NWU GL Object Detail Report (PDF) (GLBI002)
Guidelines to complete the Input Controls box
Please note: Input Controls “cascade” from top to bottom. This means it starts with the most data and as you select
the necessary Input Controls further down in the list, the data becomes less with each Input Control chosen.
Therefore, for optimum results choose the Input Controls carefully and according to the information needed. For
example, the report will run faster if you select only the specific Account that you want to see instead of running it for
the entire Organisation.
If you do not know the Organisation number for a specific Account, for example, you may choose “ALL” in the
Organisation Input Control and onwards down the list until you get to the Account Input Control where you then only
choose the specific Account you need. You also could have started to narrow down the data when you completed the
Account Type or SOF, for example, by choosing the specific values. If for example you only want to run the report for
1A00003, you can choose Account Type “A” and Source of Funds 1. When you want to run the report for an entire
organisation however, you have to choose “ALL” in these fields.

Organisation: The Organisation represents your Organisation Unit (OU) code.

to search for your Organisation code.
Account Group: The Account Group is used to group certain Accounts within an Organisation into smaller
groups and can be compared to the Oracle Cost Centre. The Organisation code is displayed in brackets
before the Account Group code.

Select ALL or choose only certain Account Group(s)
In Figure 1 the Organisation has more than one Account Group: 00085, 00086, 00087 etc. This
organisation (8513) does not have a hierarchy (other organisations that link to it).
Please note: For organisations that do have a hierarchy, refer to the example in Figure 2 on page 3.

Organisations and Account Groups
When you choose an Organisation with a hierarchy, for example a Faculty with schools or sub-schools, all the
Account Groups for ALL the organisations that link to the faculty is displayed in the Account Group Input Control.
Therefor it is important to remember, if you only want to run the report for Organisation 15 (the Dean’s office), in
Figure 2, you have to choose only the Account Group(s) with “(15)” in front.
If you choose ALL in the Account Group Input Control, the report will run for the entire faculty.
It is important to choose only those Account Groups you need. If you do however need to run the report for the entire
faculty, you must choose “ALL” in the Account Group Input Control.
Please note, the report may run longer for an entire faculty!

Account Type: The Account Type is an attribute of an Account that classifies/categorize the accounts by
their nature and according to certain criteria. It form part of the account number – the sight value assist
users in identifying the different types of accounts. If you only want a report on a certain type of funds, you

may use the Account Type Input Control in order to do so.

For example: if you want a report only for IREA accounts you may choose Account Type “K” or
otherwise select ALL to include all the Account types associated with an Organisation.
Source of Funds: The Source of Funds indicates the origin of the income on a specific account for example
subsidy, external funds or foreign funds.

You may choose for example SOF 2, 3 and 5 if you only want to run the report for external funds, or
select ALL to include all the Source of Funds types listed.

Account: An account is used to identify a pool of funds assigned to a specific university organizational
entity for a specific purpose. The Accounts are listed as a result of values chosen in previous Input

Controls. The Source of Funds is indicated as the first number of the Account number.


You may choose just one Account, only certain Accounts or select ALL to include all the Accounts.
The Sub Account is a refinement of an Account.
Object Consolidation: Object Consolidation is groupings of certain object types, for example income,
expenses, assets etc.

In most instances you would have to choose ALL unless you specifically only want to see for example
Income object types in the report. You would then select “Income”.
Object: An Object Code classifies all financial activities based on accounting principles into detailed
categories of income, expense, asset, liability, and fund balances that are assigned to transactions.

certain object.

To view the report as a PDF file, choose “As PDF”
