Details: Library requested an archive/history for online form result collection Library asked about N#/personal identification protection. Resolution: Pending. Waiting on further discussion. Action Item: Discussion Questions What information is being collected? What level of security protection is needed? Notes CMS only submits form results via e-mail. If data must be collected and archived in another manner than e-mail, then an ITS request must be submitted to analyze and identify appropriate non-CMS alternatives. CMS Team can create a way for Library to keep history. Details: Library asked about controlled lists/controlled data. “Is there a thesaurus to hold definitions of controlled vocabulary? If not, are there plans to acquire open source ones?” Library asked about specifications of metadata and tagging. Action Item: Discussion Questions What are you trying to achieve? 9 Thomas G. Carpenter Library Content Management System 17. Structured Content: Database Vendor Lists Discussion Needed Notes “Thesaurus” and “open source” solutions are outside the scope of CMS. Marketing & Publications produces a writing style guide that identifies naming conventions and methods of formatting writing. Compliance with these standards is the closest we’ve come to controlled lists. Controlled vocabulary as identified in relation to smart forms is SPECIFIC to each smart form’s requirements. The vocabulary of data on a smart form is identified by the unit. Details: Extensive list of research databases. Current implementation uses JavaScript. Search widget. Action Item: Discussion Questions On May 21, Library was given action item of identifying… 1. what data they wish to collect 2. how they wish to display the data Library chose Option 1 Smart form. Required information attached. 18. Dynamic Content Resolved/ Discussion Needed Options Option 1: Smart form Candidate for use of smart form and list summary features in CMS. JavaScript features and search widget can be integrated into code. Option 2: Normal Web page Manually build and link each page, consistent with current approach. JavaScript features and search widget can be embedded manually via source code. Details: Library stated during April 28 meeting that they wish to deliver more “dynamic content”. Resolution: Leverage existing functionality (regions) in the CMS template. Action Item: Discussion Questions What is your expectation of dynamic content? What type of information and where? How often dynamically updated or changed? Notes CMS template is configured with multiple regions that can be used for the presentation of dynamic content, 10 Thomas G. Carpenter Library Content Management System especially if intended for announcements, news, spotlights, events, etc. 19. Newsletter Resolved/ Discussion Needed Details: Library currently builds e-mail newsletters and delivers via Internet Explorer (File>Send>Page by e-mail). Resolution: UNF e-communication tool is currently in development. Action Item: Discussion Until the e-communication tool is officially released for use, a temporary solution can be discussed and implemented. 20. e-Gift Confirmation HTML Resolved Details: http://www.unf.edu/library/info/developthanks.html Identification of an e-mail confirmation for online gifts. Online gifts go through Institutional Advancement’s Raiser’s Edge system, which can generate a confirmation e-mail. Action Item: Discussion Questions Is this page/HTML code active? Or, does the Raiser’s Edge system contain a copy of this code? Are graphics on Osprey being referenced for this e-mail? 11 Thomas G. Carpenter Library Content Management System Smart Form Design for Library Databases Priority 1 Structured Content: Database Vendor Lists Discussion Needed Details: Extensive list of research databases. Current implementation uses JavaScript. Search widget. Action Item: Discussion Questions On May 21, Library was given action item of identifying… 3. what data they wish to collect 4. how they wish to display the data Options Option 1: Smart form Candidate for use of smart form and list summary features in CMS. JavaScript features and search widget can be integrated into code. Option 2: Normal Web page Manually build and link each page, consistent with current approach. JavaScript features and search widget can be embedded manually via source code. After discussion with the CMS team, we wish to use Smart Forms for as many lists as we can. We believe this will eliminate the need for many pages that our webmaster now manages. We know we want them for our Databases. 1. No image at the top of the page. The horizontal menu from the main page will be used or possibly a left vertical menu. This depends on whether the horizontal menu on the main page can open – as requested on the main page design. 2. An area at the top of the page is reserved for log in instructions/links and for a table that lists subject areas. See this page. http://www.unf.edu/library/guides/bases.html 3. The title link takes the user straight to the database and does not open the description. 4. An information ball (or text) opens and closes the database description – different from the TLO awards action. Example of description text opening at onclick: http://www.unf.edu/tlo/awards/Round_1.aspx 5. A box at the top left will be for advertising databases or for listing which database set is active. Example is Current Students. http://www.unf.edu/current/ 6. See library’s current A to Z list for example of current layout. http://www.unf.edu/library/guides/basesalpha.html 7. See the education subject list to see how the descriptions appear on recommended databases. http://www.unf.edu/library/guides/baseseducation.html. Is there a way to force recommended databases to the top of the list? 12 Thomas G. Drop-Down Navigation New Details: Library requested the use of drop-down navigation on their homepage. Similar to Georgia State University. Resolution: This is a new feature; functionality does not currently exist in CMS. A request must go through IPC to approve implementation. Action Item: Library Submit request for new feature and justification to IPC. Action Item: Academic Affairs Project Manager: As IPC representative, coordinate request. Action Item: Internet Presence Committee: Review and decide on new feature request. If approved, task CMS team with the request. Action Item: CMS Team Develop solution for global implementation. Report back to IPC with demonstration. Release the feature. Drop-Down navigation is requested for the Library Main Page. We request this design enhancement to help us better navigate the large amount of information we have on our web site. We are requesting that onclick, the menu item expands to see submenus rather than taking you to a secondary page that would lead to the final result. Our justification is that we would like to keep navigation of the site as flat as possible. In other words we want the end user to reach the desired information in as few clicks as possible. This submenu would save end users 1 to 2 clicks in finding information. The library requests drop-down horizontal navigation similar to Georgia State University. This navigation facilitates access to the library’s many pages in a clean, attractive way. It conforms to the University’s style s and colors. 1. Blue horizontal menu under the active image in “menu hover” color – HEX 5587ba. Menu item text in white. 2. UNF secondary color strip under each menu item activated on mouseover and click. a. Carpenter Library Content Management System 16 Thomas G. Carpenter Library Content Management System Activate Bread Crumbs for the Library Site Formal Request Priority 3 14. Breadcrumbs New Details: Library asked whether breadcrumbs are available. If so, do they span the whole site or just the library site? Resolution: This is a new feature; functionality does not currently exist in CMS. A request must go through IPC to approve implementation. Action Item: Library Submit request for new feature and justification to IPC. Action Item: Academic Affairs Project Manager: As IPC representative, coordinate request. Action Item: Internet Presence Committee: Review and decide on new feature request. If approved, task CMS team with the request. Action Item: CMS Team Develop solution for global implementation. Report back to IPC with demonstration. Release the feature. The Library currently uses breadcrumbs as part of its navigation. We would like to use the same navigation going forward. Breadcrumbs are particularly important when using Smart Forms and Forms. We have many forms on our web site that will use the CMS form template. We plan to use Smart Forms for our database listings, our FAQs, and our Guides to start. There may be other content that would fit this form. If we use Smart Forms, then we need some way for end users to backtrack to where they were. Forms provide the ability to use breadcrumbs. In fact, according to Ektron -- You should add a BreadCrumb server control to every Web form in your site. Doing this ensures that a breadcrumb trail is created for each Web page. (http://www.ektron.com/manuals/cms400/v801/webhelp/Main_Import_file/BreadCrumb_Server_Contro l.htm#BreadCrumb_Server_Control_656745507_1017409) Since a large part of our CMS site will be forms, it makes sense to use the navigational control that is part of the forms. The library uses breadcrumbs on its pages now. It is very important that we continue this practice. Content in the CMS will be dynamic. Users must be able to backtrack. 17 Thomas G. Carpenter Library Content Management System RSS Feed Formal Request Priority 4 RSS (outgoing subscriptions) New Details: Library uses RSS so that audience can subscribe to event listings and other information. We would like to use RSS feeds to provide content to pages in our web site. We would like to list events within the library and list new books or media available in the library automatically. The library uses several RSS feeds now, as does CIRT. This is an important way to share valuable information and provide content to pages in our web site. It allows us to automatically list events within the library, provide information about new databases and research tools, updates the library’s newsletter, and provides lists of new books or media. RSS activation in the CMS will benefit many areas across campus. 18 Thomas G. Carpenter Library Content Management System Library Mobile Site Formal Request Priority 5 10. Mobile Site New Details: Library has a www.unf.edu/mobile directory Library asked “Where will it reside? We need to put a code in the heading that detects devices and automatically redirects to the mobile site.” Resolution: This is a new feature; functionality does not currently exist in CMS. A request must go through IPC to approve implementation. Action Item: Library Submit request for new feature and justification to IPC. Action Item: Academic Affairs Project Manager As IPC representative, coordinate request. Action Item: Internet Presence Committee Review and decide on new feature request. If approved, task CMS team with the request. Action Item: CMS Team Develop solution for global implementation. Report back to IPC with demonstration. Release the feature. At this point, most major libraries have mobile sites. Carpenter Library has a mobile site now. In order to stay current with other major libraries, we should not lose this ability. The library’s mobile site is designed to work on all smart phones. The library catalog, produced at FCLA in Gainesville, is designed to recognize a mobile phone. It automatically switches to the mobile interface. http://www.unf.edu/library/mobile/ Here is mobile information for FSU: http://www.lib.fsu.edu/about/mobile.html Here is mobile information for UF: http://www.uflib.ufl.edu/mobile2/ 19
