2. Security
The Financial Services Division maintains the security profiles of authorized individuals who need
to access UniFi to perform their duties as an employee of the University.
Access is generally based on a tree structure that conforms to the reporting and budget hierarchy
of the University.
Deans, Department Heads and Directors define an individual’s role in those organizational units
thus determining the appropriate access for that employee.
Deans, Department Heads and Directors also identify which Funds and Orgs that an individual
employee will be able to query (view) and to report on.
For your convenience, a blank “UniFi Access Control Form” can be downloaded from
http://www.usask.ca/fsd/resources/forms/index.php, saved and filled out as required to request a
new user profile, to modify existing user profiles, or to remove a user profile.

Accessing the Self-Service UniFi Training data base
To Access the Self-Service Unifi training data base:
1. Open Internet Explorer.
2. Enter “beaker” in the url. (This is the url for the training data
base.)
3. Click on “Go” or hit “Enter.”
4. Enter a training account, one of “train26 … train50” in the “User
Name” field.
5. Enter the same information, one of “train26 … train50”, in
the“Password” field.
6. Click on “Login”
7. Click on the “Admin Services” tab.
8. In the “Financial Services Channel, click on “Self Service
UniFi”
9. When the “Security” question comes up, click on “Yes”. You will
now be in Self-Service UniFi.
10. Choose a menu item and then refer to the step by step
instructions and information in the UniFi Training and Reference
Manual.

Recognizing that data is a valuable resource to the institution, and that the value
can be diminished through misuse, employees need to understand their
responsibilities to conserve and enhance the value of the data resource.
**Specifically employees should be asked if they understand:

That while they have access to institutional data to perform their duties as an employee
of the University, they will not use the data for any purpose other than the University
processes for which it is intended.
That they will not knowingly create or change data to values they know to be incorrect
or delete data that should not be deleted, and will carry out any tasks related to data
creation, maintenance, distribution, and deletion in a timely and careful manner.
The need to maintain confidentiality in handling institutional data and information.
The importance of maintaining the security of institutional data, and following all
established procedures.
Their responsibility to understand the institutional data and information to which they
have access to guard against misinformed or incorrect interpretations of data or
misrepresentations of information.
