POSITION DESCRIPTION TITLE: FLSA STATUS: Special Events Coordinator Exempt CATEGORY: GRADE: Professional Support C JOB SUMMARY: Responsible for developing and maintaining guest lists, identifying opportunities for special media events, and a master calendar of events for the District on the internal & external college web sites. ESSENTIAL FUNCTIONS: 1. Maintain the master calendar for the College district on the internal and external college web site reflecting all activities, events, special occasions, special and distinguished visitors to the College, official College sponsored activities, auditing and accrediting visits, specialized training functions, media events and any other activities relating to the District. YEARLY PERCENT OF TIME 15% 2. Maintain current and appropriate lists of community organizations, guests, advisory committees and special interest groups or individuals. Periodically review lists with the AVP Marketing & External Affairs and appropriate staff members to ensure accuracy and applicability. 15% 3. Monitor the organizational development and awareness of the College District’s history in order to anticipate opportunities for special event consideration. 10% 4. Coordinate with the College administrative staff to be aware of key dates and milestone events in programs, projects, and developmental activities as a basis for recommending potential special events. 10% 5. Recommending events for consideration of special recognition and ensuring appropriate protocol procedures are followed during special events. 10% 6. Developing and maintaining, in conjunction with Public Relations and Marketing, active liaison with local media sources, and developing potential local corporate sponsorship in support of approved special events. 10% 7. Develop appropriate guest list, establish time lines for event preparation, coordinating printing, mail and track of invitations, coordinate supporting activities, and finalizing post-event follow-up. 10% 8. Assist with coordination of activities and events in the community. 10. Coordinate community activities with College staff & provide input on promotional activities. 5% 5% REPORTING RELATIONSHIP: Director Marketing & Community Relations SUPERVISORY RESPONSIBILITIES: First level supervisor to assigned staff. BUDGET RESPONSIBILITIES: None ESSENTIAL QUALIFICATIONS: EDUCATION: Bachelor’s degree EXPERIENCE: Three (3) years experience. CERTIFICATIONS/LICENSURES: None SPECIAL SKILLS AND ABILITIES: 1. Skills/Abilities: Good organizational skills, ability to handle multiple tasks simultaneously and excellent written and oral communications skills. 2. Equipment Used: Personal Computer, fax, telephone, copier, and other equipment associated with an office environment. 3. Software Used: A variety of word-processing, spreadsheet, database, e-mail, and presentation software. PHYSICAL REQUIREMENTS: Duties require little physical effort in work with light (up to 10lbs), easy to handle materials. Duties performed causes light fatigue of eyes, fingers, or other faculties due to long periods of standing, sitting, and/or repetitive motion. INTERPERSONAL SKILLS: Alternative or combined skills in understanding, counseling, and/or influencing people are important in achieving job objectives, causing action, understanding others, or changing behavior; and, skills of persuasiveness or assertiveness, as well as sensitivity to the point of view of others. WORKING CONDITIONS: Job is performed in general office or comparable working area with occasional distractions such as noise, interruptions, or congested work areas with exposure to some disagreeable elements.
