DW MINUTES FROM 4/21/10
I Call To Order
Mae Sakamoto called the meeting to order at 11:00am on April 21, 2010.

DW Implementation schedule discussion
As there had not been any discussion regarding implementation timeframes prior to this meeting the group discussed what the expectations
were. Janice expressed that she would like to see the delivered reports
from Phytorion rolled out to the Deans/Dept Head by first week in August
with training being conducted during this time. The group also proposed
having the Core team training done during weeks of 5/31 and 7/5 with
business analysts training on week of 7/12. Mae would contact Phytorion
to work out schedule time frames with them and get back to this group.
There was some concern expressed with the tight schedule and other
projects concurrently occurring but the agreement was that the rollout
would be the delivered canned reports and not necessarily the capability
to create ad-hoc reports by Deans. There were also concerns regarding
the level of support and training which may be needed in rolling the
canned reports at the beginning of the Fall term. It was also not expected
that the Business Analysts would necessarily be able to generate
requested reports out of the warehouse by this time as there is a large
learning curve in understanding the data.
Phytorion’s original schedule was to be completed at LBCC by end of
May. Due to resource constraints on LBCC side, delays have pushed out
the schedule to roughly August. In order to not delay further, this
schedule is being pushed to allow Phytorion to wrap up LBCC project in a
timely manner.
Testing of 9.0 with data warehouse still needs to be conducted. Phytorion
would be providing their estimate of differences and what it would take to
make the corrections. It is expected that we will be taking the data
warehouse down when the PS 9.0 upgrade is occurring. Notifications will
be sent out accordingly.
Janice expected to complete current validation efforts by early June. She
has been meeting with various business analysts to review data. She also
indicated that she had started to run a few delivered reports and packages
as she is somewhat familiar with the Cognos tools.
As all business analysts have busy schedules already, it was mentioned
that we need to consider their overall schedules in this schedule planning.
Brent also has planned another rollout for EP data come early June which
hopefully will go smoother than the last run. The last run was significantly
negatively impacted due to incorrect advice from consultants regarding
system configuration. IITS teamed with IBM for 2 weeks to get this issue
hopefully resolved so we’ll see in the next cycle. We rely on Brent to
provide the validation of the process.

Mae adjourned the meeting at approximately 1:00 pm. The next meeting will be
scheduled after Phytorion’s response is received regarding scheduling.
