ENROLLMENT SERVICES DIVISION COUNCIL MEETING DATE: APRIL 15, 2011 CHAIRPERSON: Arvid Spor MEMBERS PRESENT: Kristi Adams, Michelle Arthur, Theresa Clifford, Liz Fernandez, Lorena Garcia, Patrick Imamura, Linda Lew, Julieta Ortiz RECORDER: Lucy Nelson The meeting began at 9:00 a.m. Michelle Arthur was introduced as Director, Enrollment Services Division who will be assisting A. Spor with Planning, Program Review and Student Learning Outcomes for both Torrance and Compton campuses. The Enrollment Services managers will continue to report to Dean Spor. L. Lew will ask ASO President Jessica Lopez to appoint a replacement for Enrollment Services Division Council rep Chloe Smith. Review March 18, 2011 Minutes 1. The minutes were approved with no corrections/changes. Budget Forum 1. Office staff concerned about furloughs. Furloughs (estimated savings of $292,000 per day) must be negotiated with the unions and would affect all staff, faculty and managers. Cabinet discussed the number of possible furlough days to be 1 to 3 days, maybe taken before Christmas break. If parties decline to negotiate, furloughs go to an impasse – management has right to implement which may led to lawsuits or mediation/arbitration. ECCE is negotiating for two extra paid Fridays off in the summer. Some programs volunteered to give up time to save jobs – volunteer furlough days could be an option. 2. Another likely scenario to cut budget would be to cut back or eliminate winter session. Managers are fighting to keep winter session and recommended a 50% reduction of winter session classes or elimination of evening and weekend courses. Academic offices could close when no classes are scheduled with full-time classified staff reassigned to other areas. At the budget forum, President Fallo mentioned having a winter session with no classes. How? Schedule spring semester classes earlier in the year - another way to reduce costs and the number of possible furlough days. 3. Printed schedules will not be completely eliminated. Printed schedules will be sent to libraries and local high schools. Selling schedules being considered. Updates/Open Forum 1. Carolee Vakil Jessop is scheduled to attend the May 10th SCA Area Council meeting. K. Adams volunteered to be the regular area council representative starting in June. 2. Students are having problems with online orientation. Students are locked out after completing question #8. A. Spor will mention this problem to Regina Smith who is in charge of Matriculation. 3. A. Spor will speak to managers about allowing staff to attend workshops scheduled during Classified Professional Development Week. 4. A. Spor will speak with Tyler Robbins about the order to install blinds in the Financial Aid lab. 5. The work order to remove the kiosks around the Information Desk was closed. Recommendation was made to remove them to provide room for flyers and information. Kiosks don’t print. Students cannot view their schedules on some kiosks with outdated software. A. Spor was waiting for list tracking kiosk usage and problems to justify removing kiosks to ITS. 6. The air conditioning and heating in the Student Development office is being repaired. Air conditioning fluctuates in the Financial Aid offices - two are cold, the middle office is warm. 7. Years back, a million dollars spent on plans for a new Student Services Center/Activities Center. Cabinet cancelled plans when costs continued to rise and certain departments continued to request changes. A new Student Services Center/Activities Center is back in the plans due to decreasing building costs and possibility of bond extension. New Student Services Center will be built where shops are located on Manhattan Beach Blvd. A five-story parking structure will replace the Technical Arts building. Communications building would be eliminated – currently used for swing space. Campus construction plans are posted on the web. Will send the website link to the committee members. 8. Invitation to join Hands Across California event supporting community colleges. Registration begins 1:00 pm in front of the Humanities building and hand holding begins at 2:00 pm. Students can sign up to win a free semester. 9. May 12th is deadline to submit completed financial aid paperwork for 2011 spring/fall or spring only, loan applications, appeals, educational plans and consortium agreements. Accepting paperwork for 2011-12. Students in line are those coming in early to turn in their paperwork. Students are printing forms from the website and coming in prepared. Great improvement in the process. Financial Aid electronic sign is fixed after not working since last October. 10. Title V Graduation Initiative program held a competition for art students to design posters promoting the graduation initiative emphasizing associate degrees and degree audits. Members were asked to consider putting up posters in their areas. Posters come in various sizes – 24x36, 8½x11 for Outreach and recruiting, and 17x22 mounted on foam core or other durable material. Suggestion was made to post the poster on the Student Services Center lobby plasmas. 11. ITS purchased Datatel early alert system – automated system triggering alert sent to students struggling academically and services that will help them. The current process is done manually. 12. Students can now check how close they are to graduating through a Degree Audit system, linked to Academic Planning and Program Evaluation in MyECC (doesn’t consider classes taken at other institutions). Students will need to verify with counseling they are meeting requirements for their degree. Hoping to start website for the graduation initiative grant project. 13. Friday, April 22nd – Club Spring Games on Library Lawn, 12:00pm-2:00pm. 14. The Foundation Board approved funding for the vinyl stripes signage for the 2nd floor of the Student Services Center. A. Spor asked the vendor for samples of colors and fonts. 15. $25,000 from the Foundation will be used to pay for 20-25 Outreach student ambassadors in 2011-12. Ambassadors are dedicated students constantly looking for events to work and high schools to visit. Ambassadors conduct campus tours, help Financial Aid and Counseling, participate in Job Shadow Day and high school outreach, staff the Information Desk, etc. Student ambassador Edgar Lopez was commended for his work representing El Camino College at the Torrance/South Bay Career Fair. 2 The meeting was adjourned at 9:55 a.m. 3
