Records may include: stock inventories, maintenance records for plant and equipment, expenditure records, and personnel records including personnel certification. Documents include: requisitions for the replacement of equipment and plant, requisitions for acquisition of consumables to maintain operational effectiveness, maintenance records, departmental expenditure records, statutory documentation, reports on the condition of plant and equipment, and departmental budget plans. Records and documentation may be in the form of computer database, or written using standard reporting forms. Range: record and documentation security may be achieved through – locked filing cabinets, safe with access limited to selected authorised officers, computer database with access via personal password. Range: 2.2 Advice is provided to the correct personnel when problems are identified. Range: 2.3 analysis of records may include – the need for replacement of plant or equipment, wastage of resources and consumables, misuse of resources or consumables. correct personnel would include – ship's master; officer supplying the documentation or records. Personnel responsible for documentation are provided with feedback on any deficiencies in its compilation and management. element 3 Maintain records. performance criteria 3.1 Records are maintained in a manner which complies with statutory and organisational requirements. 3.2 Records are maintained in a style which facilitates access to information.
