Summary Statement: State the major function(s) of the position and its role in the university. Foundation, is responsible for the financial management and oversight of nearly 2,600 funds for the Foundation, including over 500 endowment funds totaling approximately $109 million with new gifts invested quarterly. The Assistant Controller is responsible for establishing new gift accounts and budgets in accordance with donor restrictions and for monitoring proper spending. 2. List the major responsibilities, including percentage of time devoted to each. Provide enough detail to enable a person outside the department to understand the job (percentage first with heading and then bulleted information from greatest to least percentage). 50% - Financial Accounting, Compliance, and Reporting Responsible for providing documentation to external auditors for year end and interim audit work, scheduling work assignments for account reconciliations and preparation of workpapers for the annual audit. Responsible for cash and investment management, cash flow projections and budgeting on a daily, monthly, quarterly and annual basis. Responsible for providing gift information reports to development directors and deans of colleges on a monthly, quarterly and annual basis. Responsible for updating and maintaining endowment spending calculations for over 500 endowment funds. Responsible for the monthly transfer of funds from the Foundation to the University in conformity with state and university policies and procedures. Responsible for establishing hosting account authority by reviewing the donor documentation to substantiate hosting approval. Responsible for tax return preparation. 15% Fiscal administration Responsible for all areas of gift receipting including establishing new gift accounts and budgets in accordance with donor restrictions, review of gift posting, generation of receipts in accordance with IRS gift substantiation rules, and serves as a primary contact to university staff to establish new accounts Oversight of records maintenance and retention in compliance with Foundation and University policy and procedures. Represents the Foundation in providing guidance and training to fiscal/clerical staff throughout the university concerning Foundation procedures such as monthly account balancing, preparing journal vouchers and other administrative documents. 35% - Staff supervision Directly supervises one Accounting Technician II, one Accounting Assistant III, one Administrative Assistant III, one Administrative Assistant II and a student worker. Oversight of the daily operations including daily cash reconciliations, maintenance of internal controls for incoming cash and checks, accurate coding of all gifts in accordance with donor restrictions, and timely and accurate depositing standards. The Assistant Controller is the primary contact for information on accounts held and maintained by the Foundation. Consequently, independent judgment is exercised in both fiscal and personnel areas on a regular basis. Timely and accurate information provided to donors, Trustees, campus personnel and the general public is essential in maintaining a high level of confidence in the Foundation in order to obtain future gifts. The Assistant Controller conducts the day-to-day financial operations for the Foundation and supervises staff using proper accounting and personnel procedures in order to keep the entire Foundation finance office operating effectively and efficiently. Proper decisions regarding accounting procedures directly affect the Foundation’s ability to raise funds within the community. The accountability of the Foundation affects the image and reputation of the University as a whole. 4.
