People assessed as competent in this unit standard are able to identify relevant material for reports, manuals, or documents; write technical reports, manuals, and reports to the selected, required, or best formats; verify accuracy; and maintain documents. Elements and performance criteria Element 1 Research and select information for documents. Performance criteria 1.1 Selected information is identified from existing resources to meet the document objectives within agreed timeframes. Range 1.2 Where available information is inadequate, additional information is obtained through research. Range 1.3 existing resources – readily available information and data, internal, external, libraries, consultant reports, surveys, media files, publications, Government Department statistics, manufacturer and supplier specifications, computerised data, manual records; document objectives – objectives agreed with the intended reader to meet their expectations. all types of data (including technical, financial, statistical, management, survey, research) relating to job holder's sphere of responsibility, specifications, plans, drawings, charts, diagrams which support logical reasoned arguments and document objectives. Assessed information is current, valid, and reliable. Confidentiality is maintained. Element 2 Design and write documents. Performance criteria 2.1 Documents include title and date, and identify writer and intended readers. Range reader by individual name, reader groups eg customers, management, product and service users, trainers, trainees, suppliers, media, etc. 2.2 Required copyright and confidentiality notices are displayed on each page and are consistent. 2.3 Document pages are numbered or otherwise referenced so they are immediately identified and traceable to their right order in the document. 2.4 Accurate contents and index sections are provided as required, and guide the reader quickly to the desired subject. 2.5 The content of the document is comprehensive, accurate, reliable, and presented in a clear, logical order. 2.6 The selected format, style, and length of the document suits its purpose and meets identified readers' needs. Range format – as is suited to the document purpose, layout eg chapter headings, numbered paragraphs, numbered lines, legal format. 2.7 Conclusions drawn from relevant information are based on reasoned argument and supporting evidence. 2.8 Text is supported by visual charts and diagrams as required to aid understanding. 2.9 Sources are acknowledged. Element 3 Provide and maintain documents. Performance criteria 3.1 Documents are produced and distributed to the agreed readers and within agreed timeframe. New Zealand Qualifications Authority 2016 4969 version 4 Page 4 of 4 3.2 Confidentiality, including access by authorised users, is maintained. 3.3 File copies, and reference copies as required, are easily located and available and maintained in good condition. 3.4 Each page of updatable documents is identified with author, date of last amendment, and order identifier. Range 3.5 order identifier – page reference identifies preceding and following page, or other sequence indicator. Distribution list of all holders of updatable documents is accurate and complete. Range updatable documents – documents which require updating from time to time, eg training manuals, user manuals, procedures and regulations; any document in which new pages are periodically provided to replace existing pages or to expand the document. 3.6 Recorded movement of documents is accurate and complete. 3.7 Maintenance system ensures distributed documents are complete and current. Range communications, distribution networks, training programmes for document users in maintaining documents, quality assurance checks, access and retention of documents, handling of referenced and non-referenced documents. Please note Providers must be accredited by NZQA, or an inter-institutional body with delegated authority for quality assurance, before they can report credits from assessment against unit standards or deliver courses of study leading to that assessment. Industry Training Organisations must be accredited by NZQA before they can register credits from assessment against unit standards. Accredited providers and Industry Training Organisations assessing against unit standards must engage with the moderation system that applies to those standards. Accreditation requirements and an outline of the moderation system that applies to this standard are outlined in the Accreditation and Moderation Action Plan (AMAP). The AMAP also includes useful information about special requirements for organisations wishing to develop education and training programmes, such as minimum qualifications for tutors and assessors, and special resource requirements.
