the council discussed the need to improve communication channels and what were employee expectations in regard to organizational communications. It was suggested that the IE Committee revisit the results and recommendations of the Communications Study that was conducted in March 2007. Additionally, the Connections customer service training focuses on better communications between departments that deliver services to students. Both these resources could provide additional insight into improving organizational communications at SPC. NEO Day 3 Update John reported that New Employee Orientation will continue with its final session – Working and Living our Vision and Values – on Friday, Sept. 17. IE Committee members interested in assisting with the session were asked to contact John or Lisa Eddins in the Advancement Office. IE Committee Meeting, 9/10/10 2 A total of 37 new employees participated in Day 1 and 2 of New Employee Orientation held August 18-19. This group has been invited to attend NEO Day 3. Announcements Subcommittee assignments for 2010-11 were distributed to members.
