Administrative Assistant I Purpose Purpose: Serve as a key member of the Leadership Gifts team and provide necessary support to the Director of Development/Leadership Gifts in the College of Science to help ensure success in securing major gifts for the University. Essential Functions Function 1: Responsible for managing all administrative functions for the assigned Director of Development, including correspondence, files, e-mail, voice mail, travel arrangements, calendar management, and ordering office supplies and equipment. 20 % Time Function 2: Schedules internal and external meetings and prospect appointments. Prepares correspondence and briefing materials for donors and prospects. 20 % Time Function 3: Prepares documents regarding expenditures. Coordinates travel arrangements and prepares vouchers for payment and reimbursement. 10 % Time Function 4: Responds to inquiries by phone, in person, or by mail. 10 % Time Function 5: Assists in planning and staffing events for the school/college and may occasionally staff university development events. 10 % Time Function 6: Maintains Raiser's Edge database records to track donor activity and record updates. 10 % Time Function 7: Assists with preparation of solicitation materials. 10 % Time Function 8: Manages confidential information on donors and prospects. 10 % Time Marginal/Incidental Functions Marginal/Incidental Functions: Other functions as assigned. Qualifications Required Qualifications: Bachelor's degree with 1 year upper level secretarial experience OR high school graduation or equivalent with 5 years of increasingly responsible administrative, secretarial, and clerical experience. Excellent organizational skills and communication skills. Ability to prioritize workload for timely completion of important tasks. Ability to maintain confidential information. Ability to handle multiple tasks in a busy office with a professional demeanor. Ability to maintain filing, budgeting and mailing systems. Proficiency in spelling, grammar, and 50+ WPM typing skills. Excellent customer service skills. Ability to maintain confidentiality. Advanced knowledge of computer technology, including the ability to use specialized software packages for spreadsheets, graphics, word processing and database management.
