Our next Meeting IT Updates: Brenda Frieden Brenda presented the members with the Pitt State LMS survey results for vendor demonstrations – The task force looked at every LMS Product out there. Narrowed it down to 6: Blackboard, Edvance 360, canvas, desire to learn, middle rooms, and Jewel. Testers were composed of Faculty, Students, and Staff. Results were tabulated using the rubric rating system. Only two vendors were invited to campus for demonstrations (canvas and Edvance 360). LMS task force sent out 2 surveys to everyone that attended one or both of the demonstrations. The results are now available. 110 started the survey and 103 people completed the survey. Canvas really outshined Edvance 360 in all categories. Results will be sent to Angela for anyone that wants to review it. They hope to have it purchased and ready to go by the end of December, Integration would be through January and February and the Training would be in the spring of 2012. They will be looking for Beta testers in the spring and then Implementation will hopefully be Campus wide in June. ECAR Study – Educause Center for Applied Research – Angela went over the 2011 ECAR study with ITC Members. Will email to everyone for review next week. Disaster Recovery Planning – Angela discussed the results from the groups that were broken down. A task force was put together and they are working on completing a disaster recovery plan to implement at PSU. Tim and Angela will be presenting at EDUCAUSE in February. Email Task Force – (Should be called Groupware Task Force). The group will consist of about 18 people. Angela will be inviting people around campus to be a part of this group. Going through same type of process as Brenda did with LMS. PCI Compliance Task Force - (Payment Card Industry) everywhere that we swipe debit and credit cards will be looked at. PSU needs to be compliant and a task force has been put together. Shari Brogan and Angela are leading it. Group was put together with different people on campus. The task force is currently in the process of educating themselves in PCI. Goal is to perform an assessment of the campus and see where the holes are. An outside consultant will be called in to provide input as to where these holes are and how to fix them. Where are we not being compliant and what will raise red flags, etc. Security Awareness Training – last spring there was an online training program through Angel for testing knowledge on security awareness. Getting ready to release it to all Faculty and Staff. Angela breaks ITC members into teams to discuss: A. Employee Email Accounts 1. What are we going to do? Are we going to require that everyone has a pittstate.edu email address? B. Collecting parent emails C. Google Docs for Faculty and Staff Group 1 – parent emails A. Make sure newsletters are concise and short B. If the parent email field is completed we will consider that an “opt-in” – There will be a mechanism in place for parents to “opt-out” C. Who decides what is included in the sophomore newsletter? D. What happens to parent emails once the student graduates? Will the controls still remain (3 offices only?) Group 2 – employee email accounts – Should the University require that PSU employees use only official @pittstate.edu email accounts? A. Yes – Health insurance access, No – may not use but certain times a year, have no access, & Yes for “business” B. All faculty/employees should have pittstate.edu & use for official business. C. Go back to each dept/division/group to evaluate needs D. If required we must provide access E. Method for combining email accounts – forwarding-educate F. Reasonable guidelines to allow for access G. Policy – allow time for each employee (classified, etc.) to check email during work hours. Group 3 – Google Docs – Pro’s and Con’s Pros – Available from any location/device as long as internet access Collaboration tool Student already have via a gusmail account Cons – Security risk Service interruptions Formatting limitations & issues Not available if no internet access Recommendation from ITC – Good options. Not replacement to current package. Need to educate users & provide training so users don’t post any information that would be a security risk or confidential data.
