Deans’ Meeting Agenda November 19, 2013 2:00 - 3:30 pm Deputy 301A UPDATES 1. 2. MAP – updated, on website Program Assessment – Patrick – comments have been received from July submission for academy process NEW ITEMS 1. Grievance update Patrick Two current grievances, summer course size caps and summer chair duties. Would like to discuss consistent course enrollment sizes across colleges and suggested using the same enrollment caps for summer courses as during the academic year. Will follow language of the contract and make determinations based on the situation as needed to provide needed flexibility. Need to clarify past practice for chair duties and also need consistency between depts. 2. Testing Center CARRY OVER Bob / Lynn / Colleen Move PearsonVUE testing center to NTC? Also need for more secure testing center at BSU for online exams. Could be cost savings by moving the position to NTC because there is already staff load to cover this. Not sure if physical space at NTC meets Pearson requirements. Could NTC staff be assigned to work part time at BSU in testing space? 3. College/University Teams for Regional Pathways to Postsecondary Summits CARRYOVER Bob Griggs December 11, Central Lakes College. 4. Potential new practice (simpler!) for hiring a guest lecturer/presenter CARRYOVER Patrick Patrick shared simpler form that can be used instead of the formal Guest Lecturer/Presenter agreement. Form will be on Business Services website. 5. Draft bottom dollar budget for next year ATTACHMENT 1 Patrick Reviewed document, for planning purposes. The budget has been reduced by $100,000, which was used for new faculty hires. Will schedule a meeting/retreat shortly after semester break to review past processes for division of budgets and review alternative formulas for determining this budget in the future i.e. headcount/ration FYE. 6. Student Preparedness proposal ATTACHMENT 2 Martin Shared President Hanson’s document; asked for feedback. 7. Sabbaticals Martin Martin requested a heads up of possible sabbaticals for next year. 8. SEMP Committee - a dean Martin Shawn was nominated and approved. 9. Donor development funds revisited Martin Review of plans for deans to attend professional development opportunities this year. Foundation funds will cover two; can colleges cover cost of others? 10. Student Advisory groups Martin Student groups for college monthly meetings, as a way to stay in touch with what is happening at the student level. Could ask dept chairs to recommend students. 11. Posters at St. Paul & Hosting the Statewide Scholarship Conference near year Patrick State Universities are trying to gather students in St. Paul in February to help educate legislators about great things that happen at state universities. Asked Deans to request student nominations from dept chairs. Troy Gilbertson is coordinating. Patrick will forward information to share with chairs. Statewide scholarship conference – possibility of BSU hosting next year? Could combine our University scholarship conference with statewide conference. Could host at Sanford Center; Memorial Hall will be unavailable. Would need to cover costs. 12. Request to participate in Search Committee - Biology, etc. Jeanine Hold until next meeting. 13. Administrator evaluations Jeanine Proposed process that would gain feedback from faculty in December about what they are looking for from leadership. In the spring, would do evaluation, followed by focus groups the following spring (three year cycle). Can help gain perspective of what faculty are looking for and to tie MAP. 14. Other Discussion of approval process for computer purchases.
