Purpose
Purpose:
Serve as a key member of the University Development team and provide necessary support to
the Assistant Vice President of University Development and other team members to help ensure
success in securing annual gifts for the University. Responsible for a variety of administrative
duties in a team-oriented department.
Essential Functions
Function 1:
Responsible for managing all administrative functions for the University Development team,
including correspondence, files, e-mail, voice mail, travel arrangements, calendar management,
and ordering office supplies and equipment.
25 % Time
Function 2:
Prepares pledge reminders, acknowledgement letters, thank you letters and payroll deduction
letters.
20 % Time
Function 3:
Processes bi-weekly payroll for Dial-A-Mav and office student workers. Processes appointment
documents for Dial-A-Mav student workers. Manages confidential information.
15 % Time
Function 4:
Responds to inquiries by phone, in person, or by mail. Assists with preparation of solicitation
materials and mailings.

Function 5:
Schedules internal and external meetings and prospect appointments. Prepares correspondence
and briefing materials for donors and prospects.
15 % Time
Function 6:
Prepares documents regarding expenditures. Coordinates travel arrangements and prepares
vouchers for payment and reimbursement.

Qualifications
Required Qualifications:
Bachelor's degree with one (1) year upper level secretarial experience OR high school graduation
or equivalent with five (5) years of increasingly responsible administrative, secretarial, and
clerical experience. Excellent organizational and communication skills. Ability to prioritize
workload for timely completion of important tasks. Ability to maintain confidential information.

Preferred Qualifications:
One (1) year experience in a development fundraising, university, or non-profit environment.
Familiarity with Raiser's Edge software program. Proficiency with Microsoft Word, Excel and
other common office systems. Ability to handle multiple tasks in a busy office in a professional
demeanor. Ability to maintain filing, budgeting and mailing systems. Proficiency in spelling,
grammar. Excellent customer service skills. Ability to maintain confidentiality. Advanced
knowledge of computer technology, including the ability to use specialized software packages
for spreadsheets, graphics, word processing and database management. Outstanding time
management skills are essential.
