DW MINUTES FROM 11/04/10 I Call To Order Mae Sakamoto called the meeting to order at 11:05 am on Nov 4, 2010. II Attendance Present: Brent Gilmore, Meena Singhal, Eva Bagg, Andy Dorfman, Komal Bandyopadhyay, Janice Miller, Jay Field and Mae Sakamoto III Minutes 1. Items remaining with Phytorion Brent- enrollment numbers, hourly rates issue- hope to have resolved by early next week at latest. Janice- verified email address changes and had nothing further Komal- expressed lack of documentation (i.e. data dictionary) for pre-phase I. For example, the Job dimension did not seem to be there. Janice would check her old files to see if perhaps it is embedded somewhere else. Going forward the core team may need to develop materials for others which will help use the data warehouse more effectively. Andy- mentioned cube build issue which has now been resolved. Most cube builds are currently manually done on 1st and 3rd Tuesdays monthly and on demand for others. Cognos 10 is also out which would eliminate the need to manually publish cubes but we are a bit away from that upgrade at this time. 2. It is expected that as of 11/11/2010 we will be letting Phytorion go. After that, any issues should be reported through Mae and she will notify and follow-up with Phytorion. Phytorion is expected to fix critical broken issues but additional changes to delivered functionality will not be addressed. Currently, we do not have a second contract scoped or planned as we want time to stabilize and use the newly enhanced system. 3. Currently, we have the pre-phase I data warehouse and the phase I data warehouse (production) systems running. They both get the feed of information from the PS 8.9 database. Come December 17th we will be permanently disabling the pre-phase I data warehouse feeds and also temporarily stopping the phase I data warehouse so we can now point the feed to PS 9.0 database. We expect the data warehouse system to be unavailable until Dec 23rd when the business analysts can come in and test the PS system along with the data warehouse (hopefully). 4. Eva and Janice indicated that in worse circumstances, 320 information could be retrieved from PS should something go wrong with the upgrade and feeds to datawarehouse. 5. Brent and Meena indicated that they would like to roll out canned reports using the data warehouse to the Deans around mid January for enrollment mgmt planning purposes. This will need to be tested early January with 9.0. It was recommended that core team continue to bring aboard business analysts and let them learn and use the data warehouse before rolling out to more masses. We need a bit more time to not only validate that all the data in the data warehouse is accurate but also utilize the new production system more as we have seen some slowness in its use in the past few weeks. We have not been able to determine whether this was due to development changes occurring at the same time that core team was using/testing so we need more use of the system going forward. IV.
