People credited with this unit standard are able to maintain,
monitor and evaluate records; check documentation; and
update records and documentation. Included in this unit
standard are all record types (eg maintenance, personnel,
consumable) and both computer and written storage types.

accreditation option:
Evaluation of documentation and visit by NZQA and industry.
moderation option:
A centrally established and directed moderation system has
been established by Competenz.
special notes:
Records include: condition of plant and machinery, physical
resource consumption rates and current levels held in stock,
spare parts and current levels held in stock, individual
personnel pay records, departmental expenditure needs,
departmental budget, and requisitions for replacement of
consumable and spare parts.
Records may include: stock inventories, maintenance
records for plant and equipment, expenditure records, and
personnel records including personnel certification.
Documents include: requisitions for the replacement of
equipment and plant, requisitions for acquisition of
consumables to maintain operational effectiveness,
maintenance records, departmental expenditure records,
statutory documentation, reports on the condition of plant
and equipment, and departmental budget plans.
Records and documentation may be in the form of computer
database, or written using standard reporting forms.

1.1
Documentation and records are checked to ensure their compliance with
statutory and organisational requirements.
1.2
Documentation and records are checked routinely and personnel responsible
for documentation preparation are advised of deadlines.
1.3
Systems for maintenance of records and documents are utilised which comply
with statutory and organisational guidelines.
1.4
Documentation is evaluated to ensure compliance with organisational
requirements.
1.5
Identified deficiencies with records or documents are communicated to the
officer(s) responsible for their compilation for rectification.
1.6
Security of records and documentation is maintained with access being granted
to personnel authorised to view and use the information.

locked filing cabinets, safe with access limited to selected
authorised officers, computer database with access via personal
password.

2.1
Records are analysed to identify unexpected deviations from plans or possible
future problems with plant and equipment.

Advice is provided to the correct personnel when problems are identified.

misuse of resources or consumables.

Please Note
Providers must be accredited by the Qualifications Authority or a delegated interinstitutional body before they can register credits from assessment against unit standards
or deliver courses of study leading to that assessment.
Industry Training Organisations must be accredited by the Qualifications Authority before
they can register credits from assessment against unit standards.
Accredited providers and Industry Training Organisations assessing against unit standards
must engage with the moderation system that applies to those standards.
