Angela met with Dr. Scott regarding 2 year rotations, he approved. Asks members to think about this and email her with their thoughts/feelings/availability for the next meeting. Campus IT Updates – A. Learning management system - Brenda Frieden 1. Winding down with their search for an LMS System. A task force was developed with faculty, staff, & students. Met regularly from April through July. 6 LMS options have been narrowed down to 2: Canvas and Advance 360. 2. October 14th – Task Force meets to make recommendations. It will then go on to Provost Leadership Council and then onto President’s Council. B. Library System – Dr. Bunnell 1. Looking at the RFP process. 250k to replace the system. Siting at state level waiting to be processed. Vendors can then submit proposals. 2. February - May 2012 for contract signing, hoping to roll out (go live) around May 2013. C. Financial Management System (ERP) – Angela 1. John Patterson put together a task force to look at FMS systems. In the very beginning stages with this task force. John and Barbara Winter are heading it up. People Soft seems to peak their interest the most at this time, but still looking at different products to see what fits Pittstate. He wants to wait until the after the HLC Accreditation for implementation. D. Sci Quest Implementation – Angela & Jeff Burns Friday, September 30th E. F. G. H. I. J. 1. This is the product that Purchasing bought for doing E-Procurement. It has been established as Gorilla Marketplace. Jim Hughes is looking to have travel reimbursements, purchases, campus billing & reporting process all in one place. 2. It is currently on schedule with the implementation timeline. They have just finished up focus group 2, starting to move into the validation phase. Live data is going to start rolling into the system around Thanksgiving, possibly start training sometime after Christmas break. PCI Compliance Task Force – SAN system – Tim Pearson 1. Replicated data is now being sent every 15 minutes over to Dr. Bunnell’s basement as a backup in the case of a catastrophic event. Accidental deletion of files/data can now be recovered. 2. 60 days of data can be stored on sight versus 30 days at the bank. 3. Next step is to get some redundant computing power 4. We now have 1.5 Terabytes of back up space swapped with Ft. Hayes State University. IT Training Facilitator Position – Angela 1. Looking for a new IT Training Facilitator to implement/facilitate training on new systems, etc. Working on the hiring process. Should be posted in the next two weeks. Social Media Task Force Guidelines – 1. Met last spring with a set of guidelines. Will then meet with ITC and then go on to President’s Council. Dealings with use of logos, student organizations, policies, etc. Social Media issues. Meets in October to discuss these guidelines and then share with ITC in November. Sustainability: Paperless Meetings 1. Encouraging people to use less paper in meetings and move more towards the use of electronics. October is Cyber Security Month – 1. Webinar on October 4th 2. Event in the oval - October 12th Stations: Requesting Feedback Jeff B. Project Management – Station 1 Tim – Disaster Recovery – Station 2 Jeff Schooley – Gorilla Geeks Services and Parature Help Desk System – Station 3 Angela Neria – University IT Web Page, IT Tools for those “on the go”, Groupware Email Solution – Station 4 Members were broken up into four groups and rotated through each station giving feedback. Monthly Meetings – discussion for scheduling the next meeting. October 20th is Fall Break for Faculty & students. Mentioned October 27th as a possible meeting date. Friday, September 30th Some things to consider for next time – Parent Email Collection – Parents can opt into continuing receiving emails, but on a monthly basis. Google Doc’s (Cloud) – Kansas is taking a different look at Google Doc’s servers. Google said they will not put a server in any country without an agreement.
