ITC Meeting Minutes 11.19.2015 In Attendance: Angela Neria, David Nance in for Randy Roberts, Barbara Herbert, Liz Mascher, Tracey Mussa, Erin Sullivan, Dan Workman, Joe Ensch, Bruce Dallman, Sara Peak, Hilary Unruh Angel started the meeting – Oracle Cloud is moving right along. PSU is meeting the deadlines outlined in the plan. It has been a good process so far. Oracle will be back on campus for two weeks after Thanksgiving. Angela and Barbara Herbert are working with Michele Sexton (HR and budget) and Barbara Winter (financial) to have a touring “roadshow” beginning the spring semester to meet with small groups in regards to how Oracle will impact campus processes. Barbara Herbert stated we haven’t logged into the Oracle system yet, it is being configured right now. After Thanksgiving we will have the opportunity to log in and start testing configuration. Agenda: 1. Campus IT Surveys released this week – It is important to take this survey and to promote the survey to students to complete. 2. State of Kansas IT Efficiency Study – The state of Kansas is paying consultants Alvarez & Marsal to conduct an efficiency study of the state’s budget and how IT fits into the budget. It is a $3 million dollar study. 3. SWOT analysis. Angela covered the following: Reminder: Our goal this year is to develop a new campus-wide strategic IT Plan based on the university’s new strategic plan. The new Mission Statement – The mission of Pittsburg State University is to provide transformational experiences for its students and the community. The new University Goals – 1. 2. 3. 4. Academic Excellence Student Success Partnerships Responsive and Innovative Campus Culture Angela outlined what a SWOT analysis is and how to perform a full SWOT analysis: What is a SWOT Analysis? Strengths (positive, internal, and now) Weakness (negative, internal, and now) Opportunities (positive, external, and future) Threats (negative, external, and future) Evaluation of a situation and identifying an action plan to improve it. Allows us to focus on what is possible vs. impossible. Group(s) analyze a chosen topic. A grid is used by group(s) to brainstorm strengths, weaknesses, opportunities, and threats Consensus is reached after group work to determine the best path. Angela gave the entire group five minutes to write down their ideas for campus strengths, weakness, opportunities and threats. She then split them up into four groups. The groups were responsible for Brainstorm the Strengths, Weaknesses, Opportunities, and Threats in regard to campus Information Technology. Angela asked them to: o Please consider all IT support groups that you have learned about. o Please consider the 4 goals that make up the University Strategic Plan. o Please share openly in order for us to examine our campus IT SWOTs effectively. Each group wrote down one thought per post it note and stick it under the chosen topic. After 10-12 minutes each group rotated to another topic until each group completed all 4 SWOT stations. Angela shared that ITC’s Next Steps would focus on the following: -Creating actions based on our SWOT -We will look closely at our SWOT and begin prioritizing areas of concern. -We will then create goals, objectives and actions based on those priorities. Angela shared that she will email forms to the ITC members that couldn’t make it today and ask them to share through a SWOT analysis template. Based on responses she is expecting six or less goals. Action plans will come from these goals. There will be a similar type of activity to narrow down what action plans are most important. The next ITC meeting is January 21st @ 2:00pm in Kelce Room 121.
